What is a Certificate Program?
By count of courses (six out of ten courses) By a number of Hours / CEU’s / or Credits (Earned in a specific order?) When a participant must (by either method) meet the criteria to receive a certificate

Begin by Planning Will there be an application/enrollment fee?
Do you want some “Flag” for certificate wannabees? What will be criteria for completion of certificate? Are there prerequisites and will they be enforced? How will you indicate a “Completer”?

Grouping and Interest Codes
Course Grouping Codes are key to organizing Certificate Programs Create a Grouping code for each Certificate program and assign them to all courses in the Certificate program. Interest Codes can be used to track Certificate Wannabees Create an Interest Code for participating students

Create Grouping Codes To create Grouping Codes, select Module > Codes > COURSE: Grouping Codes. Add a grouping code for each Certificate program you offer. Since these are usually internal codes that you won't want to display in ACEweb course groups, we suggest you check the Do not display courses on ACEweb box.

Assign Grouping Codes Open each course record in the Certificate program, click the Grouping Code button and select the grouping code you created for this certificate program. Reminder: if you want to display this course on ACEweb, it will also need public grouping codes assigned. For example the PROACE grouping code is a code displayed on ACEweb. NOTE: You CERTAINLY may use the SAME grouping code for BOTH web and Cert

Create Interest Codes To create Interest Codes, select Module > Codes > NAMES: Interest Codes. Create your Interest Codes to indicate interest/participation in the Certificate Program. Again, since these are typically internal codes you may NOT want displayed on ACEweb, check the Do not display interest code on ACEweb box.

Tracking “Completers”
Suggest using Credentials: Create a unique Credential Type for Each Certificate… Then Stamp that Credential in the Student record WHEN They complete the certificate requirements.

On completion, a special credential is entered for the Student.

Programs with Enrollment Fees
If individuals are assessed a fee when enrolling in the Certificate Program itself, create a course for Certificate Program enrollment and assessment of fees. We recommend creating a Certificate Program course for each year. (Allows you to track participants by year enrolled) Assign the Certificate Program Enrollment Interest code as the Subject code so that it will be added to the individual's Interest Code list when they enroll in the Certificate program.

Programs with no Enrollment Fees
If you don’t require a fee to Enroll in the Certificate program, just add the Certificate Program's Interest code to the person’s name record. Even if DON’T have an “Admission Fee”, you may still want to create a course to facilitate Certificate Program participant tracking

Tracking Completers When a person completes the Certificate Program a special Credential Code is added If appropriate, an expiration date can also be recorded with the Credential

Assigning the Credential
Create a credential from the Registration screen with the Make Credential button. Customize Credential with the Credential Wizard.

Use the new STAMPCRED function Justafter(‘Do Stampcred’) Add to a report and every student who is in the report automatically gets A Credential stamped into their record.

Course Prerequisites If your Certificate Program is sequenced, you can set course prerequisites on all the advanced courses. When enrolling in an advanced course, the Registrar will be notified if the individual has not met the prerequisites. ACEweb users: you can also set up ACEweb so that the user will not be allowed to enroll in advanced courses if they have not met prerequisites.

Select Edit > Preferences > Register tab. Enable the Check whether student has met prerequisites.

Setting Prerequisites
Select Module > Catalog > Catalog Code > Advanced Course. Click the Add button to add a prerequisite catalog code to the list.

Certificate Wizard Track student progress with the Certificate Wizard.
Select Options Track student progress with the Certificate Wizard. Select Reports > Registrations > Transcripts > *Certwiz report (additional report). *If your system is missing this report, modify the default transcript and add justdoit(‘=certwiz()’) then save it as CertWiz. Additional information is available in the help guide, or call your tech

Reporting Functions A few report functions that are useful for tracking Certificate Programs: GRADREPT – Returns a count of courses, or a sum of hours/ceus FINDINT – allows you to query by Interest Code to return only those certificate program participants FINDGRP – allows you to query by Grouping Code HASCLASS – returns either True/False or Yes/No if a student has taken a course which meets a stated conditions

Reporting Functions A few report functions that are useful for tracking Certificate Programs: GRADSPEC – returns individuals who have taken the required courses GRADSPEC2 – returns individuals who have taken required courses within 2 different course groups GRADCRED – returns individuals who have completed a specific number of ceus/hours GRADCRED2 – returns individuals who have completed a specific number of credit/hours within two different course groups
