Course Title: Keycode Retrieval System (KRS) – CS Course ID: KR101 Issue: Hi and welcome to the Keycode Retrieval System training for CS 1000. Often we refer to the Keycode Retrieval System as KRS, so we will say ‘KRS for CS 1000”, to refer to the component of KRS covered in this training.

Part 1 is an introduction that will cover available KRS & eBusiness tools resources, accessing KRS, and the left navigation menu in KRS for CS 1000. In part all the ways to retrieve a keycode will be reviewed In part 3 - will address Retrieving and generating Keycodes using a URN or Unique Reference Number In part 4 – eAuthorization codes will be reviewed including Numeric and eAuth Codes. Let’s start with Part 1: First, what is KRS for CS 1000? The Keycode Retrieval system or KRS, as we often refer to it, is a global web based software license retrieval tool that is a component of the Avaya Global eBusiness tools suite. KRS allows users to retrieve and generate software keycode licenses for heritage NES product solutions, for the account or accounts assigned to them. Keycodes are created by associating a Site/System ID with one or more Licenses to create a unique keycode that can be loaded onto that specific system to enable SW features Note – View Note Pages for each slide for more details. Select ‘View” then “Notes Page”, or in “Normal View” use your mouse at the bottom edge of the slide to split the window and view the notes under each slide

5 eBusiness Tools Landing Page – to access all the tools !
(Americas, Asia) (Europe, Middle East, Africa) Alternate direct KRS access: (Global) The eBusiness Tools Landing page provides access to ALL the eBusiness tools, as well as links to a variety of information. The theatre specific URLs for the eBusiness tools landing page are listed at the top of this slide. Access the tools – by selecting the tools from the categories across the top of the page. KRS is found under the “Licenses” category. The eBusiness Tools Portal pages – are informational web pages about all the eBusiness Tools. There are several links to the eBusiness Tool portal pages from the eBusiness Tools landing page that is shown in this slide. For example, across the middle of the page: Tools Overview – provides an overview of each tool and who uses them. From this page, you can access detailed pages for each tool Training – provides the quarterly leader led training schedule, training curriculum and links to all the available webinars and self paced learning materials. Support – provides the Global support phone numbers as well as a link to the eBusiness Tools support portal page where you will find a downloadable support document that gives you all the information that you need about support Registering for the eBusiness Tools (at the bottom of the page) – provides step by step instructions about how to register for all of the eBusiness tools, including selecting which eBusiness Tools you require, accessing the tools and PC Requirements. What’s New (also at the bottom of the page) – highlights new items related to the eBusiness tools. The Notification Service (also at the bottom of the page) – is a subscription-based service that delivers notices about the e-Business tools that you select, including application content updates, release dates and special events. Users not signed up for the Notification service will receive no communications about any of the eBusiness tools. Useful Information –found in the left menu on the eBusiness Tools Landing page, includes a folder for each eBusiness tool that provides helpful information such as release notes. To start working with KRS – select <KRS – Keycode Retrieval System> from the drop down menu within the ‘Licenses” category at the top of the eBusiness Tools Landing page, and after entering your Avaya SSO user ID and password, the KRS product family selection page will be displayed.

6 Choose KRS Product Family
Select “Product Family” = Communication Server 1000 Press <Go> button TIP : After a product family has been selected, to change product families, click <Keycode Retrieval> to return to this page 2. This is the first KRS page that appears, whether you accessed KRS from the eBusiness Tools Landing page or using the direct URL. Here the “Product Family” is selected for the required Keycode. Before you can login to KRS you must first register for access to this secure tool. If you haven’t registered go to the eBusiness tools landing page and select the “How to Register for the eBusiness tools link”. After logging in with your Avaya SSO ID and password. Step 1: Select the desired “Product Family” whose keycodes you would like to access For this training, select “Communication Server 1000”. Step 2: Press the <Go> button After you have selected a product family, to change product families, click <Keycode Retrieval> in the grey bar at the top of the page to return to this page 1.

Select <Documentation, Forms & USER GUIDES> Double click the desired folder, select the desired form and right mouse click to save it to your computer Click on <KRS Documentation> for access to the <Release Notes> and <Training> folders The KRS documentation repository contains many forms, communications and User Guides for KRS for each specific product family in KRS. To view all the folders, select the <Documentation, Forms and USER GUIDES> link in the left menu of KRS This opens a folder structure containing all the forms available for downloading. Open the desired folder by double clicking, select the document that you would like and save it to your computer by right clicking your mouse. Click on <KRS Documentation>, as shown by #3 on the slide, for access to the <Release Notes> and <Training> folders

9 Keycode Access Request
When a Partner other than the 'Distributor of Record' needs to download or generate keycodes for an installed system 1. Select <Keycode Access Request> from the left menu in KRS Follow the instructions listed on the page 2. When a keycode is created, the Partner account associated with the purchase order that is used to create the keycode (ex. For CS 1000 system generated keycodes), or the user who created the last keycode (ex. Keycode generated with electronic auth code) is stored by KRS. This Partner account becomes the 'Distributor of Record' for the current keycode. KRS will only permit users who are registered to the Distributor of Record partner account to retrieve keycodes. If a Partner other than the 'Distributor of Record' needs to download or generate keycodes for an installed system, then they need to request a 'Distributor of Record' change in order to gain access to the Site/System ID on KRS. This change process allows Partners to be proactive with future keycode installations and will alleviate emergency support requests for keycode downloads or generations due to incorrect distributor of record data in KRS. The 'Keycode Access Request' process is used to make the change. The process is summarized on the KRS screen. NOTES: Please allow up to 2 business days for the request to be processed. Please note that this process does not affect service contracts. For service contract discrepancies, contact the contracts noted on the page. Resellers should contact their Distributors when such a change is required. This concludes part 1 of the KRS CS 1000 Training. 11 Retrieving “Current” Keycode for a Specific Product
Query a Keycode by entering: System ID (site ID), or Product ID* Avaya Order number Customers PO# and then clicking on the Search button. Partial entry of search data and * wildcard searches are supported System Id’s and order numbers are not case sensitive Press the <Search> button Select desired site Press the <Continue> button 1. By default when Product Family “Communication Server 1000” is selected, the “Retrieve Keycode” page, shown on this slide, is displayed. In the example on this slide, a system ID is entered for step 1 When the <Search> button is selected, KRS will automatically search for all system IDs that meet the search criteria entered. No wildcard is required at the end of the entered value. A Wildcard (*) may be entered at the beginning or middle of the search criteria entered. In the example, KRS has searched for all System IDs that start with the value entered, and you can see it has found several that start with the value entered but end with various values. KRS will display the first 50 sites that match the search criteria in the drop down box as shown by #3 on the slide. Note – that if there are more than 50 entries that match you receive an alert that indicates “Over 50 records were found that match your search criteria. Please try again”. The first 50 will still be displayed as shown by #3 on the slide above. Select the desired System Id from the search results list and select the <Continue> button to view the keycode. 2. 1. 3. 4. 2.

12 Viewing “Current” Keycodes
Select Product Line KRS retrieves the keycode as soon as a selection is made and displays it directly below along with Product Information Change the ‘Product Line” selection to view keycodes for other products associated with the site Note: If you are not the Distributor of Record (DOR) for a site, then the site ID can be retrieved with a view of the “Product Information” display only. The actual keycode can not be viewed or downloaded. A site ID must be re-mapped in order for another Partner to view or download the keycode. 1. 2. After KRS retrieves the specified site’s keycode data, any individual products keycode can be viewed by selecting the product from the Product List box as shown in step 1 on the slide. Once a product is selected, KRS automatically retrieves the keycode and the details of the Keycode are displayed directly below, followed by the “Product Information” section. Note that if you are not the distributor of Record (DOR) for a site, then the keycode can be retrieved and the Product information viewed only. The keycode can not be viewed or downloaded. A site ID must be re-mapped by the DOR or Avaya support in order for another Partner to download it.

13 Download the “Current” Keycode
1. To download the keycode for the currently selected product, select the <Download Keycode> button at the bottom of the “Retrieve Keycode” page Select the <Save> button on the “File Download” window Select where to store the file on your PC, the file name and press the <Save> button 2. To download the current keycode being viewed on the “Retrieve Keycode” page, select the <Download Keycode button> This will cause a File Download box to appear where the <Save> button must be selected. The “Save As” dialogue box will appear where the location on the computer to store the file is selected. KRS will apply a default file name which consists of Site ID, time stamp, sequence followed by keycode.kcd. Select the <Save> button and the keycode file will be saved to the specified location. Note – many of the smaller keycodes are simply displayed in a text editor where they can be saved. 14 Download “All” Keycodes for a Site
To download all current keycodes for all products for the current site in one operation. 1. 2. Select the <Download Envelope> button at the bottom of the page, when viewing the keycode on the “Retrieve Keycode” page Select the <Save> button on the “File Download” window Select where to store the file on your computer Press the <Save> button 3. Select the other download option, <Download Envelope> when viewing a keycode , to download all current keycodes for a given site in one operation. This option allows the use of the Keycode Management Tool (KMT) to view keycodes when users are “off line” from KRS. To use the KMT you must first download this tool and install it on your computer, this is described later in this training. Note the download file extension is .key, the remainder of the file name is consistent with site ID, date/time and sequence number. This naming convention allows repeated downloading of the same file without overwriting previous files. 4.

15 Retrieve all Historical Keycodes for a Site

Select <Retrieve History> option from the left menu Enter search criteria & select <Search> button Select the desired site and select the <Continue> button KRS will display a list of every keycode produced for the site Use the check boxes to indicate which keycodes you wish to view in detail Select the <Retrieve Keycode(s)> button 4. To retrieve all historical Keycodes for a site. Select the <Retrieve History> option from the left menu Search for the site by entering any one of the query fields. Once the search results are displayed, select the desired site and select continue. KRS will search and display a list of every keycode produced for the site. Use the check boxes to indicate which keycodes you wish to view in detail. Once the desired keycodes are selected, click the <Retrieve Keycode(s)> button 5. 6.

16 Retrieve all Historical Keycodes for a Site - continued
1. View the chosen keycodes by selecting from the “Product List “box Download “Individual Keycodes “or “All Keycodes” as described previously KRS will then take you to the view and download screens, where you can view each keycode by selecting from the Product List box. Download “Individual Keycodes” or “All Keycodes" as described in the previous section for retrieving “Current Keycodes”. 2.

17 KMT Tool – Download & Install
The Keycode Management Tool (KMT) is used to view and compare keycode files that have been downloaded from KRS 1. Select the <Download KMT> Option from the left menu Select the <Save> button on the “File Download” window Select where to store the file on your computer Press the <Save> button Double click on the icon to initiate the Setup Wizard The README.TXT file will open automatically and includes an Overview and the User Guide 2. To download the KMT application, select “Download KMT” from the left menu in KRS Select the <Save> button on the “File download” window The “Save As” box will pop up and you can choose where to save the KMT installation program. In this example we will save to our desktop. Select the <Save> button Note that the file name needs to have the .exe extension, if the file is saved with a .txt or .bin extension, you will need to rename the file after it is downloaded to your PC. After the file is downloaded, double click on the icon to initiate the Setup Wizard. Follow all prompts during setup. After the KMT application is installed , the README.TXT file will open automatically and includes an Overview of KMT and the KMT User Guide. 3. 4.

18 Using the KMT Tool View a .Key file – Select <Browse> to find a keycode file on your computer Select the product from the Product list Tools/ Compare – to compare 2 different .key files Tools/ Search – to search for a keycode file on your computer Tools/ Management – allows for the manipulation of keycodes move, deleted etc. File/Print Preview Current or all – to view individual keycodes or all keycodes as they would print File/ Print All or Current – to print keycodes 4. 3. 1. 2. The Keycode Management Tool Application allows users to: To View a single keycode – browse for the .key file as shown above in step 1. Select the product keycode to view from the product list displayed on the left of the screen above. Contains data about the distributor, PO, order #, end user, site ID, software release, features and packages and limit levels enabled by this particular keycode. To Compare two Keycodes – select Tools/Compare - brings up a second screen where you select the two files to compare and then specify which keycodes within the two files to compare. Allows the difference between 2 keycodes to be easily seen. Note: Identical keycodes cannot be compared. To Search for a keycode. Select Tools/Search. This option allows you to search through the logical devices contained on your computer to find a specific keycode. A variety of search criteria is permitted. To Manage keycodes - Select Tools/Management. Allows for the manipulation of keycodes on the local system (moved, deleted etc.) Save Current Keycode - Select File/Save Current Keycode. Allows the keycode being viewed in the "Keycode" window to be saved to disk (i.e. large systems will be saved with all necessary formatting in proper file convention keycode.kcd ). Save All Keycodes - Select File/Save all Keycodes. Allows all keycodes (only that portion that would be seen in the Keycode window) to be saved to disk (separate file or to diskette). Print Preview - Select File/Print Preview Current. Allows viewing of the keycode file as it would be printed. Print initiates the printing of the keycode. Print Preview All - Select File/Print Preview All. Allows the preview of ALL keycodes within the selected keycode file. Print ALL Prints all keycodes contained within the keycode file. Note: There is no technical support available for the KMT Tool

19 View Services Contract(s)
Phil - 1. Select the <View Service Contract(s) > button at the bottom of the page, when viewing the keycode on the “Retrieve Keycode” page Note: Only users from the Distributor of Record for a site will see contract details Non Distributors of Record may receive a message indicating that a contract exists, but no contract details will be displayed Select the <View Service Contract(s) > button at the bottom of the page, when viewing the keycode on the “Retrieve Keycode” page. KRS links to the services contract database to display all contracts for a system ID. This function allows KRS users to easily identify if a site has an existing service contract, using the system site ID. In other words, they are not required to know the contract number. Most service contracts are displayed. Please reference the KRS release notes for any current limitations on contract displays. The Distributor of record for the site will see all the contract details. Non Distributor of Record may receive a message indicating that a contract exists, but no contract details will be displayed.

20 View Auth Code History ‘Auth Codes Used” are summarized on the “Retrieve Keycode” page. Details can be viewed by: 1. Selecting the <View Auth Code History> button at the bottom of the page If eAuth Codes were used to create a keycode then a new summary section called “Auth Codes Used” will appear on the Retrieve Keycode page, and will summarize the eAuth codes used to create the keycode. Details about the eAuth codes used can be viewed by Selecting the <View Auth Code History> button at the bottom of the Retrieve Keycode page 1.

21 View Auth Code History Displays chronological keycode creations, including: Date Auth Code used Authcode # Code and Type of license enabled Order # details This slide shows the details of the eAuth codes that are displayed when the “View Auth Code History” button is selected on the ”Retrieve Keycode” page. 23 Generate a Keycode Using a URN
Keycodes for products using MAC address (ex. Contact Center and CRQM) may be produced and saved differently on KRS depending on the information available at the time of order: Method 1: License Manager MAC address available at time of order Keycode License file sent to the KRS Retrieve Keycode License file is identical to the retrieval process used for all other application keycodes – use Site ID , MAC address or URN to initiate the search Select the Aux ID by selecting the _01 selection Read the slide Method 2: License Manager MAC address not available at time of order Keycode license file will not be generated and will not ship with the order If the Licence Manager MAC address is not available, a Unique Reference Number (URN) is created that is associated with the site ID The keycode must be generated and retrieved via KRS using the URN, after shipment, when the MAC address is known

24 Generate Using URN Access KRS for CS and select the <Generate Using URN> option from the left menu Enter the URN and MAC address(es) for the keycode to be generated. If no License Manager Standby Server has been purchased, then any Standby Server MAC entered will be ignored. Select <Continue> Reenter the MAC address(es) – this ensures no human error in typing Select <Confirm> 2. 1. 3. Read Slide 4.

25 Generate Using URN - continued
If the MAC addresses entered match, KRS will generate the keycode license. This can take a few minutes. Once KRS obtains the generated keycode, it will be automatically retrieved and displayed for the user on the standard “Retrieve Keycode” page, where it may be viewed and downloaded per the normal process 1.

26 Keycode License Regeneration
A new license is required if one of the license servers fails or needs to be replaced. The new license is regenerated for the MAC address of the new license server. KRS typically supports a <Regenerate Using URN> option in the left menu. However, this option has been temporarily removed to resolve errors with the function. Until the <Regenerate Using URN> option is available once again in KRS, contact Avaya Technical Support if Keycode regeneration is required This concludes part 3 of the KRS for CS 1000 training. 28 CS 1000 Authorization Codes
eAuth Codes are merchandise software licenses purchased via a Purchase Order (with or without EC) that are electronically fulfilled by KRS KRS is used to access the purchased eAuth Code licenses and assign them to a System ID to generate a keycode All registered KRS users have the ability to generate keycodes using the electronic Auth Code Process. No Admin access is required! CS 1000 eAuth Codes are accessed via Purchase Orders Resellers use Numeric Authcodes (in lieu of PO’s) to generate Keycodes, as they do not have access to their distributor’s PO’s on KRS Distributors must convert the electronic Auth Codes to Numeric Authcodes and provide them to the Resellers Read slide.

29 Some Notes about Authorization Codes
Authorization Codes are considered merchandise, and therefore, are not covered by the EC quote engineering guarantee: Auth Codes are intended for simple SW license expansions only. Please ensure that the software licenses added via Authorization Codes will not adversely impact the system’s performance. When adding software licenses using Auth Codes, it is important to ensure that the existing DSP limits have not been exceeded since adding software licenses outside of the EC tool could override any DSP engineering in place EC is required for new system software, software upgrades or complex expansions which require engineering Note: eAuth Codes and Numeric Auth Codes are the only way to expand a CS 1000 system on Rls software. These expansions cannot be configured with Enterprise Configurator (EC). How are Auth Codes corrected if they are assigned to the incorrect System ID? Order Management must be contacted for a new keycode A chargeable remake fee will be applied

30 CS 1000 eAuth Code Administration
eAuth Code Administrators are critical as they notify users within their company when a PO has become available on KRS for generating keycodes PO History Reports Allows Users & Admins to generate a report which shows license consumption Inventory Reports Allows Administrators to generate a report which lists POs in their inventory Return Credit Reports Allows Administrators to generate a return credit report which deactivates the Auth Codes purchased on a PO. Report is required as proof of returned eAuth Codes Manage Notification Allows Administrators to set up a list of recipients that will receive an notification whenever a purchase order is posted (“activated”) on KRS for generating keycode licenses from the purchased eAuth Codes Manage Admin Users Allows the Primary Administrator to set up additional secondary administrator user (SAU) access Numeric Authorization Codes (Distributors only) Allows eAuth Distributor Administrators to generate Numeric Authorization Codes that can be used like paper authcodes to generate keycodes Refer to ‘eAuth Code Administration” training for further details

All users have access to Purchase Order History Report Shows eAuth Code licenses ordered and used by Purchase Order Numeric Auth Code Histories by PO# are viewable for users with Distributor privileges 1. Select <Purchase Order History Report> from left menu, under eAuth Code Management Select <Download Report> button to download the report if desired 2.

Once all desired eAuth codes are selected either by PO or by Numeric Auth codes, the <Go To Summary> button is selected which will validate the selected licenses. Note that KRS validates the selected licenses for applicability only. In other words for matching service level. It does no engineering rule validation on the system ID. If you require engineering rule validation, then the licenses must be purchased in EC. Once Validation is complete, select <Generate Keycode> to create the keycode using the eAuth codes.
