The Letters Summary Screen will contain navigation to the following forms that have been entered into the system. Separate screens and instructions

9 Provides summary of letters sent by district.
From this screen you can view letters or modify an existing letter that has not yet been “Finalized”. As stated previously, finalized letters cannot be changed – time/date stamp and user name is recorded. Date sent can be modified – however, reason for modification must be recorded – provides assurance for district that regulations are being followed – that the date record is being sent is recorded and if any changes are made to the letter, that date\reason is recorded.

10 Prior Written Notice (PR-01)
This form is used by districts in providing parents with notification each time the district proposes or refuses to initiate or change the identification, evaluation, educational placement, or provision of FAPE.

11 Steps 1 – 4 must be completed in order to meet the requirements of IDEIA for giving Prior Written Notice. Send Procedural Safeguards Notice must be checked as this is mandatory for finalizing the Prior Written Notice Form to comply with federal law. The ABC Spell-check button will run spell-check for any document that has not yet been finalized. Preview Button: Throughout the adding or modifying of information on the Prior Written Notice Form, the Preview Button can be pressed by a user to look at the form and/or to print it in order to see what information is recording on the form. Finalize Button: The finalize button is pressed by the creator of the form (or the Chairperson if designated) after all additions/modifications have taken place and user is satisfied Prior Written Notice has areas that will be able to be stored at the user level in future releases for efficient generation of Prior Written Notices. Run in Background? – Should always be set to “No”. The ellipsis button to the right of the text boxes will pull up a larger text box to allow you to see additional lines of information. You can utilize Control Cut, Copy, and Past feature within any free form text boxes. CTRL X: Allows you to cut highlighted text. CTRL C: Allows you to copy highlighted text. CTRL V: Allows you to paste highlighted text. The Question Mark Button after the Sender Name and Title will display the District Name and Title lists. You may also enter free text in the fields. The address, telephone and will automatically populate if contained with the district system tables. The date send will automatically populate or you can use the date selection box by choosing the box to the right of the name. If the date sent is modified from the automatic creation data, a reason must be given in order to provide appropriate documentation to allow the system to be used as evidence in documenting the generation of forms.
