The goal of the webinar is to provide updates on the Data Pipeline and current and upcoming collections. These webinars also provide a forum for districts, BOCES, and Administrative Units to have questions answered about Data Pipeline. 13 Defects Recently Fixed
HR107 – errors for school code 9980, which should not be getting the error for any district. Cognos – Highly Qualified Report: HQ Teacher column – fixed for majority, however still an issue for others showing N when it really should be Y. HR007 – full time teacher at each school, have entered exceptions to those appropriate requests in meantime. 13

17 SDA Status File Layouts and business rules available at: Files should be ready for testing in April 2015 Creating a page or cognos report to indicate if there were no discipline incidents to report or firearms to report for a school or schools within the district to prevent from having to zero-fill records 17

One record per school and type of behavior with counts of actions taken per behavior. Behaviors – Drug violation, Alcohol violation, Tobacco violation, 1st, 2nd Degree or Vehicular Assault, Dangerous Weapon, Robbery, Other Felony, Disobedient/Defiant or Repeated Interference, Detrimental Behavior, Destruction of School Property, Other Violation of Code of Conduct, 3rd Degree Assault/Disorderly Conduct If there are no behaviors to report for a school, no record will be needed in file

21 Firearm (GFSA) Discipline File
One record per school and firearm weapon with counts of actions taken. If there are no firearms to report for a school, no record will be needed in file

One record per subset of students disciplined by school More detailed information on students disciplined: Ethnicity/Race Gender Grade Level IDEA/Special Education status Section 504 Status ELL Status Counts of students by action taken

11/16/2018 Jan. 27-Jan. 31 Take a Preliminary Snapshot Data Respondent Creates Preliminary Snapshot Check Student October fields: enrolled grade level alternate_assessment_participant fields Correct any Errors District Assessment Coordinator Verify Roster against IEP Submit Test Order **You are NOT actually SUBMITTING the snapshot until May 8 So after access and user role is assigned, we’ll begin the steps of the collection. The first snapshot you will take is a January Preliminary Snapshot. It will serve two important purposes: Create and verify the roster of testing students; correct any errors. Remember, the data we use is that the student is enrolled in the 11th Grade and that they are qualified to participate in alternate assessment. Check the file layout document for details about these two fields. 28

Feb New Test Order Tab District Assessment Coordinator Orders Materials – NOW IN DATA PIPELINE Use your verified Roster= # needed Feb Order test materials EVERY DISTRICT WILL SUBMIT AN ORDER ZERO= no eligible students OR NUMBER of test packets NEEDED Coordinate with Facility Schools EACH district will submit an order, whether you have any eligible 11th Graders testing or not. Let me repeat…..EVERY district will submit an order….. ZERO = no 11th Grade students testing this year NUMBER NEEDED: ______________ The screen will be found as a separate tab called “Test Order” under the “11th Grade Alt Assess” tab and is not part of the status dashboard. The user will select School Year and Organization, and then the BOCES will be automatically populated. When the Search button is clicked, the information for that School Year and Organization will populate the name, address, , and test number information. The user can modify any of that information as well as enter in the number of tests to be ordered, then click Save. 29

11/16/2018 NEW! Order Test Packets Now in Data Pipeline Preliminary Snapshot Verify Roster Order Test Packets Jan. 27 Data Pipeline CDE will print and distribute the test packets to DACs. We will move the mailing distribution window up a week earlier than this year to March 3-14 to accommodate Spring Break times. Make sure all test administrators have been trained and distribute materials March 18-March 31st prior to the opening of the testing window. Failure to have the tests delivered to the test administrators in a timely fashion may constitute a misadministration. In fairness to Test Administrators and students, it is important that they be afforded the full testing window to complete the 36 performance tasks. Then when the testing window closes, the data entry window opens for the DAC to enter the student’s scores. Feb. 3-7 Complete the Test Order and Save

The new Test Order tab is now active in the system. If there is information pre-populated, simply review, make any needed corrections, and enter the number of packets needed. Be sure to hit the SAVE button.

If you do happen to get a student in before the opening of the testing window, your test administrators can watch the recorded training and we will overnight a packet to you. 11/16/2018 March 3-14 District Receives Materials District Assessment Coordinator Receive materials Keep secure Verify test administrators are trained March 12th 3:30-4:30 Distribute to Test Administrators before March 31st NOTE: TESTS WILL BE SHIPPED TO THE DAC THAT PLACES THE ORDER AND SHIPPED TO THE ADDRESS PROVIDED. IT IS THE DAC’S RESPONSIBILITY TO RECEIVE THE SHIPMENT AND KEEP SECURE UNTIL DISTRIBUTION TO TEST ADMINISTRATORS. March 6th Webinar for Test Administrators and DACS- Verify that all have been trained. Distribute the test packets by March 24th in order to give test administrators time to become familiar with the performance tasks, gather necessary materials and schedule time to test students individually. 33

Components of the Assessment Student Data Collection Sheet Directions & Materials Levels of Independence Scoring Rubric Score Reporting Sheet Test Administrator’s Guide Optional Forms As with any assessment, it is critical for the educator administering the assessment to be comfortable with all the components and understand how to gather necessary materials, plan and set up the tasks in order to complete the assessment in a timely manner. There are 36 performance-based tasks, some are short, while others will take time for the student to be familiar with what is being asked and to respond. It is not the type of test that can wait until the last day and complete all items in one sitting. That is simply not fair to the student and will not yield any useable results. So please make sure your test administrators have March 12th from 3:30-4:30 marked out on their calendars and when you receive the link to register, verify that each person who will administer the test is trained. A narrated PPT version will be posted, but the live webinar is the much preferred training.

Certificates for 1 Clock Hour of training will be provided ONLY for registered participants. If the test administrator does not register, or watches the posted powerpoint at a later time, no certificate will be available. 35

48 Student Parent Association File
NEW this year A sample of Parent Survey information is required from every AU going forward. Administrative Units are responsible for sending out the parent surveys to ensure data requirements for Indicator 8 (Parent Involvement) are met. If your AU meets the required threshold for parent survey information by June 2015, it won’t be necessary for CDE to collect parent address information from you.  The good news: the Student Parent Association File will not be needed in this case (win-win for everyone) The not-so-good news: only AUs who do NOT collect the needed information will be required to submit a Parent File OR an Excel spreadsheet containing the parent addresses to the Data Management System (you have the option of one or the other.) 48
