1 Translation Workspace File Filters

2 Expectations Course Objective: This course provides information on file filters used for pre- and post-processing translation files. Upon course completion, you will be comfortable with configuring filters for the most common file formats. Duration: 60 minutes Prerequisites: Introduction to Translation Tools Introduction to File Pre- and Post-Processing Suggested Subsequent Training: Translation Workspace Tools Advanced Markup Language Assistant 2

4 Introduction to Filters Definitions
Filters are used to: Convert source files into translatable pivot format files. Parse source text: Separate text into translatable, non-translatable, and internal text. Segment source text: Divide content into translatable-sized chunks. Back-convert target files into original source file formats. Translation Workspace filters are configured using: Translation Workspace Client - Microsoft Word Plug-In Translation Workspace Client - XLIFF Editor Translation Workspace Tools Once a filter is configured in Microsoft Word Plug-In, XLIFF Editor, or Translation Workspace Tools, it can be used in all three applications. Filter selection happen automatically. 4

5 Batch Pre-Processing Using Translation Workspace Tools
Translation Workspace Tools is used to convert source files into translatable pivot format files: Launch "Translation Workspace Tools". Open "Conversion Tasks > Convert" . Set "Tag style" to XLIFF or RTF. Click "Add Files" or drag and drop files to be converted. Click "Convert". LMX configuration files are used to pre-process files consistently. The "Configuration" button allows you to customize the LMX file to define which text gets extracted for translation. This training covers these "Configuration" options in detail. For more information on document conversion, refer to the "Introduction to File Pre- and Post-Processing" training. 5

7 Microsoft Word DOCX Filter Text extracted for translation
The DOCX Filter is used for Microsoft Word 2007 or higher files with the extension .docx. In the supplied filter, the following applies: Extracted for translation: Text boxes Text runs Footnotes and endnotes Headers and Footers Index entries Hyperlink URL & alternative text SDT (Structured Document Tag) text Diagrams & SmartArt text (optional) Hyperlink anchor text (optional) Comments (optional) Field display text (optional) Not extracted for translation: Citations Equations Chart text Field codes (except index entries) Embedded Objects (DOC, XLS, PPT, etc.) 7

8 Microsoft Word DOCX Filter LMX Configuration File Options
In the "Configure Filters" dialog, select the DOCX tab to modify LMX configuration settings for DOCX files: Enable checkboxes for optional text that should be extracted for translation. Click "Save As" to save changes to the LMX configuration file for DOCX conversions. 8

9 Microsoft Word DOCX Filter Manual Parsing
For more flexibility, you can manually pre-process a DOCX file to indicate translatable text. Open the source file in Microsoft Word 2007 or higher as "Encoded text". Add the Translation Workspace character styles using the "lpc_add_logoport_styles“ macro. Save the file as RTF. We now have an RTF file ready to be translated. For more information, refer to the "Introduction to File Pre- and Post-Processing" training.

11 Microsoft PowerPoint PPTX Filter Text extracted for translation
The PPTX Filter is used for Microsoft Powerpoint 2007 or higher files with the extension .pptx. In the supplied filter, the following applies: Extracted for translation: Slides Headers and Footers SmartArt text Notes (optional) Comments (optional) Master slides (optional) Slides layout (optional) Hidden slides (optional) Strikethrough text (optional) Alternative text (optional) Not extracted for translation: Chart text Embedded Objects (DOC, XLS, PPT, etc.) 11

12 Microsoft PowerPoint PPTX Filter LMX Configuration Options
In the "Configure Filters" dialog, select the PPTX tab to modify LMX configuration settings for PPTX files: Enable checkboxes for optional text that should be extracted for translation. Enable checkboxes to select optional segmentation rules. Click "Save As" to save changes to the LMX configuration file for PPTX conversions. 12

13 Microsoft PowerPoint PPTX Filter Manual Parsing
For more flexibility, you can manually pre-process a PPTX file to indicate non-translatable text. Open the source file in Microsoft PowerPoint 2007 or higher. Apply strikethrough formatting to non-translatable text. Save the file. Use Translation Workspace Tools, with "Extract strikethrough text" configuration option disabled. 13

16 Microsoft Excel XLSX Filter LMX Configuration Options
In the "Configure Filters" dialog, select the XLSX tab to modify LMX configuration settings for XLSX files: Enable checkboxes for optional text that should be extracted for translation. Enable checkboxes to select optional segmentation rules. Click "Save As" to save changes to the LMX configuration file for XLSX conversions. 16

17 Microsoft Excel XLSX Filter Manual Parsing
For more flexibility, you can manually pre-process a XLSX file to indicate non-translatable text. Open the source file in Microsoft Excel 2007 or higher. Hide rows, columns, or sheets that contain non-translatable text. Save the file. Use Translation Workspace Tools, with "Translate hidden rows/columns" and/or "Extract hidden sheets" configuration options disabled. Alternatively, you may specify a range of cells that contain non-translatable text, in the "Non-translatable cells ranges:" text field. For example, typing in "'Sheet 1'!A6:B7" will mark cells A6, A7, B6, and B7 on Sheet1 as non-translatable. 17

19 FrameMaker MIF Filter Text extracted for translation
The MIF Filter is used for FrameMaker interchange format files with the extension .mif. In the supplied filter, the following applies: Extracted for translation: Master pages (used in files) Normal pages Text runs Tables Anchored frames Footnotes and endnotes Headers and Footers Footnotes and Endnotes Text boxes Cross references (including format definitions used in files) Variables (including format definitions used in files) Not extracted for translation: Numbering formats (only those used in files) Inline graphics Links to graphics Conditional texts Index sort order (optional) Comments (optional) Hypertext (optional) 19

20 FrameMaker MIF Filter LMX Configuration Options
In the "Configure Filters" dialog, select the MIF tab to modify LMX configuration settings for MIF files: Enable checkboxes to select character conversion options. Enable checkboxes for optional text that should be extracted for translation. Enable checkboxes to select optional segmentation rules. 21 FrameMaker MIF Filter Manual Parsing
For more flexibility, you can manually pre-process a MIF file to indicate translatable text. Open the source file in FrameMaker 5 or higher. Create a character or paragraph tag (format) "LogoportMarkup" or "LogoportDoNotTranslate". Apply the tag to all non-translatable text. Save the file. The filter can process both non-Unicode and Unicode encoded MIF files. You can now convert the file to RTF or XLIFF format for translation. For more information, refer to the "Introduction to File Pre- and Post-Processing" training. 21
