4 About the Registrar The foremost function of the Office of the Registrar is to provide the highest quality of service to students, faculty, administrators, and staff while assisting students and academic units in complying with University policies and procedures. We are the stewards of The University of Texas at Tyler’s student records from matriculation to degree conferral in perpetuity.

8 Course Catalog The Official Course Catalog is overseen by the Vice Provost’s Office and Academic Affairs. After curriculum is approved through the formal process, the Registrar’s Office enters it into the PeopleSoft/myUTTyler course catalog inventory. Once in the inventory, the Department schedules your course in the “Schedule of Classes” in myUTTyler. You’ll propose new courses or course changes to your Chair.

10 Course Catalog Inventory in PS
Data informs State Reporting. Provides the defaults for many fields when your Department schedules classes each semester. Changes must be approved by the Vice-Provost/Academic Affairs. Any changes to things such as prerequisites, course descriptions, and so forth must happen with the Vice Provost’s office first.

11 Schedule of Classes The academic timeline starts early in the Registrar’s Office. Scheduling classes opens months before registration. Registration opens months before the term begins. Once registration opens, changes such as meeting days/times are restricted. The Chair works with the Departmental Admin to get the schedule into myUTTyler, and we work with both for any questions that arise. We provide training to the Departmental Admins on how to use myUTTyler for the Schedule of Classes. Once the Schedule of Classes is in myUTTyler, the Admins can schedule classrooms via Ad*Astra.

12 FERPA All student records at UT Tyler are protected under FERPA. Only certain items, designated as Directory Information, may be released to third parties or discussed with anyone claiming to be the student without making a positive identification. UT Tyler employees can only make a positive identification of a student by two methods: The student appears in-person with a valid, government or campus-issued photo ID The student sends a message from account Please refer to the Office of the Registrar’s FERPA website or the orange and blue FERPA What Faculty & Staff Should Know bookmark for general information. 13 Grading All official grading must be entered via your Faculty Center in myUTTyler; BlackBoard grades are not official. Our office will send s when grades open for each session, after which the Grade Roster icon will appear: Final grade rosters must include a grade for all students to be saved, and are not final until set to Approved status:
