Ability to multitask The Program Admin Assistant is accountable for providing administrative support to the cluster program and ensuring that administrative systems are functioning effectively, efficiently and in a user‐friendly manner in support of smooth implementation of the cluster office programs, including to staff, partners, visitors and the public at large. The Program Admin Assistant will own the outcomes of: Provide high quality Administrative and Secretarial support to the cluster office team as required. Maintain office schedules and calendars e.g. schedule appointments and send reminders to the concerned parties Manage supplies and consumables store in the cluster office. To undertake messengerial tasks and duties including running errands such as payment of bills, mail collection, delivery and distribution of letters, banking cheques. Receiving and providing information to visitors. Engage actively during TT surgery and MDA pre camp, camp and post camp activities to provide program support as per the team’s request. Effect payments as an option when the cluster cashier is not able to effect payments due to various priorities. Providing cluster level program support based on the demand like (equipment & IEC BCC materials distribution) Other tasks as requested by your manager Strong Experience in: Working as a receptionist/office administrator in an NGO in Ethiopia with a 3 years minimum experience. Petty cash management. Administrative and clerical procedures Using IT systems and packages, in particular Microsoft Office. Diary management and appointment booking using manual and computerised systems. Working in a busy office environment Experience working in an International NGO in Ethiopia. Experience in store management Knowledge of local language of the area Ambo Cluster Coordinator and matrix relationship with HR and Admin Coordinator Leads self Full time fixed term contract A minimum of Diploma in Secretarial science and office management or Accounting, with a mix of experience in logistical and supply management.
