3 Tools Application Reader & Decisions Queries & Reports
Unique to Applicant and Department Reader & Decisions Status of Applicant, Department, OGPE, OISS, ELI Queries & Reports Stage of Applicant Management (CRM) Analytics from Prospecting to Matriculation CRM: Deliver Send/Track Communications with Prospecting Lists CRM: events Send/Track Communications about Recruitment Events & Trips to Track Effectiveness As I mentioned there are 5 major tools, the first is “the Application” which is unique based on type of applicant and program of study chosen. For example, Only International students will see visa information If applying to Art History, an applicant will see only pages, questions and material requirements specific to Art History. Overall there are less barriers for an applicant to submit their application The next tool is “The Reader” which is a Work Flow System and where decisions are made. The bin structure inside “The Reader” provides an overview of where the applicant is in the process and what actions have, or have not yet, occurred within different units on campus. Next slide The units include our office as well as, if relevant, the Office of International Studies Services and English Language Institute. The “Queries and Reports” module allows you to target very granular data points by program, by status or any other data points in the system The Customer Relations Management System (the CRM) is very robust and provides analytics from prospecting to matriculation. The major CRM tools in Slate are Deliver and Events. These are the remaining tools to be launched and are in early testing with Keeley and a couple Programs. The “Deliver” tool provides automatic, personalized communications, and campaigns, based on an applicant’s stage in the system This tool also collects and tracks the individual communications on the applicant’s record as well details like the time, location and browser used by the prospect or applicant The second CRM tool, “Events” provides tracking of attendees at recruitment events for easy reminders and follow ups as well as maps and directions for the attendees.

4 Reader BINS The units include our office as well as, if relevant, the Office of International Studies Services and English Language Institute. At this time provides if admitted applicant has requested I-20/DS2019 and if OISS has issued these items. The Main bin you will work in to make decisions is the “Committee Review” bin Go back

Internal UD Systems Integration August Refined with User Feedback September Start External Systems Integration October Refine with User Feedback November Query & Reporting Seminar for Users December CRM Seminar for Users YEAR 1: Implement system by launching the 5 tools I just described 1st 6 months: Implementation Team training Building Application Infrastructure Internal UD system integration; (CAS authentication, Cashnet & Test Score feeds) In August: we began accepting application in new system; refining the application through user feedback from MBA, Winterthur Program, Education, many others In September: We Launched the Slate seminars and began External UD system integration; (IT/UDSIS, Physical Therapy PTCAS feed as well as feeds to 3rd party vendors such as Academic Partnerships & Wiley) This month: You started Read/Admit students: this is another process that is being refined through user feedback Chemistry & Biochemistry (Don Watson) November 4: “Query & Reporting” Seminar December 2 “CRM” Seminar

Office of Graduate & Professional Education (OGPE): best practices Graduate Admissions Processes SLATE functionality How to meet the nuanced needs of Departments within the Best Practices these highlights and customizations have been, and will continue to be, the result of ongoing conversations about: what is functionally possible in Slate (the only limitation so far is time due to a very fast implementation; which seems to be the standard based on other schools using Slate) & what are the best practices in graduate admissions processes

Reading & Admitting October November 4th Queries & Reporting December 2nd CRM & Communications ongoing conversations will occur: as needed between you and the Slate Implementation Team: Mary Martin, Michael Alexo, Keeley Powell, Bill Barnett and myself. they will also occur through monthly Slate Seminars. Completed September and Oct. “Reading and Admitting” sessions Upcoming in Nov. is “Queries & Reporting In Dec. will be “CRM & Communication tools” These will be help on the 1st floor Hullihen Hall room 130 And will be listed on the (OGPE calendar) shortly with a registration form. While there I encourage you to explore the new OGPE website that Dave Barzack launched in late summer.
