4. Life Insurance Enrollment Form
This is the form that we’ll try to build with the PeopleSoft Forms and Approval Builder (FAB). It’s a Life Insurance Enrollment form that is required to be completed by an employee to enroll in or change their insurance and dependent elections.

10. FAB – The ‘Challenges’
Be ready to fill-in EVERYTHING. PS Forms doesn’t offer auto-population or defaulting; users manually complete every field on the form that is needed for a particular transaction.
NO conditional form behavior. PS Forms are designed to show everything to each form participant, and not enable the conditional display of data or form details.
LIMITED approval routing. PS Forms are limited to simple, linear approval paths unless you undertake technical development with the Approval Workflow Engine.

All or nothing access. As delivered, anyone with access to PeopleSoft Forms has access to ALL PeopleSoft Forms.
Watch out for field limits! You’re limited to how many of certain field types you can have in your form (e.g. 10 checkboxes, 5 long text fields, 8 date fields, 10 dropdown fields)
Only one ‘Owner’ (user) can be assigned to modify a form.
Since all forms share the same generic Record, Query Manager does not display unique field labels – only generic field types for every form

Final approver must click ‘APPROVE’ and then ‘SAVE & POST FORM’ to pass form data to Component Interface (and no notification sent to administrator if Component Interface isn’t successful)
Cannot change approval routing after form has been activated

Does not store approval log data

Hiding the complexity of a business process from its participants is like burying a pyramid in sand. The more you want to hide, the more work it’s going to be, and the tools you use can determine how effective and efficient your solution will (or will not) be. Many tools like PeopleSoft Forms and Approval Builder and non-PeopleSoft-based form builders only let you automate part of the process, leaving it up to your users to know which form to use for which action, what data to enter (and whether that data is accurate), which fields to fill out, which ones can be left blank, etc. What if you could make it easier on them?

There is a trade-off to be made and a balance to be struck between the project investment and the user experience. Every inch higher on the pyramid requires more sand to bury than the inch before it. You only pay for the project once, though, while you reap savings from a simple user experience over and over.
