4 Where We Stand: Preliminary Data Load
We have recently loaded into eHIVQUAL data from an updated preliminary Azara extract. These data will be overwritten in a couple of weeks and should not be edited or augmented at this point. While this extract included the information we needed to populate the indicator fields and most other patient-level parameters, we did not have information that would have enabled us to definitively assign a patient to a particular facility within your organization (if you have more than one site of care). We also were not able in most cases to determine whether a particular patient was enrolled in your HIV care program as of the end of 2016 (i.e., was an “active” patient, per our recent terminology for organizational cascades).

5 Where We Stand: Other Limitations to Loaded Data
For many patients, missing yes/no values in Azara extract related to diagnosis of primary syphilis. We are confirming with them that blanks should be treated as “No” and will refresh the eHQ site accordingly. STI treatment details have not been loaded yet: For almost all patients, missing or non-actionable information for medication frequency (does/day) and duration of treatment. These fields will be left blank in eHQ. Medication name and dosage data needed to be parsed from “messy” text data. We will update the site as soon as possible with this information

6 Next and Final Steps: FQHCs
Make updates to the organization-specific patient care status template and return the file using the same password to me at by 4/25/17. Do not add patient names. Review the preliminary data and follow up with Azara asap about any final data mapping problems. Review the final data when loaded and make any last “tweaks” to the data. Run reports and identify QI needs. Formally submit data on the eHIVQUAL website. Make corrections as required after AI review.

7 Next and Final Steps: Azara
Make final corrections where practical to data mappings from each organization’s EMR to CPCI warehouse (and, in turn, to the extract). Given time constraints, this will probably be restricted to easy fixes. Run final extract and send to the AIDS Institute.

8 Next and Final Steps: AIDS Institute
Compile patient care status information from each FQHC. Make updates to the preliminary upload to incorporate all available STI indicator data. Review options for converting additional missing data elements to explicit “unknown” values (e.g., Race and Risk) for non-active patients. Reload data when final extract is available, merging in information you have provided regarding care status. Review submissions, approving or requesting edits.
