Installation of the plug-in
First of all, you have to install the plug-in in order to synchronize your data from Outlook to the CRM database. Please follow the steps described in the attached document © 2008 Capgemini. All rights reserved 3

How to synchronize your appointments ?
You can synchronize in the CRM database the appointments which are already registered in your Outlook agenda. You are also able to use this functionality when you record a new meeting with your customer for instance and you want to store this information in the CRM database. Let’s take an example with the following meeting : Interface between Outlook & CRM. If you enter in this meeting, you will be able to see a blue line on the top of your screen. It’s called “Shared with sales Cloud”.

Double click on the blue line “Shared with Sales Cloud” in order to precise where you want to synchronize this meeting in the CRM database. Multiple options Account Contact Opportunities

How to synchronize your appointments ?
We advice you to synchronize data on Opportunities as it will keep this information in your entity. We remind that all data linked to Accounts & Contacts are shared with all the SF entities. Later, you will be able to find easily this appointment in the CRM database even if you search with the name of the customer as the opportunity is linked to this account ! In order to precise the name of the opportunity on which you want to synchronize your appointment, please select the following icon

A pop-up will be displayed with all the CRM opportunities in which you belong to the team. Select one and valid your choice by selecting OK.

15 minutes later, this appointment will be displayed on the activities of the selected opportunity.

How to synchronize your e-mails ?
You can also synchronize s you’ve received (or you sent). Once you will enter the , a blue line will be displayed on the top of your screen. It’s called “Share with Sales Cloud”.

15 minutes later, the you have synchronized from Outlook will be displayed on the activities of the selected opportunity. Please note that the attached documents which were recorded in your will also be stored in the activity of the CRM database.

How to synchronize your contacts ?
You will be also able to synchronize your Outlook contacts to the CRM database thanks to the plug-in. In your Outlook application, you can notice that you have 2 kinds of contacts. Outlook contacts : these contacts are only stored in your Outlook database. Sales Cloud contact : these contacts are stored in both databases (Outlook & CRM).

How to synchronize your contacts ?
To synchronize a contact, please select one of your “Outlook contact” and select the icon “Convert to Sales Cloud”. Your contact will disappear during few seconds and will reappear with a new icon

How to synchronize your contacts ?
You must select the name of an account in order to finalize the synchronization, otherwise the contact will be orphan in the CRM database (as it won’t be linked to any customer).

In order to precise the name of the account on which you want to synchronize your contact, please select the following icon A pop-up will be displayed with all the CRM accounts in which you belong to the team. Select one and valid your choice by selecting OK.

Your contact is now linked to a customer Once you will save your record, the icon of your contact will change , as a new “Sales Cloud contact.

How to synchronize your contacts ?
15 minutes later, the contact you have synchronized from Outlook will be displayed as a contact of the selected customer.
