Data Collection Process
General Process: Download instructions, script, & agency supports Print call logs (individually or in a batch) Send postcard informing student/family of interview Assign calls to someone who is familiar with the student Make sure this person has access to the PSO application Complete interview with student/family member using online data entry Paper copies should only be used when the application is unavailable.

Applications Menu From the District Website under Quick Links, you will find a link to Find Security Administrator. That person will give you access to the application. District decides who should have access – system designed to allow interviewers to enter data online as data is collected. Click on Special Ed Post School Outcomes 2.0.

Post School Outcomes Data
Agency contact information must be entered here. Include contacts for the collections, teachers, and interviewers. Please make sure to update your contact list yearly. Both the Exit and the Follow Up collection start with the choice of entering data or viewing reports and data downloads. Special Ed Post School Outcomes Data Collection

Exit Interview Optional collection, but critical for getting contact information. Opportunity to engage student and family in the PSO process. Collection open February and closes in September. Agreement to participate required from parent or adult student, contact information can be collected at any time of the year. Data can only be entered when collection is open. Enter names, contact information and interview data for students expected to exit for the final time.

Agreement to Participate
Exit interview – Signed agreement to participate is required to interview students still in school. Can be found at Follow-up interview – Agreement to participate form is not required, as it is implied when the student or family member answers the questions. Districts are required to conduct follow-up interviews, even if the student or family refused to participate in the Exit interview.

Are you having people fill answers in a on paper copy? This takes 2x as much time . Think about having the district security admin give the people doing surveys access to PSO2.0 so they do it only 1x

Strategies for Contacting Hard-to-Find Youth
Provide Pre-Notification In school, discuss the interview with students Share what district has learned from past students Include PSO information with other information Have students identify who should call them during last IEP meeting (teacher, coach, etc.) Create Familiarity Best motivator from study = help other students Practice interview School districts that did exit surveys were more likely to successfully make contact with students The calls made by Teachers, Administrators, teachers, IA’s and YTP were more likely to result in complete interviews!

Strategies for Contacting Hard-to‐Find Youth
Show Interest When Conducting the Survey Be enthusiastic and interested in the answers Convey a non-judgmental tone Provide Incentives Remind students that information will be shared to help other students and improve school services. Modest, $5.00 monetary incentive to “hardest” of the hard to find youth Maintain Contact Know who in family is still in school Leave call back number on messages so youth know it’s you Use PSO logo on all materials, reminders, etc.

you may receive a post card, like the one below, alerting you that your high school may be calling you to ask some questions. Please help your high school and fellow students, by taking 10 minutes to answer those questions.

The (insert School or district name) needs your help! We want to learn from former students how we can improve high school transition services. You will receive a phone call that asks questions about what you have been doing since you left school, such as have you worked or gone to school? Answering the questions will take about 10 minutes. Teachers will use answers from students like you to learn what they can do to help other youth get jobs and go to school after high school. To make sure you have a chance to answer the questions, please call xxx-xxx-xxxx to help the district find you or a family member who can help with this information. We want to hear from you: what you tell us is very important. Questions?
