The Hamilton High School Music Boosters Organization is established to provide moral, physical and financial support to approved curricular and extra-curricular instrumental music related activities; to encourage growth of the instrumental music programs; to enhance school spirit; and to strive to improve fellowship and relationships between students, teachers, administration and parents in compliance with Arizona State Laws, Chandler Unified School District regulations, Hamilton High School administrative policy and the By-Laws of Chandler School Boosters Inc. The Music Boosters shall be inclusive of all instrumental music programs at Hamilton High School. Board of Directors President – Steve Valego Vice President – Andy Fry Secretary – Chrissy Kuhl Co-Treasurer - Chris Wodarcyk Co-Treasurer – Robert Goldsobel Memberships – (Registration Required through Board Secretary) General Membership Open to all immediate family of any student currently active in HHS Instrumental Music Programs (parents, step-parents, legal guardians) Alumni & Community Membership Open to Alumni students and parents of Instrumental Music at HHS, as well as members of our community interested in promoting instrumental music at Hamilton High School Hamilton High School Music Boosters

BOOSTER COMMITTEES Our success depends on volunteers – please consider joining a Committee as a Chair, Co-Chair or a member! There is a place for everyone to volunteer – no experience necessary, we love our HHS bands and family Getting involved is a great experience for you and the students You can volunteer as much or as little as you can during the season – 1 hour or 100 hours – every volunteer adds up to our success. CONCESSIONS COMMITTEE: Co-Chairs – Andy & Dinah Fry, Sue Valego
Responsible for the maintenance and operation of the concessions stands at home football games and ABODA Concessions is our BIGGEST fundraiser – great way to support our Band Kids and get to know the other parents at every home game Two concession stands – home side and visitor side are staffed and run each game Hamilton High School Music Boosters

CONCESSIONS CONTINUED:
What we do: Stock food/beverage items Order food and supplies Prep food – hot dogs, popcorn, pretzels and nachos Sell inside and outside of the concession stands Staff home and Visitors concessions for Varsity & JV home games Staff for ABODA – State Marching Band Competition What’s typical for each game: 10 volunteers needed for home side 6 volunteers needed for visitor side Volunteers arrive at 6:00pm to prep (Gates open at 6:30pm) SELL! SELL! SELL! Clean-up after every game/event Concessions run into 4th quarter Desired number of committee members is 20 (including co-chairs & Vice President) Hamilton High School Music Boosters

FEED THE BAND COMMITTEE: Keri Gardner - Chair
Responsible for ensuring the Marching Band students receive a nutritious meal before each football game 6-10 total volunteers needed each game day to serve the students at Hamilton High School 4-5 of the volunteers are needed to donate desserts on game days (dropped off at HHS) Committee members may volunteer to cook depending on the menu that week (most meals are from restaurants) Desired number of committee members is 15 Questions & Answers Hamilton High School Music Boosters

PIT CREW COMMITTEE: Co-Chairs – Steve Valego & Wes Kuhl Responsible for loading and transporting instruments, uniforms, equipment and props to all games and marching band events Load and unload truck/trailer, and drive to away games and competitions Repair equipment as needed Maintain the water supply for the Band Assist with props – build, move, maintain as needed 6 volunteers total needed for each game and competition Hamilton High School Music Boosters

UNIFORM COMMITTEE: Chair - TBD
Responsible for issuing and maintaining all Marching Band uniforms throughout the marching season Every student will be fitted for a uniform, volunteers needed to hem pants (bibs) and jackets Each hat has a plume which requires 4 volunteers at each game and competition to place the plumes and remove them Plumes are transported by the Uniform Committee Desired number of committee members 8 Questions & Answers Hamilton High School Music Boosters

FUNDRAISING COMMITTEE: Chair - Sammi Lindstrom
Responsible for researching and reviewing fundraising projects and selecting those which will efficiently earn revenue for all instrumental music activities CONCESSION STAND SALES is our biggest fundraising avenue! Other Avenues to Fundraise: Snap-Raise/Crowd-Funding (online, , social media) Other Voluntary Charitable Contributions – write us a check (tax deductible)! Employer Matching Gift Programs (Steve Valego can assist with Intel) Community Partner Programs (Fry’s, Albertson’s, ShopWithScript, Papa Johns, Amazon, etc.) Goodwill Drive Corporate Sponsorships Hamilton High School Music Boosters

Developing a program that encourages donations in the form of cash sponsors, tax credits, scholarships, etc. Seek cash sponsors for various band activities Other fundraising ideas welcome, more to be announced Desired committee members – unlimited! Questions & Answers The Hamilton High School Music Boosters is a member of Chandler School Boosters, Inc., a tax-exempt, 501(c)3 non-profit organization. Any amount contributed to the HHS Music Boosters is considered a tax-deductible charitable contribution, and will be acknowledged as such by the HHS Music Boosters. The recommended charitable contribution amount for for each band family is $250. Any HHS Music Booster Board Member would be glad to give you more information on this. COMMITTEES - GENERAL The Executive Board may create any additional committees as deemed necessary to promote the objectives and carry on the work of the organization and a chairperson will be appointed All flyers/correspondence of committees must have the approval of the Executive Board Special Committees (e.g.. WHAT IS ? The Arizona Band and Orchestra Director’s Association is a non-profit organization serving the needs of Arizona’s school music students and it’s members. Division I Division II (Hamilton) Division III Division IV - 59- Hamilton will host Division II and Division IV on November 3, The event will take place throughout the day into the evening, hosting approximately 40 bands Who Participates? The top 20 scoring marching bands in each division from ABODA qualifying events will determine State Marching Band Festival participation This is determined by the averaged 2 highest scores from ABODA qualifying events How can YOU Help? Save the date on your personal calendar now! Look forward to attending upcoming (planning) meetings Plan to sign-up for 1 or more shifts. THIS IS OUR BIGGEST VOLUNTEER DAY OF THE YEAR – VOLUNTEERS CAN DO VARIOUS JOBS AND COVER SHIFTS THAT BEGIN AT 5:30AM AND LAST UNTIL ALMOST MIDNIGHT – MARK YOUR CALENDARS! WHAT DOES IT COST TO SUPPORT HHS INSTRUMENTAL MUSIC PROGRAMS?
Approx. $34,000 Required fees paid by band families directly to HHS, can include tax credit donations $54,000 Revenue by HHS Music Boosters, includes voluntary tax-deductible charitable contributions Hamilton High School Music Boosters

BAND PROGRAM REQUIRED FEES (WHAT TO EXPECT)
Last year’s fees (this may change for next year): $400 total fees per family, capped at $600 total for families who have more than one student in the marching band Follow the payment schedule and instructions in the Marching Band Payment Guide (typically three payments) Make fee payments at the HHS Bookstore Keep careful records (don’t rely on CUSD) the Director every time you make a payment Families can use State Tax Credit contributions to cover all or any portion of these fees. Families should also expect to pay up to $140 for t-shirts, shoes, gloves, travel jackets, etc. Cost will vary by year These items will be ordered online w/ details to come later from the school STATE TAX CREDIT CONTRIBUTIONS – PLEASE REACH OUT TO THE BAND DIRECTOR IF YOU HAVE ANY QUESTIONS REGARDING THIS TYPE OF CONTRIBUTION. Music Booster Revenue: 54,000 comes from funds raised by the HHS Music Boosters $35,000 Revenue From Concession Stand Sales (VERY IMPORTANT ACTIVITY) $14,000 Revenue From Hosting ABODA Competition (concession stand, program sales, corporate sponsorships, etc.) $5,000 Charitable Contributions, Corporate Donations, Sponsorships Music Booster Expenses: $61,100 HHS Music Boosters Expenses $20,000 Concession Stand Cost of Goods, Equipment Maintenance $10,200 Cost of Goods and expenses from hosting ABODA Competition (concession stand, programs, lights, security, porta-potty’s, etc.) $4,000 Chandler School Booster Admin Fees (accountants, 501c3 tax return) $300 admin expenses (paper, postage, copies, etc.) $26,600 SUPPORT THE PROGRAM (FTB, camps, clinics, Pit Crew, Props, Color guard Uniforms, Equipment, Drill Books, etc.) (Guess who’d be paying this if Boosters didn’t????????)
