What is the BudgetUVA application?
BudgetUVA application is a web form that is: accessible through the browser, enables users to see budgets for which they have permission to make changes, enables users to make changes on those budgets, And relays budget changes back to and UBI BBA reporting. 5

Why are we making this change?
The process for loading and maintaining budgets in the Integrated System was identified as a major pain point for both central units, as well as the schools/units. By moving to an electronic budget adjustment system, we eliminate the need for paper to be passed from unit to unit, as well as granting schools/units more flexibility in the management of their budgets. The new process allows users to develop revised budgets, while maintaining original budgets for comparison purposes. 6

What is not changing? Budgets that will not be revised in BudgetUVA
FY19 Operating budgets associated with Sponsored Programs will not be loaded into BudgetUVA. The award prefixes for these are: G*,RG,Z*,CS. FY19 Operating budgets associated with Capital projects will not be loaded in BudgetUVA. The project type is designated as Capital. Capital projects can be on any award type. BudgetUVA does not include budgets for State and Local Plant awards, the prefixes for these are SP and LP. 7

How will users access this new form
How will users access this new form? BudgetUVA is accessible via the Integrated System webpage( via a new button. The application is accessed through the secure network as it manipulates sensitive data. It will require users to access using their identity token and the jointVPN service. RESPONSIBILITIES System roles to be used are: Award Manager, Award Oversight 1, Award Oversight 2, and Limited Setup Specialist. Super User roles include GM Set-up Specialist. 8

Will there be training available?
The BudgetUVA Navigation Guide is located on the FP&A website: We are currently finalizing job aids that will assist in the process. Additionally, OFP&A team members will be available to work with users to become comfortable with the new tool. 10

How will this affect UBI reporting?
The BBA reports currently available on UBI and will not change. The reports will reflect the Revised Budget, which you have the ability to update via the form. We will also be working with the UBI team to develop new reports that will allow end users to view Original Budgets, Revised Budgets and Actuals. More information on those enhanced reports will be announced. For those budgets that will remain in Oracle (sponsored program-related budgets and capital projects), the Installment reports will continue to be used. 11

FAQs (1st log in) ? Computer readiness for 1st log-in:
Log-in to Joint VPN before accessing the Dashboard. Click on the ‘BudgetUVA’ login button. Complete your log-in via NetBadge You are in! If you receive a “Page Can’t be Found” error, you need to make a request through ServiceNow to have the following JointVPN filter added to your permissions: Departmental Servers - Contract Servers: VAMS If you receive a “No responsibilities” error message, you do not have an award role on the budgets that are pre-loaded into BudgetUVA. 13
