Reports and Goal Progress Monitoring Welcome to the Reports and Goal Progress Monitoring PD Activity of the MD Online IEP System Instructional Series! This PowerPoint slide show will represent the “Presentation” section of this activity and will demonstrate: How to access and produce reports from the MD Online IEP System How to view Goal Progress Monitoring at the caseload and student level How the Progress Monitoring information is collected This document was developed and produced by the MSDE, Division of Special Education/Early Intervention Services, in collaboration with the Johns Hopkins University/Center for Technology in Education. 3 Reports Let’s begin with how to access the reports section of the MD Online IEP System. Reports are always generated at the caseload level but can be filtered to narrow down the results of the report. From the caseload level view, choose the Reports button in the white band at the top of the page. Even when in the student view, the white ribbon of items is always available and accessible.

4 Reports A list of all available reports is generated and you can choose the report you need by clicking on the title of the report written in blue.

5 Reports After choosing a report (in this example, Abbreviated Services), filters will be available to narrow the data shown. Running reports at the school level is more efficient than running a report on an entire school district’s data. The data will be returned on the page for viewing but the data from the reports is also available for download to an Excel spreadsheet. Using the Export to CSV button at the top of the report results page will prompt the user to indicate what should be done with the file, SAVE or OPEN. Once the CSV is downloaded, the resulting file can be saved to the user’s computer or sorted to capture the data the user desires.

6 Reports Some things to note about reports:
Reports are available at the caseload level but can be accessed while in the student level view Most reports are generated by data from closed IEPs Most reports can be downloaded as a CSV file into Excel To review, reports are generated at the caseload level. Once IEPs are closed, the IEP data becomes available for the reports. Data from draft IEPs or Amendments are included in the Draft and Closed IEPs report and the SPP Indicator reports gather additional data from the Evaluation Summary and Determination of Eligibility Form, if it has been completed. The Export as a CSV feature allows the user to view the data from the report in an Excel spreadsheet, providing additional opportunities to utilize the data.

7 Goal Progress Monitoring
Enter goals in student’s IEP Track progress on individual student goals View progress on an individual IEP or across a group of IEPs on the Monitoring page The process of monitoring progress on goals begins with entering the goals in a student’s IEP. Progress is then tracked on goals included in a closed IEP (Active IEP). As progress is tracked throughout the implementation of the IEP, data is collected and charted to provide a means of determining if the student is making progress in his/her IEP. The progress on goals in the IEP can be seen from an individual student’s perspective or from the caseload level across all goals in all IEPs the user has access to.

8 Goals in the IEP Goals in the IEP can be aligned to a College and Career-Ready Standard. Choose a previously saved goal and scroll to the bottom on the page where you will see a section labeled: Alignment with Maryland’s College and Career-Ready Standards. Choose the Add Standard button to the right. Based on what was selected for the Subject area, Grade, and Strand, a list of available standards will be displayed. Indicate the standard that aligns with the goal by using the check box next to the standard. After choosing Save the standard will be aligned with the goal you have written.

9 Goal Progress Monitoring-Student Level
Adding progress into each individual goal can be accomplished in two ways. If you are looking at a student’s active IEP, going to the goals section will display all goals written in the student's IEP with a Track Progress button to the right. From the Monitoring section at the student level, all goals are displayed with progress from the most recent Progress Report entered. The Track Progress button to the right of the goal will produce a page where the student’s progress can be updated. After completing the Progress Code, Description of Progress and Date of Progress Report, there is one additional field that will produce the data for the monitoring pages at the caseload level and the student level. The field labeled, Actual Results Achieved, appears as a box and is completed with the criteria that was indicated in the IEP for that goal. This is to document the progress the student actually attained and is based on the information in the “with” section of the IEP goal. For example, if the criteria for the goal was with a % Accuracy, the field will be displayed in that manner. To the right of each field is an information panel that contains items from the IEP goal and previous progress reports that may be useful as you complete this progress report.

10 Goal Progress Monitoring- Student Level
Pictured here is the view of the student’s Monitoring page. Two goals are displayed and include text indicating the most recent progress report entered for one of the goals and a “spark line” to visually display a summary of all progress reports entered to date. A spark line is a small graph that presents the student’s progress on the goal criteria, allowing the user to identify trends in the student’s progress. The spark line will appear after two progress reports have been added to the goal in the Actual Results Achieved section of the student’s Active IEP.

11 Goal Progress Monitoring- Caseload Level
Pictured here is the view of the Monitoring page at the caseload level. Goals are aggregated by category: Academic, Behavioral, Health and Physical. To expand the areas included within the category, choose the arrow next to the category title. The category will expand to show the areas that include goals from all IEPs the user has access to. The right side of the page shows the total number of goals in the category followed by the number of goals that meet each of the Progress Codes. Users can determine trends, needs, and strengths at the caseload level from this view.

12 Goal Progress Monitoring
To view the individual students who have goals in this area, choose the arrow next to the title of the area. The page will expand and show all students who have a goal in this area and how the student was rated on the most recent progress report. Selecting the student’s name written in blue will display the Monitoring page at the student level. If progress needs to be entered for this goal, the user can choose the Track Progress button below the student’s name. The Track Progress page in the Active IEP will be displayed.

13 Goal Progress Monitoring
Goal Progress Monitoring is: Displayed at both the student level and the caseload level Collected from individual student progress reports and is aggregated across all IEPs the user has access to so it can be viewed at the caseload level Aggregated data that can be further analyzed by drilling down to the individual student Now that you have an understanding of how the goal progress monitoring is collected, aggregated, and displayed at both the student level and the caseload level, take a minute to reflect on how this additional data analysis would be helpful to you as a service provider, as a school administrator, or as a county administrator. Using this data to drive decision making will be the focus of upcoming professional development activities to be included in the MD Online IEP System Instructional Series.
