The goal of the webinar is to provide updates on the Data Pipeline and current and upcoming collections. These webinars also provide a forum for districts, BOCES, and Administrative Units to have questions answered about Data Pipeline. What is PII? Student Personally Identifiable Information (PII) is defined by state and federal laws as information that, alone or in combination, personally identifies an individual This includes direct identifiers (i.e. name, SASID, etc.) Includes information that when combined is identifiable Colorado’s new Student Data Transparency and Security Act introduces a number of new requirements for how Student PII is collected, used and shared CDE has prepared guidance on how to comply with this and other privacy laws which can be found here:

How to Share Data Check local policies for restrictions, requirements, etc. Ensure that you are following local policies when transmitting PII to any third party Use secure methods to transfer any PII to CDE Call CDE ( ) with questions about how to transmit PII securely Use Syncplicity to encrypt s to CDE Avoid sending PII via unencrypted or to unsecured faxes when sharing data between or within districts Do not use PII in trainings, presentations, etc. Do not share PII with unauthorized individuals Do not share passwords

Enrich – Data Pipeline CDE and Frontline are aware of the reported issue with EOY files not coming over from Enrich to Data Pipeline and are working on a resolution. Once the reason has been identified and the problem resolved an will go back out to Admin Units through CESUG. How to report your district has no discipline actions: Under the Discipline Tab choose No Discipline Actions Select the School Year, Click Submit Mark Yes under No Discipline Actions and click Save Be sure you see the “Successful Save” message at the top *No file is necessary

PSAT9, PSAT10, and SAT are the High School assessments
SAT SBD PSAT9, PSAT10, and SAT are the High School assessments Only students in grades 9, 10, and 11 SBD is the ONLY CHANCE to review this data Test is given on paper and there is no vendor system for student transfers or data review Since these tests are taken on paper and data is often bubbled in by students there will be lots of errors Duplicate Records If an answer sheet does not have a label and the bubbled data cannot match and existing Pre-ID record then it creates a new record. Both records will be in the SBD data. Missing/Invalid SASIDs Most of these records are likely to be duplicates of Pre-ID records that couldn’t be matched There may also be new students or National Test registrations where the student didn’t not bubble in a SASID.

SAT SBD New Processes Student Moves Missing SASIDs NO FAILSAFE!
If a student was in two different districts for Pre-ID and Testing both districts will see the record Responsible District and School will be blank and can be filled in by both districts. If the districts disagree, CDE will review and contact them to resolve Missing SASIDs Missing SASID COGNOS report provides matches from the CDE system based on available data Updated SASIDs can be uploaded to Pipeline as an SBD file and a new SBD file can be pulled with the interchange data that links to those SASIDs

SAT Duplicate Scenarios
The pre-id record and the answer sheet could not be merged by College Board due to missing demographic data. These records will be merged once the demographics are updated to match and neither record should be invalidated 2. The student moved to a different school after Pre-ID and both the Pre-ID school and the Testing school submitted valid answer sheets. In this case the record with the matching Pre-ID and Testing school will generally have an ‘03’ invalidation already applied, but if not you can add an invalidation. The other record should not be invalidated. If they moved out of your district both of these records will be deleted (not merged) in the final data, if they are still in your district you will only have the record for the actual testing school in your final data. 3. Two valid answer sheets were returned for the Student from the same school but different tests. In that case you should invalidate the record for the assessment that doesn’t match their grade level with an ‘01’ – Took other assessment. ‘01’ invalidated records will also be deleted from the final data.

SAT Error Issues If you have a student with a missing SASID and you can’t find a matching record or identify the student If you have a student who took the wrong test for their grade Errors around duplicate SASIDs for Responsible District and continuous fields have been changed to warnings rather than errors. If both records belong to your district (scenario 1), make sure that the Responsible District codes do match.

CMAS SBD CMAS Math, ELA and CSLA, CMAS and CoAlt Science and Social Studies Assessments for Grades 3-8 Students will have one record per assessment Data clean up was also available in the Pearson system SBD allows for additional validations like SASID checks and accountability checks on the continuous fields Things to watch for Invalid SASIDs Off grade testers (especially Algebra and Geometry) Missing/incorrect continuous enrollment fields Data is calculated from the Student Interchange based on October count

Final Invalidation Code
CMAS SBD Issues Final Invalidation Code This is not updating correctly on the edit records screen. The Not Tested and Void codes can be updated and the data is saved, but it does not recalculate the Final Invalidation Code field (this is field informational only). If you want to update the calculations on the code but have used the Edit Records screen to clean your data you can download your SBD data as a file and upload it without opening or editing the file. Then you will see the Final Invalidation Code update on the Edit Records screen. CDE can also help with this process.

Accountability Data Quality emails will not be sent to all districts
SBD Changes for Accountability Data Quality s will not be sent to all districts The Data Quality report in Data Pipeline provides the same information and can be accessed by any LEA User Includes both vendor data and SBD data once files are uploaded District Assessment and Accountability contacts may request the report, instructions for accessing it are on page 20 of the SBD Manual Districts with serious data issues may still be contacted directly by accountability

At this time, districts should have completed or are currently working on: Creating and submitting READ file and resolving errors Submitting information required for the completion of the READ budget planning survey June 15 (3 weeks away!): Districts complete submission of READ files and Budget Planning Survey by end of day – all submissions are finalized and will be locked Once READ file is error free be sure to click the “submit to CDE” tab in the Status Dashboard to lock your data Districts who submit programs in the “other” category within the survey will be notified by CDE and survey approval will be pending If you have not loaded anything into pipeline, please do so. The collection has to be closed in order to submit funds on time.

READ Collection Reminders READ Act – Whitney Hutton – Don’t forget to include your 4-12th grade cohort students in your file Step 1 Run the “Student Extract of 4-12th Graders with a Significant Reading Deficiency in the Prior Year” Report in Cognos. Step 2 Run this report for the current school year ( ). Districts will be able to download an Excel file pre-populated with all READ fields for the 4-12th graders except for the READ plan field. Step 3 Districts must add the value of READ plan 0 (No) or 1 (Yes) to indicate if the cohort student remains on a READ plan and in the cohort (1) or if they have exited the cohort based on the removal of their READ plan (0) Step 4 Remove the ENTRY_GRADE_LEVEL column from the cohort extract report and then copy and paste information into K-3 READ file before submitting data
