MD Online IEP System Instructional Series– PD Activity #4
Accessing the IEP Welcome to Accessing the IEP of the Maryland Online IEP System Instructional Series. This PowerPoint will represent the “Presentation” section of this PD activity and will demonstrate how to: Use Student Compass to locate a student’s case Locate the IEP module within the MD Online IEP System Locate Work on Next IEP, Active IEP or past/archived documents Locate the utilities associated with an IEP Navigate between Student Compass and IEP module This document was developed and produced by the MSDE, Division of Special Education/Early Intervention Services, in collaboration with the Johns Hopkins University/Center for Technology in Education. Navigation Tips Selecting any text in blue results in additional information being displayed on the screen The Table of Contents for the IEP appears in a linear list, but in fact, any element of the IEP can be chosen in any order as you work through completing the IEP Some helpful navigation tips to keep in mind while interacting with the MD Online IEP System are: -When blue highlighted text appears, additional information is available. By selecting the blue text, the viewer will be directed to the area chosen. Examples include: Parent contact on the left hand side or IEP Team Meeting information. The Table of Contents includes all elements of the IEP listed in the order they appear in the document. However, the MD Online IEP allows the user to move to any element for completion at any point in the process. Audit features will assist in locating information not yet completed.

Student Compass – Caseload
After logging in, a Teacher or School-Based Admin will have the Notification page displayed in Student Compass. To access a student, you can select a student’s name from the list. For example, clicking on Alex Samplea meeting notification will take you to Meeting section in Alex’s record. Students can be selected from the Notifications, Monitoring, or Meeting sections. If the student is selected from the Notifications, Monitoring or Meetings section, the MD Online IEP System will display the same page, but at the student level. For example, if you select a student from Notifications, the Notification page will be displayed, but only that student’s notifications will be displayed.

Student Compass-Caseload
In addition, you can select a student from the Case Matrix. After choosing Case Matrix the screen will display Cases and Search. Cases will be an alphabetical list of all active student records you would have access to. Additional filters are available to assist in locating student records in the Cases list that meet the following criteria: Not Eligible, Exited, Eligibility 3, 4 or 6, Cases that include me as a team member, or Inactive. From the Case Matrix you also have the option to use the Search function to locate a student record.

Student Compass – Student Level
If you select the student from the Notifications list at the Caseload level, the student level Notification page will be displayed. Student Compass is now at the student level. The second band of buttons in blue are: Notifications, Monitoring, Profile, IEP Summary, Meetings, and Forms and Logs. Selecting any of these buttons will navigate the user through the student level of Student Compass. All information will be for the specific student selected. You can select any of the student level options to view information, access an IEP, or create a new form or log for this student. You can switch between the caseload and student level easily in Student Compass. To return to caseload level information, choose any of the sections listed at the top of the screen: Students, Monitoring, Meetings, Reports or Administration and you will be once again at the caseload level.

Student Compass – Locate the IEP
After locating a student’s case, you choose the Open IEP button on the left side of the screen to gain access to the students IEP. You can also choose the IEP Summary button to review the essential elements of the student’s active IEP before choosing the Open the IEP button at the top of the screen. The Table of Contents will then display the elements of the IEP. Choosing either of these options to open an IEP means you are leaving Student Compass and accessing the IEP Module. Once in the IEP module, return to Student Compass by choosing the Student Compass link in the top left of the page.

IEP Options The Active IEP will display after choosing Open IEP. The additional options at the top of the screen will enable the user to begin or continue work on an Amendment, access the Next IEP, or view Past IEPs. Choosing Amendment will give the user the option to “Copy from Active” or continue working on an Amendment in progress of development. Choosing Next IEP will display a new Work on Next IEP or a draft IEP if an IEP is in progress of development. Choosing Past IEPs will display a chronological list of the complete archived IEP history for the student. To view one of these IEPs, choose the IEP date highlighted in blue.

IEP Table of Contents Once the type of IEP is chosen, the Table of Contents will be displayed. From here, the user can select the element of the IEP that needs to be developed or reviewed. Recalling the tip given earlier in the presentation, the Table of Contents for the IEP appears in a linear list but in fact, any element of the IEP can be chosen in any order as you work through completing the IEP. If the user would like to return to the Student Compass to review any other information at the student level, simply choose the Student Compass link at the top left of the screen. A quick search field is available at the top of the page. To access another student’s case, type a student name in the Lookup Student field to search active cases.

IEP Table of Contents From any screen within the IEP, there is a Table of Contents link at the top of the screen. Choosing this link will take the user back to the Table of Contents.

Other IEP Utilities At any time while developing or viewing an IEP, the user has access to additional features or functions useful to IEP activities. These can be found in the Table of Contents as Utilities. Utilities are located at the bottom of the Table of Contents and include: Copy from Active IEP Assign Team Members Print IEP Audit IEP Close Record
