1 IVG Driver Training In-Cab Scanning

2 Safety Information You cannot use the IVG to read or type messages while moving. Exception: a logged in, non-driving co-driver may use the IVG without restriction. You can listen to messages while driving. Review safety procedures. Text-to-speech improves the driver’s productivity and safety as they can safely listen to all or part of the message and determine its importance. They only need to pull off the road if it needs immediate response. The team’s non-driver can safely operate the IVG while the truck is moving.

3 Goals This presentation shows you how to use your onboard scanner to send documents. Each goal above corresponds to an IVG application covered in this presentation. Each application section has an instructor training checklist (found at the beginning of this presentation) to help you train the application in detail. If your company doesn’t use all of the applications in this presentation, remove the section slides and adjust the goal statements. Add your own goals if desired.

5 In-Cab Scanning In-Cab Scanning allows you to send proof-of-delivery documents, fuel receipts, and other important paperwork to the company from the vehicle. You need to know how to: Scan and send a document Verify the scan was sent Calibrate the scanner at least once per month Clean the scanner at least once a month

6 Scan Documents From the Home screen, tap Scanning.
Load the first page, face down, top first, with right edge aligned. Select a document type. Tap to check Preview. Tap Scan Page. Check the preview of the page. If satisfied, tap Accept. To scan another page, tap Add Page and repeat for up to 5 pages. When finished, tap Done. It is important to line up paper that is 8.5 X 11 with the right edge of the scanner. There is a small tooth inside the slot near the right edge that must be covered or the paper won't be pulled through. There are many document types in the list. If none apply, leave it as Unspecified and enter the document type in the comment field that appears when you are ready to send the scan. Preview lets you look at the page to make sure it is readable before you transmit it. To save time when you have a batch of documents (up to five) you may want to preview the first one, and if you're satisfied, turn Preview off for the others.

7 Send Document Select your Driver ID.
Enter a comment or description of the document. Enter Load and Trailer info, if desired. Tap Send. Tap OK to confirm.

8 Verify Send Tap Outbox and locate the document you just scanned.
Look at the icon on the left: Transmitting Sent You can delete a scanned document from the outbox when you no longer need it to be stored on the unit. You can also view the details of the scan. Important: Be sure to tell the drivers what your company wants them to do with the originals. The original scans can be helpful if there are questions to be resolved later.

9 Calibrate the Scanner Tap Options. Tap Calibrate.
Insert black and white calibration sheet or plain white paper. Tap OK and wait for process to finish. The black and white calibration sheet is clearly marked to indicate which side faces up and which end is fed into the scanner. The scanner pulls the paper part way through, and then moves it back and forth, buffing it like a shoe shine before sending it through.

10 Clean the Scanner Tap Options. Tap Clean.
Place a few drops of rubbing alcohol in the middle of the cleaning paper and insert it into the scanner until it engages. Tap OK and wait for process to finish.

11 This concludes the In-Cab Scanning training.
