November 18 Introduction TimeRecorder is a electronic time capture system, which works best when used in conjunction with a central invoicing system such as Star System Solutions Pty Ltd's “StarProjects,” however it can be used stand alone. StarProjects is a computerised project costing & billing system which can integrate both with TimeRecorder and an external accounting system in order to provide business’ with the complete time capture / Project billing and accounting tool. November 18 Product Registration Until a version of StarProjects using Trial or Extension registration is fully registered as a Production version, StarProjects will prompt the user each time it is opened to ‘Register Now’ or ‘Register Later.’ When the 90-day Trial or 30-day Extension period has expired the StarProjects system will prompt the user to ‘Register Now.’ If this option is not accepted StarProjects will close, preventing any further usage of the system until official Production registration codes are entered and saved. November 18 Product Registration When registering StarProjects as a ‘Production’ version, the user must quote the registration serial key to the product distribution Vendor and enter and save the Registration Code that is provided. November 18 Moving Around The user can use the Tab or Enter button to move forward from one field to the next. The Shift button in conjunction with the Tab button can be used to move backward from one field to the previous one. Some function keys can be used to access functions within StarProjects. November 18 Moving Around The Ctrl and Alt buttons can be used in conjunction with other keys in order to access more functions within StarProjects. The arrow keys, alpha or numeric keys can be used to navigate down a drop down list. The space bar can be used to select or unselect any checkbox. The blue default company screen allows the user to double click into the field to access the company lookup screen. The General and contact information are used by the system to print on all invoices generated by StarProjects. November 18 GL Accounts & Posting Codes The GL Accounts maintenance screen allows the entry and maintenance of an internal General ledger accounts for reporting purposes when integration does not exist The Posting Accounts are duplications of the Debtor posting codes that exist within the external accounting system, and are used to control the posting of AR invoices to the correct posting code during integration. November 18 Host System Integration If integration is active, the creation / alteration of the FIRST project within the StarProjects system, will cause both a General Ledger ‘Reference Type’ called ‘Projects,’ as well as creation of a GL ‘Reference’ record with the client/project code within that ‘Projects’ Reference Type, to be created in the external Accounting system such as in Platinum ERA by Epicor. Each new project after this time, will only cause the creation of the relevant GL ‘Reference’ record. The reference key format set within the Name & Options screen will control the information that will make up each reference created within the ‘Projects’ Reference Type of the external accounting system. The ‘Reference Type,’ ‘Projects’ must also be linked within the GL of the external accounting system to individual accounts, or masks of accounts, within the General Ledger ‘Account Reference’ screen in order to facilitate integration. November 18 Please Note If Microsoft Access is used, the user would need to grant READ ONLY rights to the StarProjects tables to the particular user. The % is designed to allow the user to set up their reporting allocation for a project whereby the project is shared between / broken down between a number of reporting nodes. For Example: If you created a report node called ‘Industry’ then created two sub report nodes of this Industry node calling them ‘Wholesale’ and ‘Retail’. Within each project you could then use the Wholesale and Retail nodes in the Project Reporting tab and allocate the relevant % to each of them. Then using the external report writer the user can generate a report showing how much work has been done in the ‘Retail’ ‘Industry’. (In the report the user would take the % figure and multiply it by the invoiced total to get invoices for that Report node.) November 18 Synchronisation The user must synchronise in order to update the StarProjects Master data files with new client, project, resource and activity masterfile details. The user can synchronise for selected masterfiles or for all masterfiles as often as required whenever required. The Masters data files will be over written each time a synchronise occurs ensuring that the newest masterfile details are maintained. When the synchronise process takes place, StarProjects will create *.LSV files that contain the up to date masterfile data maintained within StarProjects. These *.LSV files can then be distributed to users via - collected by Individual users from a network location during the synchronise process within TimeRecorder or synchronised via a Wide Area Network (WAN).
