How Team Leaders & Project Managers can initiate a Volunteer Team How a Volunteer registers their details on the RAWCS Volunteer website Welcome to a presentation on how Team Leaders & Project Managers can initiate a Volunteer Team on the RAWCS Volunteer website. 17/07/2018

2 Search for a project at: http://rawcs.org.au/project-search/
How does someone become a RAWCS/Rotary volunteer? If you wish to volunteer for overseas service as a RAWCS/Rotary volunteer you will need to contact a RAWCS Project Manager who is willing to place you on one of the teams that they are organising. You can search the listing of all RAWCS Projects on the RAWCS website using the Project Search Function. The Project Manager’s contact details appear on each project so that you can contact the projects that interest you. 3 Do I need a unique email address to register? YES
Every user must have a different or unique address Do I need a unique address to register? Yes, all volunteers and Team Leaders using this Online Volunteer Registration Facility must have an address that is exclusive to that person and is not used or provided by or on behalf of any other volunteer or Team Leader. Any volunteer without their own address should apply for a free Hotmail, Live or Gmail account. All volunteers including the Team Leader are invited by to record their details on our Online Volunteer Registration Facility. 17/07/2018

4 Why do I need a unique email address?
Database recognition of you Automatic filling of some personal data Our Online Volunteer Registration Facility database will recognise the unique address and remember the data entered so that next time you come back to volunteer it will enter most of the personal data automatically. When you return as a volunteer a second time you should use the same address. If you have changed your address you need to contact the Regional Volunteer Coordinator to arrange the address to be changed on the RAWCS Volunteer program. 17/07/2018

How is a RAWCS Team initiated? A current Project Manager or an appointed Team Leader can request a Regional Volunteers Manager to initiate a new Team. What does the Team Leader or Project Manager have to supply to the Regional Coordinator to initiate the Team: See the next slide for details How do I initiate a RAWCS Team? A volunteer Team can only be initiated by a current RAWCS Project Manager or the Team Leader, by contacting their respective Regional Project Coordinator. The Regional Project Coordinator enters the Team Leader’s details as shown in the next slide. . 17/07/2018

Supply this info to the Regional Coordinator to initiate the Team The RAWCS project number Team Leader’s Passport given name The name they wish to be known as Team Leader’s Passport Family name The anticipated departure date for the first team member Estimate of days they will actually work on the project Estimate of cost of travel, accommodation & meals for the volunteer Civilian occupation or previous occupation if retired A short succinct statement on what exactly the Team will be achieving on this trip. What does the Team Leader or Project Manager have to supply to the Regional Coordinator to initiate the Team? You are required to give the following information to the Regional Project Coordinator, about the Team Leader, preferably by The RAWCS project number Team Leader’s Passport given names The name they wish to be known as Team Leader’s Passport Family name The anticipated departure date for the first team member departing Estimate of the number of days the volunteer will actually work on the project Estimate of the cost of travel, accommodation & meals for the volunteer Team Leader’s civilian occupation or previous occupation if retired A short succinct statement on what exactly the Team will be achieving on this trip. This statement will be sent to the District Governors both in Australia and overseas so that they have some idea of what you are doing. It starts with “Rotary Volunteers to……………………………”. 17/07/2018

7 Regional Coordinator then initiates the team by entering the volunteer website:
The Regional Coordinator then initiates the team by entering the Team Leader details on the Volunteer Facility website. The Regional Coordinator needs to enter their own address and password and select the option of Regional Coordinator. IMPORTANT – If you have used the site before use the address and password that you previously used. If you cannot remember your password you can request a forgotten password and a new one will be sent to your address. You MUST use the same address as last time. If your address has changed please contact your Regional Coordinator and they will contact the National Projects/Volunteer Manager so that they can change it to the one of your choosing. You cannot change it yourself. 17/07/2018

8 Once logged in the Regional Coordinator will find at the bottom left of the “Team List” the words “Add New”. Click on “Add New” to enter the Team Leaders details. At the base of the page that appears when the Regional Coordinator logs on they click on “Add New” and the page to enter the Team opens. 17/07/2018

9 Regional Coordinator fills in the Add New Team Details and when completed saves the team
On the bottom left of the Team List displayed the Regional coordinator clicks to open the “Add New” and the add New Team box will display. The Regional Coordinator fills in the Add New Team Details and when completed saves the team When the Regional Coordinator saves the Team Leader details an is sent to the Team Leader inviting them to enter their details. The Team Leader can then add Team members to the team in a similar way that the Team Leader has been initiated by the Regional Coordinator. 17/07/2018

10 An email is sent to the Team Leader with their User Name and Password
This is an example of the sent to the Team Leader. Note that it has a user name and password so that the Team Leader can enter the website link that is also given to you in the . Click on the website link – volunteers.rawcs.com.au 17/07/2018

11 The Team Leader can then add his volunteers by clicking on “Add Member” on the bottom left of the Team members list. On the page that appears the Team Leaders name will appear at the top of the Team Members list under where they enter their own details. The Team Leader can then add the volunteers on his team by clicking on “Add Member” at the bottom left of the Team Members list. The Team Leader can delete a volunteer from the Team if they will not be travelling by clicking on the red cross on the right of the list. They cannot delete themselves from the Team. That can only be done by the Regional Volunteers Manager or the National Projects Manager. The Team Leader has the ability to open any members application to check it for correctness and make changes if required. They can also upload the documents for their volunteers. They are responsible to ensure that each of their volunteer’s information is correct and complete before notifying the Regional Volunteers Manager that the Team documentation is complete. Please do not do it to try and correct an incorrect address as you will create a duplicate on our database and you will not be able to invite them onto the Team. 17/07/2018

12 This is the form that appears for the Team Leader to enter the volunteers details.
Please ensure you have correct address that this volunteer uses on the RAWCS website as once saved it can only be changed by the RAWCS National Projects Manager. 17/07/2018
