8 TNA’s GIS Project Establish extent nature and intricacies of the use of GI systems in Central Government Identify the records being created Identify any special issues relating to their public record status Raise awareness in GIS community of their responsibilities under Public Records Act Under constant review in the light of discoveries Identify the records being created in order to provide records management guidance , to inform archival selection policy and to plan for secure archival storage of this specialist electronic medium. The project aims to locate major systems in departments and agencies in central and local government; to define the system formats and the origin of the geo-spatial mapping element; to analyse the resultant database record for TNA’s appraisal policy development ; to consult with experts in e-records preservation, user groups, academics and others, geo spatial solution providers in the private sector. And to publicise and promote the resultant policy document. To emphasise the long term public record aspects of what is temporary data gathering and manipulation The risk to the project was the complication of obtaining access to the relevant personnel in departments coupled with the general lack of awareness of the need to archive these records.
