My name is Humberto Gonzalez, and I have been a staff member with UMKC since November My role as Assistant Director for Conference and Event Resources began July 10, I’m also a graduate student in the Higher Education Administration program as well. Humberto Gonzalez, Assistant Director 02/26/2018

Alison Murdock, Scheduler Shelby Deaton, Student Staff Scheduler Savannah Porter, Conference & Event Resources Coordinator Roland Hemmings, Student Union Building Coordinator Michael Sargentini, ASSC Building Coordinator (not pictured) Our Conference and Event Resources team is comprised of six core members, and partnered with our Building Operations Coordinators, Roland Hemmings and Michael Sargentini. Alison Murdock is our full-time scheduler who will typically be the first point of contact regarding room availability and event time frames. Shelby Deaton is our Student Staff Scheduler who assists Alison, and our office, with any client follow-ups as well as several other key scheduling functions. Savannah Porter is the Conference and Event Resources Coordinator. Her duties include client walk-throughs, AV support, logistical event appraisals, and primary event support. The Student Union is also supported by Roland Hemmings who leads a team of building maintenance members, and 25 student staff members. Through Roland’s guidance, his team effectively sets up and tears down each event held in the Student Union while maintaining the general upkeep of the building. The Atterbury Student Success Center is supported by Michael Sargentini who leads a team of building maintenance members, and several student staff members. Similar to Roland, Michael’s skillset ensures that meetings and events in the ASSC are effectively set up and torn down while also maintaining the general upkeep of the building.

3 Room Reservations, 7 Day Reservation Policy, and Cancellation Policy
5,300 events and meetings were held in 2017 in the 25 spaces available within the Student Union and ASSC. Roo Groups and 3 preferred room choices Variables include guest count, furnishings, neighboring meetings/events Student Union has 108 of weekly operating hours 7 day reservation policy Cancellation policy – Please notify Recognized Student Organizations have annual booking privileges questions Our office designates meeting and event space within the Student Union and the Atterbury Student Success Center to Recognized Student Organizations, campus departments, and off-campus guests. There were 5,300 events and meetings held in 25 spaces throughout the 2017 calendar year. The Student Union is able to facilitate events due to the 108 hours of operation per week. Overall, the level of communication and logistical coordination that must be completed by the RSO and our team is absolutely necessary for the success of both general meetings and extensive events. Roo Groups is the primary point of communication, and ensuring that your Roo Groups notifications are turned on will be an essential step towards successful communication. Our team assesses the details of your request and considers the variables of guest count, furnishings requested, and any neighboring events and meetings when assigning rooms. Our primary intent is to fulfill as many meeting and event requests as possible. With 300+ Recognized Student Organizations on campus, then it remains necessary for our office to be flexible with the 7 day reservation policy. If a request is made within the 7 days, and space is available along with sufficient event staffing, then we aim to fulfill that request. As a courtesy to our office and our campus community, then advanced notice with any event cancellation is appreciated. Please call to cancel your event/meeting request, so that we may honor another group’s request. RSO’s have annual booking privileges, which allow for advance reservations to be made. Campus departments can reserve space every 4 months, which allows for RSO’s to have a priority with reservation requests.

4 Sponsorship and Misrepresentation
The Student Union was funded through private funds, campus reserves, and student fees. RSO’s sponsoring events Includes the assumption of responsibility for the activity RSO’s misrepresenting themselves to allow off-campus guest access questions Because student fees have contributed to the building of the Student Union, then RSO’s are not charged for any meeting and event space in the Student Union and the ASSC. Campus departments are charged on a rate scale with off-campus guests being charged more than our campus departments. RSO’s who partner with a campus department are expected to act as liaison for their student organization and the campus department. This ensures a partnership for students and full-time personnel, which creates an environment that fosters professional development. RSO’s who sponsor off-campus guests are expected to act as liaison for their student organization and UMKC. A partnership between the RSO and off-campus guests ensures that meeting/event space is not being taken for granted. Student fees contribute to the upkeep of the Student Union, and off-campus guests should pay for the privilege of space usage unless an RSO offers their direct support for the event. Recognized Student Organization group members should not take advantage of their reservation privileges by misrepresenting their student organization and offering their reservation privileges to off-campus guests. Off-campus guests should pay for meeting/event space just as our past and present students have paid for the space through their student fees. Misrepresentation is deterred through correct RSO sponsorship.

These core functions are intertwined and offer ongoing support structures. The majority of our office has received their post-secondary, post-graduate, and post-masters degrees through UMKC. We are Roos who support our campus community to our fullest potential.
