Using Excel to Analyze and Organize Student Data

Let’s begin: Take out your laptops and open excel Open a new Blank Workbook

Visit my website - Go to Analyzing Data - Download “Practice Data” Note the guide and the presentation will be available

Download the Excel file
For multiple choice: Scan into GradeCam Go to Reports

Left hand Side Choose “Students” and “By question”

Click on Configure Select Insert row showing correct answers

Go to Download Choose Excel

Multiple Choice Answers
This will download and open a document with all of each students’ answer on each question.

Multiple Choice Key At the bottom of the excel document, you will see the key, as well as the percentage of students that chose each option.

Multiple Choice Key Click on the row number corresponding to the Key and right click. Choose “Copy”

Multiple Choice Key Highlight all of the data, including the key, the student names and all of the answers to the questions.

Go to website and download template
Go to website and download template Paste the data into the template available online for multiple choice in the page named “Multiple Choice Answers”

Go to MC Data Page Go the “MC Data Page”. Note that the template is set up for more than 100 questions and only 30 students. The template also copies the students’ names and question numbers from the previous page. Delete the extra columns and extra rows, if need be.

Creating Item Categories
1. On the top two rows, type in the a. Main Topic: The main topic assessed by the item b. Main Skill: The main skill students are required to use to complete the item

Multiple Choice Analysis
Highlight the entire block of data and click copy. Then click on the worksheet called “Multiple Choice Analysis” Go to the cell A1 and right click Choose “Paste Values”, which is the icon circled to the right

Multiple Choice Analysis
Highlight the entire block of data and click copy. Choose an empty cell and right click Choose “Paste Transpose” which is the icon circled to the right You may now delete all of the columns in which you had copied the values before transposing

Duplicate Page Right Click on the name of the worksheet “Multiple Choice Analysis” Choose Move or Copy and check the “Create a Copy” Box.

Organize Data Highlight Rows corresponding to items and headers & first names Go to Data Sort Click on “My data has headers” Sort by “Skill” Add level Then by “Topic” Add page Repeat Process, but sort by “Topic” then “Skill”

Your data is now organized by skill
Insert a row called “Average (skill or topic)” Compute Average Performance for the first student Click on the “Home” Tab and choose the percent format

Drag cell to all students to compute their average skill Do this for all skills until the average percent correct appears under each sklll

When you are done, copy all of the data and averages. Then “Paste Values” in an empty cell. We are doing this so that when we delete the rows with the raw data, it will not affect the average percent correct for each student

Get rid of extra data Delete all rows except the ones labeled “Average”

Insert 2-D Column Chart Highlight (skill/topic) column and first student column Insert 2-D column chart (see icon)

Insert 2-D Column Chart Move the cursor onto the data until the pointer is a black compass Drag student column and watch chart automatically change Repeat this process on the copy, Multiple Choice Analysis (2), but sort by topic, then skill.

Before we analyze our students, we must analyze our assessment.
For each of the questions, find What main skill would the student need to use to complete the question? What main topic must the student master to be able to answer the question successfully?
