Parent/Student Meeting March 22, 2018

2 Itinerary (1 of 3) Note that we will depart approximately 10pm, not 12am as shown on this sheet. Plan to arrive at SRHS ~9pm for check in Be prepared to show passport Parents/guardians MUST give any medications, including Over The Counter meds, to the responsible trip official in a ziplock bag with a signed Administration Medication form

5 General Information Hotel Power Outlets Money
Canada’s electrical supply and electrical outlets (wall plugs) are the same as those found in the US No voltage converters or plug adapters are required in Toronto Money All activities, breakfasts, and dinners are included in the cost of the trip. Only additional expenses are for 3 lunches plus any snacks and souvenirs the student would like to purchase Usually recommend approximately $100 spending money per student/chaperone Many Toronto businesses will accept US dollars although at their own exchange rate which will be to their advantage Some businesses will give change in US dollars; others will only give change in Canadian dollars Families can decide whether to send some Canadian dollars with their student. Any Canadian currency should be obtained prior to departure on the trip. There is no guarantee that there will be a place to exchange money while we are there Expected purchases in Canada include 2 lunches and any snacks or souvenirs that the student would like to purchase on Friday and Saturday

6 General Information Cell Phones
Families should check with their cell carrier prior to the trip to determine cell phone usage in Canada Some carriers include Ontario in their range, others go into Roam Mode which can be EXTREMELY expensive If needed, some carriers will add Canada to the participant’s cell package for one month at a reasonable rate A cell phone battery charger is recommended for the long bus rides since it is unknown whether the bus will have outlets available or if the outlets will work

7 General Information Bus
Students can wear comfortable, school appropriate clothes on the bus to sleep but they must bring their clothes to change into for the Friday activities ON THE BUS WITH THEM Participants will NOT have access to their suitcase until we get to the hotel Friday night Movies: Students may bring movies to watch on the bus but the movie must be PG13 or lower and it must be approved by Mr. Cavanaugh for viewing Snacks and water will be provided on the bus but students may also bring snacks to enjoy on the bus Be mindful of the bus cleanliness when choosing snacks. Students will be responsible for cleaning up the bus as required when we return to South River

8 Student Responsibilities
Hotel Rules of Conduct Quiet hours at the hotel are 11pm – 7am All students must be in their rooms and quiet by 11pm Be respectful of other guests by minimizing noise even during non-quiet hours No boys in girls’ hall/rooms – EVER! Not ever – not “just for a minute”, not “just to get something”. NEVER No girls in boys’ hall/rooms – EVER! Not ever – not “just for a minute”, not “just to get something”. NEVER The hotel has a pool but it is unlikely that there will be much time to swim If there is no lifeguard on duty, then NO STUDENTS are to swim without an adult chaperone on duty at poolside All AACPS Code of Conduct rules are enforced during the trip – no smoking, no drinking, no drugs, no public displays of affection No PJs in the hallways – remember that the hotel has other guests and we want to leave a good impression Student doorways will be marked with tape at 11pm to show if any doors have been opened overnight

9 Student Responsibilities
Trip Attire Check the weather for Toronto, Ontario and bring appropriate clothing for the climate. It is likely to be much cooler in Toronto than it is in Maryland in April Plan on layers for changing temperatures Each student will be given a blue South River T-shirt. This shirt is to be worn on Saturday following each ensembles performance for touring Toronto and the awards ceremony that evening at Medieval Times Bring your ENTIRE performance uniform!! Dresses and black dress shoes for girls Tuxedo pants, white shirt, vest, black dress shoes and BLACK socks for boys Full choral uniform per Dr. Orr’s instructions Bring a rain coat! AACPS Dress Code requirements are in place at all times during the trip; if you can’t wear it to school, you can’t wear it on this trip.

10 General Information Any Issues that Arise
Each student will be assigned to a chaperone group. If any issues arise during the trip, students should contact their chaperone first or Mrs. Gregory as a back up If you are unable to contact the chaperones or have a significant issue, contact Mr. Cavanaugh or Dr. Orr All of these trip rules and all AACPS rules will be enforced at all times on this trip. If any students choose not to follow the rules, the consequences will be appropriate for the severity of the infraction(s). They can be as minor as being asked to stop what you are doing or sent back to your room to change your clothes, or as severe as a phone call to your parents to have them come pick you up immediately, with a referral upon returning to South River.

11 Chaperone Duties Each chaperone will be assigned a Chaperone Group of 4-5 students that you are responsible for throughout the trip All chaperones should correct the inappropriate behavior of any SRHS student they see whether they are in your chaperone group or not. It takes a village. Report on time for all events and ensure that the students in your chaperone group are present as well Ensure that your chaperone group is present at every meeting place and on the bus Create a Group Text with your list of students to have quick contact with all of them Follow the Golden Rule of Chaperoning If the student can’t do it, chaperones can’t do it in terms of alcohol and inappropriate language

12 Chaperone Duties Chaperones should spread themselves throughout the bus – front, middle and back – so that not all the chaperones are in the front For safety, ensure that students remain seated as much as possible while the bus is moving Enforce quiet hours on the bus to Toronto starting 1 hour after departing South River Students and chaperones need as much rest as possible overnight on the bus since Friday is a FULL day of activities When arriving at destinations, students are to remain on the bus during the check in process until told otherwise Enforce any additional rules requested by the bus driver

13 Chaperone Duties Enforce quiet time 11pm-7am at the hotel
Ensure no excessive noise during non-quiet hours At 11pm each night, chaperones go in pairs for the final student room check of the night. After confirming all room occupants are present and no extra students are there, close the door and place a small piece of painter’s tape on the door Give the students a piece of tape to place on the inside of their door so they remember to call their chaperone BEFORE opening their door in the morning

14 Chaperone Duties During room check, remind students of the wake up time for the following morning Call your students in the morning to ensure they are awake and getting dressed for the day Chaperones are responsible for ensuring their students are ready for breakfast and ready to go at designated times When students are ready to leave their room in the morning, they should call their chaperone to have their tape inspected and removed Any missing, ripped or detached tape on students’ doors is to be reported to Mr. Cavanaugh and Dr. Orr

15 Chaperone Duties No students are to swim without a chaperone on duty at poolside Remind your students to stay in groups of 2 or more at all times; No one should venture off on their own If any chaperones find a student by themselves, stay with that student until they are reunited with their chaperone or another student group Report any inappropriate behavior to Mr. Cavanaugh or Dr. Orr as required. They are the official county representatives on the trip and are ultimately responsible for our students Thank you for volunteering!! We could not do this trip without you and your help is greatly appreciated and vital to the success of this trip!

16 Conclusion This is going to be a GREAT trip! Thanks to everyone that made it possible especially Mrs. Murray, Mrs. Woods, and Mrs. Conard that worked tirelessly to get all of the County required forms submitted with such a short turnaround And thanks to all of the parents for your patience and responsiveness when the County keep tossing the surprise requirements out at the last minute Questions?
