Requesting a New Leave Case You can use the My Leave Requests widget to request leave time and review information about your existing leave cases. In this job aid, you will learn how to submit a request for a new leave case. Accessing My Leave Requests Log on to Workforce Navigator_wfc. 1 Your home workspace appears. Checking your accrual balances (Optional task) If your organization has configured the My Accruals supporting tab in your home workspace, you can review this information to see the amounts of accrued time that might be relevant to your leave request. The columns of information reflect the balances as of the time period you selected in your home workspace. Drag the My Accruals pane up if you need to view more information on this tab. Accessing My Leave Requests from the Related Items pane Select the My Leave Requests widget from the Related Items pane. You can either: Click the My Leave Requests widget title or drag it to the center of the workspace to open the widget. Selecting a time period Choose the time period that includes the start date of your leave request. You can either: 1 Select a pre-configured time period from the Time Period drop-down list. Select Range of Dates from the Time Period drop-down list, enter the desired date range into the start date and end date fields. Click Apply. 2 Creating and submitting the leave case request If you need assistance with any of the selection options when creating a leave request, contact your leave administrator. Requesting a New Leave Case Creating and submitting the leave case request, continued In the Request New Leave Case box, enter the following information. Note that any field with an asterisk (*) is a required field: From the Leave Category drop-down list, select the applicable leave category. From the Leave Reason drop-down list, select the applicable leave reason. From the Leave Frequency drop-down list, select the applicable leave frequency. In the Leave Start Date field, enter the first day of your leave request, or select the first day in the pop-up calendar. Note that this can be a date in the past. In the Leave End Date field, enter the last day of your leave request, or select the last day in the pop-up calendar. If you do not know the end date, you can leave this field blank. From the Leave Hours drop-down list, select the applicable option. In the Approximate Daily Leave Hours field, enter your anticipated number of hours per day of leave time. In the Temporary Mailing Address field, enter a temporary address, if applicable. Note that this step is optional. In the Describe Details of your Request field, enter a description of why you are requesting leave and any applicable notes to the leave administrator. 2 Copy and paste these items as needed. Click Save. 3 Reviewing the request in the leave calendar After you submit the leave request, confirm that you see a message that your request has been sent to your leave administrator. If you see a message that your request was not sent, then contact your leave administrator for assistance. You can review your request in your leave calendar. You should see a calendar entry for the first day of your leave request. Depending on the time period selected, you might see an entry for the last day of your leave request. After your leave administrator has acted on your request for a leave case, you see additional notations in the calendar. Select a day and then click Day Detail to display a pop-up window that provides additional information, such as your scheduled hours. Requesting a New Leave Case Reviewing the request in the View My Leave Cases area After you submit the leave request you can review your request in the View My Leave Cases area. Review the visible columns of information for all of your leave requests that occur during the time period you have selected in the Leave Calendar. For example, this view indicates if you have documents that are overdue. 1 Select the leave request and then click Detail View to review additional columns of information about your leave request. 2 The My Leave Cases Detail View includes more information about your leave request, such as specifics about your leave takings. Requesting Additional Leave Time and Canceling the Request You can use the My Leave Requests widget to request additional leave time for an existing leave case. In this job aid, you will learn how to submit a request for additional leave time and also how to cancel a request for additional leave time. Accessing My Leave Requests from the Related Items pane Select the My Leave Requests widget from the Related Items pane. Click the My Leave Requests widget title or drag it to the center of the workspace to open the widget. Selecting a time period Choose the time period that includes at least one day of the leave case request for which you are requesting additional leave time. You can either: . 1 Select a pre-configured time period from the Time Period drop-down list. Select Range of Dates from the Time Period drop-down list, enter the desired date range into the start date and end date fields. Click Apply. 2 Submitting a request for additional leave time If you need assistance with any of the selection options when making a request for additional leave time, contact your leave administrator. In the View My Leave Cases area, select a leave case. 1 In the Requests area, select Request Additional Leave Time. 2 In the Request Additional Leave Time box, enter the following information: In the Leave Case part of the box, note the dates of your existing leave case. In the Leave Start Date field, enter the first day of your request for additional leave time, or select the first day in the pop-up calendar. This date should be after the end date of your existing leave case. In the Leave End Date field, enter the last day of your request for additional leave time, or select the last day in the pop-up calendar. Note that this is a required field. In the Hours per Day field, enter the number of hours per day of your request for additional leave time. From the Comment drop-down list, select the applicable comment that indicates that you need additional leave time. In the Describe Details of your Request field, enter a description of why you are requesting additional leave and any applicable notes to the leave administrator. 3 Click Save. 4 Revision A © 2015, Kronos Incorporated or a related company. Requesting Additional Leave Time and Canceling the Request Reviewing the request for additional leave time in the Leave Requests area After you submit the request for additional leave time, your request is sent to your leave administrator. Note that you do not see a confirmation message that your request was sent to your leave administrator. You can review your request in the Leave Requests area that appears after you save your request for additional leave time. Review the visible columns of information for your additional leave request. Note that the status of your request is Submitted. 1 Click Return to return to the View My Leave Cases area. 2 Canceling a request for additional leave time Should you decide that you want to rescind your request for additional leave time, and the status of your request is Submitted, you can submit a request to cancel your request for additional leave time. First, you need to access your submitted request for additional leave time. In the My Leave Requests widget, in the View my Leave Cases area, select the leave case for which you made a request for additional leave time and select View. The Leave Requests area appears. 1 Note This task allows you to cancel your request. A request to cancel your additional leave time request does not cancel the leave case itself. In the Requests area, select Cancel Request for Additional Leave Time. 2 In the Cancel Request for Additional Leave Time box, confirm that the leave case information for the following items in the box are correct for your leave case: Leave Case Leave Start Date Leave End Date Hours per Day 3 In the Reason for Canceling the Request field, enter a description of why you are canceling your request for additional leave and any applicable notes to the leave administrator. 4 Click Save. 5 After you save the request to cancel additional leave time, your request is sent to your leave administrator. Confirm that this message appears at the top of your My Leave Requests workspace. 6 Note that the status of your request is now changed to Retracted. 7 Click Return to return to the View My Leave Cases area. 8 Revision A © 2015, Kronos Incorporated or a related company. Canceling a Leave Case Request You can use the My Leave Requests widget to cancel your request for a leave case. In this job aid, you will learn how to submit a request to cancel a leave case request. Accessing My Leave Requests from the Related Items pane Select the My Leave Requests widget from the Related Items pane. You can either: Click the My Leave Requests widget title or drag it to the center of the workspace to open the widget. Selecting a time period Choose the time period that includes at least one day of the leave case request that you wish to cancel. You can either: 1 Select a pre-configured time period from the Time Period drop-down list. Select Range of Dates from the Time Period drop-down list, and enter the desired date range into the start date and end date fields. Click Apply. . 2 Submitting a request to cancel a leave case request In the View My Leave Cases area, select the leave case that you wish to request to cancel. 1 In the Requests area, select Cancel Leave Case. 2 In the Cancel Leave Case box confirm that the leave case information for the following items in the box are correct for your leave case: Leave Category Leave Reason Leave Frequency Leave Start Date Leave End Date Leave Hours Approximate Daily Leave Hours In the Reason for Canceling the Request field, enter a description of why you are requesting that your leave case be canceled and any applicable notes to the leave administrator. 3 4 Click Save. 5 After you submit the request for additional leave time, your request is sent to your leave administrator. Confirm that this message appears at the top of your My Leave Requests workspace. 6 Note This task allows you to submit a request to cancel your leave case. A request to cancel your leave case does not cancel the leave case itself. After your leave administrator acts on your request to cancel, you can review the changes to your leave case statuses in the View My Leave Cases area. Remember that to be able to see your leave case you must select a time period in the My Leave Requests widget that includes a day during the leave period. 7 Revision A © 2015, Kronos Incorporated or a related company.
