The Internet – The New Wild West
The Internet (and computers) are excellent tools, but like any tool it can be abused. The Freedom and Openness of the Internet extends those benefits to good and bad guys unfortunately. With a few general tips it is easy to protect your organization and your shareholders from serious threats.

Issuer Tip Include data security and risk management as criteria when selecting a transfer agent

Issuer Tip Encourage your shareholders to keep their address and other information up-to-date

Issuer Tip Send a first class mailing each year and follow up on items returned by the Postal Service to minimize accounts that become “lost” – this can lead to escheatment as well as increase the risk of identity theft

Issuer Tip Encourage shareholders to:
review statements and other notices cash their dividend checks in a timely fashion, and monitor their accounts to protect against any fraudulent activity

Issuer Tip Ensure all files that contain private shareholder information are encrypted and/or sent via secure channels

Issuer Tip Protect all printed materials that contain private shareholder information Secure documents in use, and Properly dispose of lists and reports when they are no longer needed

Issuer Tip Have a plan in place to deal with a privacy incident – don’t wait for something to happen to figure out how to respond
