2 Welcome

3 VQManager Enhancements

4 Security Enhancements
VQManager

5 HTTPS As part of our ongoing commitment to improving and enhancing VQManager, we have recently completed a major security enhancement. What’s HTTPS?  HTTPS (Hypertext Transfer Protocol Secure) is a communications protocol which guards against any data traffic being maliciously intercepted whilst ‘en route’. So when you enter your password into VQManager, for instance, HTTPS will encrypt it before it’s transmitted. HTTPS running on our own servers will then de-crypt it upon receipt so that it can be read and processed. Any traffic intercepted between yourself and our servers will be in an encrypted form and therefore unintelligible. VQManager

6 Remove password column from all centre admin reports
As part of our drive to improve security in the system we have looked at the Centre Admin’s “Learner Details” and “User List” reports. Both draw information from the system which include the username and password information for every user.  We have decided to remove the password column to ensure that this information does not fall into the wrong hands.  The Centre Administrator can still access and view the username and password by looking at a particular users profile but the user should always be encouraged to use the “Forgotten password” link to establish their credentials should they be forgotten. VQManager

7 Developments since the last user group meeting.
Automatically added Upon request VQManager

8 Automatically Added VQManager

9 E-mailing into VQM - users with more than one account
Previously the function for ing into VQManager didn’t work if you have the same address against multiple accounts.  Now however when an is sent into VQManager, as long as one of these roles is an assessor, the will automatically go to the assessor’s homepage. VQManager

10 Message tab notifications
We have added a numerical badge notifications to the message tab for all users in the same way the existing ToDo and Info tabs have badge notifications.  This will draw people's attention to and encourage them to read the messages left in this area. VQManager

11 List of AP’s now default to rolled up view
As more and more assessment plans are created for each qualification it has been necessary to create a twisty so that by default all the assessment plans by qualification are now displayed rolled up. Click on the triangle to open the assessment plans up for that qualification VQManager

12 When creating AP’s, the “you can do this by…” wording boxes to default blank
When you come to the final page of creating an assessment plan the “how the learner can do it” area is now defaulted to being left blank so the assessor can write any guidance notes they wish without the need to delete all criteria first. VQManager

13 Prompt to sign off qual when all units are complete
At unit sign off, we have added a prompt.  If all units are signed off, the assessor will be asked if s/he wants to go and sign off the qualification. VQManager

14 Assessor alert at qual sign off
At qualification sign off, we have added a prompt.  In cases where not all the units have been signed off a pop up alert will state “Not all units signed off – are you sure?”  This will help especially in instances where the assessor may have been changed mid programme. VQManager

15 Evidence comments on Unit Sign Off page
The Unit Sign Off page now pulls through the comments made on each piece of evidence to assist the assessor with the summative assessment comments. It creates a table so that the assessor is able to see the evidence number, evidence summary, the evidence state, the date the evidence was entered and the comments relating to that piece of evidence.  VQManager

16 Make Gap Analysis report available to learners
The Gap analysis report is now available for the learner in the reports area of the e-portfolio.  By selecting the “progress “ sub-tab on the “Reports” tab the option to choose either the “Evidence matrix” or “GAP analysis” is now available. VQManager

17 Freeze first column of Qualification Tracker
The first column of the qualification tracker is now frozen so that when you scroll right you will always be able to see the learners name against the data. VQManager

18 Usage report VQManager
We have added a column to show the user role, as well as the centre, name and number of log ins. VQManager

19 Other System User and Line Manager reports
We have developed the OSU and Line Manager area to include two reports. Up and coming and overdue Progress Reviews   VQManager

20 Other System User and Line Manager reports
 And Qualification Tracker.  VQManager

21 New version of Unit Sign Off report
In the Unit Sign Off area we have a new report which only downloads the learner's names, and percentages for each unit. VQManager

22 Unit sign off amendments
We have updated the wording in various places in the e-portfolio at unit and qualification sign off to make it a valid declaration. This improves clarity and audit. The “Learner confirmation” tick box now has a declaration statement so (if selected by the assessor) users will see this: VQManager

23 Unit sign off amendments
Assessor qualification sign off declaration When signing off a qualification, instead of “Assessor sign off” it now reads VQManager

24 Unit sign off amendments
IV/IQA unit sign off declaration VQManager

25 Unit sign off amendments
IV/IQA qualification sign off declaration At qualification sign off, the IV/IQA declaration now reads: VQManager

26 Date fields We have had to prevent users from typing dates manually into date fields.  This is to ensure that a valid calendar date is always entered. Invalid dates cause major errors in the system, leading to pages crashing and problems with reports, so we felt this was the best solution to this problem.  (Some users will need to force a 'hard refresh' of their browser by pressing Ctrl and F5 together to see this change) VQManager

27 Rules of combination VQManager
When an Assessor selects or deselects a unit from the “Unit Assignment “ tab, and then clicks on the “save” button,  a pop up appears and reminds the Assessor to check that the rules of combination for that qualification have still been met by those changes. VQManager

28 Add button for Assessor to agree learner ticks
In the same way a Qualified Assessor can agree all of the Trainee Assessors decisions, this enhancement allows an assessor to confirm with a single tick that they agree with all the learner's mapping decisions.  This automatically populates identical ticks for the Assessor. VQManager

29 Show all IV/IQA reports instead of only last 30 days
For the Assessor on the “Info” tab there is a section which appears when a new IV/IQA report has been created in the last 30 days.  You can now from this area view all IV/IQA reports regardless of when they were created. VQManager

30 Send e-mail notification to IV when a unit is signed off
The IQA/IV now receives an to notify him/her that a unit has been signed off. To activate this please go to the “Personal Details“ tab and scroll to the bottom.  Enter your address and indicate from the drop down box which day you should like to receive an with a 7 day summary of units signed off VQManager

31 Sampling plan notifications
IV/IQAs now receive a reminder appearing in their ToDo tab when a sampling plan date is approaching.  By selecting the “sample" link, the user will be taken to the unit where the planned sample will take place.  From this area you are able to see the intentions indicated on the sampling plan and also you can update the sampling plan without having to return to it.   VQManager

32 IV Feedback report - add 'no specific learner'
You can now create an IV/IQA report without having to be learner specific. VQManager

33 Sampling plan updates VQManager
We have added additional drop down selectors to further define the sampling plan view. You can now select the employer and also the learner. VQManager

34 Sampling plan updates VQManager
We have added additional assessment cycle dropdowns to include “Sampling strategy” and “Other” VQManager

35 Sampling plan updates VQManager
We have added an additional column at the beginning so that you can plan to sample a learner but not be specific with regards to which unit you intend to sample. VQManager

36 Added check-box 'unit not sampled' to IV/IQA unit sign off
As an IV/IQA, we have added a check box when you sign a unit off called “unit not sampled” on the Unit Sign Off page. This then allows you to sign off the units without declaring that you have checked all the content.  VQManager

37 Sampling plan units to show blue when 'unit not sampled' box is ticked
Also as an IV/IQA, when you tick the “unit not sampled“ box when signing off a unit, the lower part of the sampling plan unit box now goes blue automatically. This will allow you to look at the sampling plan and know of the units signed off which of those have not actually been verified. VQManager

38 IV/IQA Rationale VQManager
We have added an additional tab where a Rationale can be created as a record of quality assurance intentions associated with a specific assessor who is linked to the IV/ IQA. The rationale can be reviewed, updated and changes tracked and can have multiple IV/IQA access VQManager

39 Please ask for the following enhancements

40 New assessment plan reminder
A table of upcoming assessment plans appears on the assessors ToDo tab. This table allows the assessor to select only overdue, only upcoming (next 7 days), or view all plans    VQManager

41 IV/IQA and EV Activity Log
We have added an activity log for the IV/IQA and the EV.  VQManager

42 Hide EV tabs We have created the ability to hide the tabs relating to the EV if that is required.  VQManager
