1 Introduction to school IT systems
RHS, october 2008 Version 1.0

2 Elements in school IT systems
Logging on to a PC Using the BlackBoard system Using programs via Citrix The SMS Service The RHS system The personal network drive RHS – APF IT 1 – 2008

3 Logging on to a PC When you turn on a PC, you will meet a login dialog
In this dialog, you must enter your user name and your password It is important always to remember your user name and password!! Common mistakes when entering a password: Forgetting to use CAPITAL letters where needed Having the Caps Lock button switched on Forgetting numbers in password If your login fails too many times, you must go to the IT Help Desk in Building 3 to get a new password RHS – APF IT 1 – 2008

4 Using the BlackBoard system - 1
When you have logged onto a PC, you will be able to use the Internet Explorer browser You can find the Internet Explorer by clicking the Start button, and choosing the Programs menu After starting the Internet Explorer, type the address bb.rhs.dk in the address line (NOTE: you should not type ”www” in front of the address). This should take you to the BlackBoard (often just called BB) starting screen. The Internet Explorer should now display the following screen: RHS – APF IT 1 – 2008

6 Using the BlackBoard system - 2
At the BlackBoard starting screen, you click on the ”User Login” button After this, you should see the below screen RHS – APF IT 1 – 2008

7 Using the BlackBoard system - 3
At this screen, you now enter your user name and password, and click the ”Login” button The user name and password are the same as you use when logging on to a PC. If your login was successful, you will now see a screen which looks something like the following (NOTE: The screen will look a bit different for students): RHS – APF IT 1 – 2008

8 Notice the ”Logout” button
Here you will probably have ”Courses you are attending” RHS – APF IT 1 – 2008

9 Using the BlackBoard system - 4
Inside the BlackBoard system, you can see various information about the courses you are following This information can be: Announcements from the teacher Links to course materials Schedule for the upcoming classes Changes to the schedule Take a bit of time to ”play around” inside BlackBoard, and see what information you can find You leave BlackBoard by clicking the ”Logout” button RHS – APF IT 1 – 2008

10 Using programs via Citrix - 1
Citrix is a so-called ”thin client” which allows you to run programs located on a school server via the Internet This means that if you have access to the Internet, you can always run the programs, even from home. The Citrix system is started using the Internet Explorer, as we did for BlackBoard as well. After starting the Internet Explorer, type the address unvcitrix.rhs.dk in the address line (NOTE: you should not type ”www” in front of the address). This should take you to the Citrix starting screen. Internet Explorer should now display the following screen: RHS – APF IT 1 – 2008

14 Using programs via Citrix - 3
Inside the Citrix system, you can start various programs, in particular you can start programs from the Microsoft Office package (in the ”Office 2003 English” folder). Word (text processing) PowerPoint (presentations) Excel (spreadsheet) Access (database) Frontpage (web-design) Note that the actual programs do not run on your own PC, but on the server. You leave Citrix by clicking the ”Log Off” button RHS – APF IT 1 – 2008

15 The SMS Service - 1 It is possible to receive information from RHS by means of an SMS. This information may concern Changes to schedule on short notice Messages from the administration Any other form of (short) communication which needs to be sent out on short notice Example: A teacher becomes ill on the evening before a lecture, and sends an SMS to all students informing them that the lecture has been cancelled RHS – APF IT 1 – 2008

16 The SMS Service - 2 In order to subscribe to the SMS Service, you must do the following: Start Citrix, as described before. Once you have started Citrix, you must start the Internet Explorer from the ”Application” window in Citrix – not from your own desktop! In the Internet Explorer, type ”elevsms” – and only that! This should bring up the ”elevsms” Login dialog: RHS – APF IT 1 – 2008

17 The SMS Service - 3 In the Login dialog, you now enter your user name and password The user name is the same as you use when logging on to a PC, BUT… You must write ”unv\” in front of it!! Like ”unv\abc” The password is the same as you use when logging on to a PC This takes you to the subscription screen, which is in Danish… RHS – APF IT 1 – 2008

18 Please enter your Mobile Phone number
Welcome, (your name) Please enter your Mobile Phone number Subscribe (When you click this button, you will be subscribed to the SMS service) If you have a foreign number, also enter the country code (like +46 for Sweden) RHS – APF IT 1 – 2008

19 The RHS system - 1 All students are given an account at RHS, with the account name <user For instance, if your user name is ”abc”, your account becomes Most of you probably have a private account already, so you can choose to forward the s from your RHS account to your private account. RHS – APF IT 1 – 2008

20 The RHS system - 2 It is a little bit complicated to set up forwarding of , but you only have to do it once! In order to forward s from your RHS account to your private account, you do the following: Start up Internet Explorer, either from your desktop or via Citrix – both ways work fine. In the Internet Explorer addres line, type This will take you to the Login screen for the mail system (which is in Danish…): RHS – APF IT 1 – 2008

21 This is a public or shared computer (just keep this setting)

22 The RHS system - 3 In the Login dialog, you now enter your user name and password The user name is the same as you use when logging on to a PC, BUT… You must write ”unv\” in front of it!! Like ”unv\abc” The password is the same as you use when logging on to a PC This will start Outlook Web Access, which is a web-based interface to the system First time you might see a dialog where you choose the language – choose ”English (Great Britain”) RHS – APF IT 1 – 2008

23 Most important to notice is the ”Options” button, which takes you to the ”Options” screen
RHS – APF IT 1 – 2008

24 In the ”Options” list, click ”Rules” and then click ”New Rule”
In the list that appears, choose ”Create a new rule for arriving messages” This will open a ”Rules descrip-tion” dialog RHS – APF IT 1 – 2008

26 Enter your own, private e-mail address here
In this dialog, you enter the address of your own, private in the ”To->” field, and then click ”OK”. The dialog closes, and back in the ”Rule Description” dialog, you now click ”Save” If a confirmation dialog appears, click ”OK” RHS – APF IT 1 – 2008

27 The personal network drive - 1
If you for instance create a Word document, you may want to save it somewhere. Since you may not be able to use the same PC at a later time, you should not save files to the PC itself. In order to keep a file you have worked on, there are two options: Save the file to the personal network drive (the ”H:” drive) Save the file to a USB memory key RHS – APF IT 1 – 2008

28 The personal network drive - 2
Try to start Citrix (as we did before), and start the ”Stifinder” (Danish for ”Explorer”) program In the Explorer, you will be able to see a ”H:” drive The drive called ”H:” is actually a folder on a server PC. Files saved here will also be available from other PC’s (and are backed up) The H: drive is your personal drive – only you can access it! RHS – APF IT 1 – 2008

29 The personal network drive - 3
It is a good habit to save your work on the ”H:” drive! You can access it from other PC’s, and it will be backed up. NOTE: You can only access the H: drive when working through Citrix. If you want to use an Office program, and save the work to the H: drive, you must start the program through Citrix. RHS – APF IT 1 – 2008

30 The personal network drive - 4
If you for some reason do not want to use the H: drive, you can use a USB memory key instead. If you use a USB key, the key will appear as a new drive in the Windows Explorer (the precise letter for the drive may vary) You can then save your work to the USB key, also if you do not work through Citrix If you use a USB key: remember to bring it along to the lectures!!
