2 Employee Group – What is it?
Link employees who are not connected in other ways such as location or job class Payroll side – useful for dividing who gets paid when without having to use “Exclude Earnings” or “Exclude Deductions” or “Exclude Emp Types” buttons Can add employees to group individually or generate or import options Prerequisite: Must have permissions to access the Human Resources module Employee Master records must exit

3 Create the Employee Group
Human Resources/Payroll | Human Resources | Personnel Setup | Employee Group Master Click on ADD button (Plus sign) to add new group Group – 4 digit alpha-numeric field (Example: SUMX) Short Desc – Can contain up to 10 character (Example: JUNE XTRA) Long Desc – Can contain up to 30 characters (Example: JUNE XTRA CHECKS) Type – Optional field (not used) Code – Optional field (not used)

4 Attach Employees to Group
Human Resources/Payroll | Human Resources | Employee Job/Pay Classification| Employee Group Generate then DEFINE and Choose Group – add a set of individuals by EE numbers, job class, locations, etc. Produce PDF of document – to get message about how many will be added to group OR Add button to add individually and Choose group

5 Attach Employees to Groups Copy/Duplicate button
Use the Find/Search to locate everyone in a group Use the Duplicate (Copy) button to copy the ACTIVE set to another employee group Select Define and select the new group When used: copy all staff from one group to another – then delete the ones that do not need to be in new group

6 Caution and Additional Notes
Employees may belong to more than one group However, it is not advised that an employee belong to more than one Employee Group if they will be used during a Payroll Processing Having employees in Employee Groups does not impact whether an employee has an Active or Inactive Status nor does it have any impact on the General Ledger The Employee Groups an employee is in can be seen from the Employee Inquiry Screen – Emp Group tab – groups cannot be changed in the Employee Inquiry Screen Maintenance to the Employee Groups is required as an employee is hired, changes jobs or is terminated Employees are sorted by Employee Number – not a way in MUNIS – to sort by Last Name, First Name
