Introduction As can be seen from the diagram, the LDB system can be divided into three main components of input, core components and output. The purpose of output components is to report on the data that is stored in the system. Your database administrator must have granted a read and write access to the database through a username and password. The data can be reported on using Canned Reports, ProClarity, Pivot Tables and the Web Query Tool. The Custom Management Tool can also be used for viewing data that is input in the system. However, this tool is primarily used for manipulating data that is in the system and not as a reporting tool. Data obtained from the database can also be published to CD-ROM or printed on hard copies. This training is concerned with the output of data from the LDB system using these tools. Canned Reports To run an existing Canned Report, open the ADB_REPORTS.XLS. A screen similar to the one on the right will open. Click on ‘Generate Tables’ to generate a report for your country. Canned Reports The system will generate the report for you with the information specified in its template. The picture on the right shows a sample sample report. Canned Reports To create a Canned Report, you need to create a template that will be populated with the data every time you run that report. Canned Reports Click on the ‘QryList’ worksheet
This worksheet looks like the one shown on the right hand side Enter the name of the country for which you want to download the information Alternatively enter the group of countries that you want to report on Enter the series of data that you want to retrieve from the database Enter the years that you want retrieved This is the information that will be downloaded from the system. You do not need to add a country name as these already exist on these spreadsheets Enter the title of the Report. This is the name that will appear when you are generating the report Type in the name of the template that you saved in the templates folder Enter the extension that you want to appear in the table report folder. Introduction - ProClarity
As can be seen from the diagram, the LDB system can be divided into three main components of input, core components and output. The purpose of output components is to report on the data that is stored in the system. Your database administrator must have granted a read and write access to the database through a username and password. ProClarity is part of the reporting tools that are available for disseminating data to the end user in the LDB system. This training manual looks at the types of views of data that are available for the end user using this tool, the available functionality, and its main menus. It must be mentioned that ProClarity is a flexible tool, and its use should not be limited to what is mentioned here. The end user should continue to explore the system and find out ways of interpreting data that best suit their requirements. This is the ProClarity environment From this screen one can explore the dimensions and values that are in the system. In the system quantitative data is called a measure while dimensions describe the attributes (categories or descriptions) of a measure. The dimensions are sometimes called views. The system has the following dimensions: Geography, Indicators, Time, Source, Version and Owner. The measures that are available are Value and User Value. You can look at the specified members of a row dimension, double click on that dimension to automatically refresh the view dimensions pane on the screen. ProClarity The Dimensions pane also gives access to the following functionalities: Select Descendants – allows you to select all the descendants of the current level or member. ProClarity New Set – allows to define a new set of different members chosen against the same dimension. The set will be created at the end of the dimension’s hierarchy. Each time the user select that set, the corresponding members will be shown accordingly. ProClarity Slice dimension – allows the users to select multiple members from a dimension and put that dimension in the background. The sliced dimension will be indicated with a small rectangle on it as the figure on the right shows. The members of the sliced dimension will be available at the upper part of the data grid (highlighted) allowing the users to choose one among all the members belonging to that sliced dimension at a time. ProClarity Restore to Background – this option is only available if the preceding one has been selected. It allows the user to restore the sliced dimension to its original Áll members”value. ProClarity Actions – if actions are defined at a level, this menu will allow you to execute that action. Items containing actions are indicated by a small green triangle at their upper right corner. ProClarity A separate menu will appear when creating new set or new members and by right-clicking on them. This menu will allow you to manage the new sets or members by editing them or removing them. ProClarity The Execute icon allows the execution of a query, based on choices of members in the selected dimensions. The Execution function can also be initiated by choosing Áuto Execute from the View Menu. In that case, each time the mouse pointer is moved to the Result pane, the query will be executed automatically, without pressing the Execute icon. ProClarity By clicking on the Timeline icon, a timeline bar will appear at the upper part of the Result pane The timeline bar allows the selection of a time range more easily than by selecting the corresponding time members in the dimension view The drag facility can be used to select members. The CTRL key button can be used to select non-continuous time members By right-clicking on a selected time space, the timeline can be expanded to the required unit. ProClarity The View icon allows the users to select a graphic representation of the data. By repeatedly clicking on that icon, the user can have different representations of the data and the graph on the result window. Note the down arrow on the side of the icon. This arrow allows users to select the: Advanced analysis tools Different available business charts Way the data grid and the graph will be placed on the result Window The Advanced Analysis Tools are not being described in this training manual However, the user is free to use them should they require it. ProClarity The Filter icon allows the elimination of empty rows and columns and isolation / elimination of specific rows, based on specific conditions To isolate / eliminate specific columns, there is need to pivot the data. This can be performed by right clicking with the mouse on the data outside the data grid and choose the pivot option. ProClarity This section of the training manual looks at the menus that are available in ProClarity. These are Favourites, Book and File menus. Favourites Menu – allows the creation and population of ProClarity with specific defined queries. The available options are: Add to Favourite – Add the current query result (with the corresponding dimensions) to the favorites. It needs to be named. It can also be selected as the home page in which the particular query and its results will begin a session under ProClarity. Show Favourites – opens the Favourites pane on the left of the screen and shows the Favourites defined so far Organise Favourites – allows the organisation of favourites pages by dragging them to order them or delete them. ProClarity Book Menu – is similar to the Favourites Menu concept. Separate pages are created by using different queries and saving them in a book. Unlike the favourites which are available across sessions for a specific user, the book is available only to the current session. However, it can be saved for after retrieval. The following menus are available: Add to Briefing Book – allows the addition of a specific query to the current briefing book. The briefing book pane will open after having clicked on the menu. Organise Briefing Book – allows the organisation of different pages of the briefing book. Show Book – opens the book on the main window. Configuration – allows the system to check for any discrepancies between the members defined in the briefing book and the members defined in the cube. Publishing Properties – this option can prevent some functionalities to work on the published book. The functions of the pivot tables are similar to that of ProClarity. It operates in an Excel environment which may prove useful for many users who are familiar with the system. Its limitation is that it can only be accessed by one user at a time and data cannot be shared in the same manner as is the case with ProClarity.
