The emerging role of Institutional CRIS in facilitating Open Scholarship
Anna Clements, Assistant Director (Digital Research) Jackie Proven, Repository & Open Access Services Manager University Library, University of St Andrews Funder and grant acknowledgement: all you need to know This short session will explain the value of acknowledging funders and grants in your publications, and the best way of doing this. We will cover statements about underlying research data, the basics of linking papers, as well as funding and data in Pure. There will be a presentation, practical demo, and time for questions covering: why proper funding acknowledgements in published journal articles are necessary good practice and standard formats for acknowledgements capturing funder and grant details – in submission systems and in Pure benefits of funder acknowledgement – compliance, reporting, visibility of research linking publications and data access to underlying data not forgetting … correct author affiliation Henry Legg

Definition of a CRIS ‘… any informational tool dedicated to provide access to and disseminate research information’ ‘… a database or other information system to store and manage data about research conducted at an institution’ Anna Clements/Jackie Proven LIBER 2015, London, June 24-26

Why do we need a CRIS The pain of RAE2008 REF will require at least as much data collection by Universities RAE/REF determines a third of research income in UK .. £1.5/2billion Anna Clements/Jackie Proven LIBER 2015, London, June 24-26

What do I have to do? Can I please use one system? Great … I can reuse the information Great … I can see all my stuff together Wow.. It’s been downloaded how many times? Yes - please can I have a DOI for my paper’s data Anna Clements/Jackie Proven LIBER 2015, London, June 24-26

Workflows for data entry
Collecting metadata earlier and collaboratively Different skills and roles Flexible approach – discipline specific Chemistry – decentralised ‘pathfinder’ model Physics, Medicine using ArXiv or PubMed APIs Humanities carefully crafting and uploading revised manuscripts How to make this work, using the CRIS to help, but adapting to support varying practices Chemistry – prolific authors, frequent deposits, need admin support with enough knowledge to help at key time Physics – not disrupting a practice that works Humanities – understanding sensitivities, single-authored works etc Anna Clements/Jackie Proven LIBER 2015, London, June 24-26
27
Workflows for data entry
This is the minimum we need from you: Title of paper Author name(s) Journal title Year of publication Date of acceptance Accepted manuscript Simple, ‘need to know’ basis Link any grants supporting the work Anna Clements/Jackie Proven LIBER 2015, London, June 24-26
28
Advice on data management
Additional actions Library advises authors on additional funder requirements Library advises on funding for immediate OA Follow-up and advice Library contacts authors/office for additional information and/or correct versions Library validation Library enhances metadata Library checks version, applies embargoes School office enters article in PURE Create new metadata record Upload full text accepted manuscript Author notifies School office Forward notification Send accepted manuscript Article accepted by publisher Author receives notification (Library may receive notification) People in the chain know about it and can step in to provide support Data can be revisited, with revalidation triggers Advice on data management Anna Clements/Jackie Proven LIBER 2015, London, June 24-26

Changing culture Support in the right places leading to change of attitudes – ‘it’s actually not that hard’ Anna Clements/Jackie Proven LIBER 2015, London, June 24-26

CRIS as ‘lightning conductor’
Attitudes to copyright and ownership Complexities in the publication process Data on research activity previously unseen Visible trends eg changing deposit culture Dialogue on compliance v benefits Standards, tools and expectations of interoperability Many things visible that were previously known only to corresponding authors – shared understanding and responsibility, the idea of stewardship Anna Clements/Jackie Proven LIBER 2015, London, June 24-26
