Different issues combined : Bad Framing, Missing Information and Usage of foreign language
16
Other issues : File size and format
- Files are too big - Attachment must be less than 4MB in Tufman 2 (recently increased to 10Mb) - Too many trips contained in one file - Time consuming to extract each trip - Too many files sent for one trip - Time consuming to insert different pages to have a full trip 1 trip per file, 1 file per trip
17
GENERAL SOLUTIONS AND TIPS
UPON SCANNING : - Sort, separate trips, and verify each trip is complete before scanning Count the number of pages Choose TIF (SLOPS) or PDF format for your scans
18
GENERAL SOLUTIONS AND TIPS
SENDING TIPS : Scan one file per trip / Less than 10MB per file Use IRFANVIEW freeware to reduce file size, if necessary Check the quality of the scanned document before sending Name your file with vessel’s name and trip dates Send your data regularly
19
GENERAL SOLUTIONS AND TIPS
SENDING TIPS (continued): Avoid sending by direct when you have a lot of data to send Don’t wait till you have too many trips to handle Follow up « already sent data » to avoid duplicate sending -> move files to a « sent » folder structure
