Microsoft Word - Formatting Pages 2.5 Microsoft Word Formatting Paragraphs FORMATTING PARAGRAPHS Follow up with students on the previous homework assignments. In addition to completing the labs in Section 2.4 before coming to class, students should have watched the four videos for this section (2.5.1, 2.5.2, 2.5.3, and 2.5.4) and completed the Skills Lab (2.5.6).

Adjusting the width of indents. Adding or removing special indents (first line and hanging indents). Formatting a multilevel list with particular numbers or symbols. Applying the full justification alignment style to a paragraph. Formatting block quotations in a formal paper. “ATTENTION” SLIDE: PARAGRAPH FORMATTING CHALLENGES Ask students which of the above tasks they have encountered problems with when trying to format text within a Word document. Mention that after completing this section they should not have any difficulty with these paragraph formatting issues.

KEY DEFINITIONS Block Quote: A long quotation (typically four lines or more) whose lines are all indented from the left margin in a formal academic paper. Bulleted List: An unordered list of items that are set apart by symbols that are referred to as bullets. First Line Indent: A special indentation setting that indents only the first line of a paragraph. Hanging Indent: A special indentation setting that indents all lines except the first line of a paragraph. Hanging indents are typically applied to the entries in a bibliographical list. KEY DEFINITIONS Define key terms that students do not understand. Many terms are better explained using a brief demonstration rather than giving an abstract definition.

Line Spacing: The amount of vertical space between lines of text within the same paragraph in a document. Numbered List: A list of items that are set apart by numbers, rather than bullets or letters. Numbered lists are typically used to list steps or sequential tasks. Paragraph: A group of words or sentences separated by a paragraph mark, which is created by pressing Enter on the keyboard. KEY DEFINITIONS CONTINUED Provide more definitions for key terms. For more advanced students, you may wish to explain the difference between inserting a paragraph break (by pressing Enter) and inserting a line break (by pressing Shift + Enter). A line break forces text within a paragraph to begin on the next line, without creating a new paragraph.

Paragraph Spacing: The amount of vertical space between one paragraph and another paragraph in a document. Ruler: A tool used by Microsoft Office applications to align text, tables, graphics, indents, and margins in a document. Widow/Orphan Control: A setting for paragraphs of more than one line that prevents the first line from appearing by itself at the bottom of a page and the last line from appearing by itself at the top of a page. In-class Practice Do Challenge Lab and aim for the best possible time. The lab can be attempted multiple times, with the task set changing each time. Let me know if you need help on a task. OPTIONAL SLIDE: PRACTICE Use this slide if you want students to spend time during class completing the labs. Possible ways of using the labs include: Complete the Skills lab in class as a group (everyone working together on the same task at the same time). Tasks are presented in the same order for everyone, allowing students to follow along with the teacher. Following the teacher demonstration, students can restart the lab to complete any tasks not passed off. Give students time to work on the Challenge lab during class. Provide enough time for students to improve their times by working through the lab multiple times. If desired, give students a target time to beat, or recognize the fastest times at the end of the practice session. Time permitting, students can work through the Applied lab(s) instead of doing them as homework.

Class Discussion What is the difference between line and paragraph spacing? When is it appropriate to use a first line indent in a document? A hanging indent? A left indent? What paragraphs are affected by changing the widow/orphan control options? When is it appropriate to use a bulleted list? A numbered list? CLASS DISCUSSION Possible answers to the discussion questions include the following: Line and Paragraph Spacing: Line spacing is the uniform amount of space added between each line in a paragraph. Paragraph spacing is the amount of extra space added between paragraphs, before or after the paragraph, or sometimes both. Indents: A first line indent is typically applied to the body paragraphs of a document, especially when no extra spacing is added between paragraphs. A hanging indent is typically applied to the entries in a bibliographical list. A left, or full, indent is typically applied to a block quote in a formal academic paper. It can also be applied to text that needs to be set off from the rest of a document for emphasis. Widow/Orphan Control: Widow/orphan control prevents the first line of a paragraph from appearing by itself at the bottom of a page and the last line of a paragraph from appearing by itself at the top of a page. It affects any paragraph that might break between two pages. Bulleted and Numbered Lists: Bulleted lists are used when the order of list items is not necessarily important. Numbered lists are used when order is important, such as in a list of steps or sequential tasks.

Class Activities Use the Ruler to apply indents to paragraphs: Apply a first line indent of 0.5” Apply a hanging indent of 0.75” Apply a left indent of 1.0” Experiment with other indentation options Just below a paragraph, type several dashes or underscores and press Enter. This automatically creates a bottom paragraph border. Now remove this border from the paragraph. Experiment with other paragraph border options. CLASS ACTIVITIES Time permitting, assign students to participate in one or more of these classroom activities. Because the labs do not simulate it, give students time to practice setting indents with the Ruler. Ask students to start a blank Word document. This would be a good opportunity to show them how to use a function to generate a few sample paragraphs. At the top of the document, type =rand() and press Enter. This will generate five paragraphs with sentences each. You might also suggest =lorem(), which does the same with random Latin text. For more precise control over the number of sentences and paragraphs, you can also include numbers in the function. =rand(2,4) generates two paragraphs with four sentences each. Help the students learn how to remove a partial border from a paragraph. Select the paragraph above the auto-generated line. From the Home tab, in the Paragraph group, open the Borders drop-down list and select No Border.

Line spacing refers to the uniform space between each line in a paragraph, while paragraph spacing is the extra space added between paragraphs. Indentation options include first line indents, hanging indents, and left or full indents. Pressing the Tab key at the beginning of an existing paragraph automatically applies a first line indent to the paragraph. Bulleted and numbered lists can be customized from the Home tab. Paragraph settings such as indentation, alignment, spacing, and widow/orphan control apply to the entire paragraph. Shading and borders can be applied to a selected portion of the paragraph.
