5. What is PII?
Student Personally Identifiable Information (PII) is defined by state and federal laws as information that, alone or in combination, personally identifies an individual
This includes direct identifiers (i.e. name, SASID, etc.)
Includes information that when combined is identifiable
Colorado’s new Student Data Transparency and Security Act introduces a number of new requirements for how Student PII is collected, used and shared
CDE has prepared guidance on how to comply with this and other privacy laws which can be found here:

6. How to Share Data
Check local policies for restrictions, requirements, etc.
Ensure that you are following local policies when transmitting PII to any third party
Use secure methods to transfer any PII to CDE
Call CDE ( ) with questions about how to transmit PII securely
Use Syncplicity to encrypt s to CDE
Avoid sending PII via unencrypted or to unsecured faxes when sharing data between or within districts
Do not use PII in trainings, presentations, etc.
Do not share PII with unauthorized individuals
Do not share passwords

4 Day School Week Application
REQUIRED Application must be submitted each year!
School districts operating a school on four-day school week (less than 160 scheduled days per school year) are required to submit a request for approval. Only for schools that include grades 1-12.
If you have a school that goes 5 days a week and has less than 160 scheduled days you will need to submit this application. The only difference will be that under the day not in session you will mark as “NONE” To be considered for the of school year, please complete the application via Data Pipeline by Friday, May 11, 2018.
Districts will need to submit a application every year if they have schools that operate less then 160 days.

ASCENT and P-TECH Coding Change
Don’t forget, starting this year seniors being retained to participate in ASCENT and P-TECH can be coded like other graduates except with a 2 retention code.
This coding makes sure that they are included with your 4-year graduation cohort rate
Current ASCENT and P-Tech students should be coded as 90 exit with no retention code, like usual.

Please use this report to confirm with your MKV liaison that your student information system is up to date
