4 The 3 steps to planning … Step one decide what the worksheet is going to do “that’s its purpose” Step two decide the calculations needed to make it work “how to get the outcomes” Step three decide how you want it to look “the formatting”

5 Read the brief or scenario …
this is the list of everything that needs to be included in the worksheet and everything that needs to be produced from the worksheet - outcomes

6 Decide the purpose … What is the worksheet supposed to do for the user? If you know what the worksheet is supposed to do, it is easier to create it

7 Determine the calculations …..
Decide what calculations you need to include These will be your outcomes

9 How would we put this into a worksheet?
How much we spent on single items The cost of each single item The quantity bought To get the Cost figure, we’d need a Calculation to work out cost Totals And a Calculation to add totals

10 Step 1 : Key the basic data in
In Excel, when you key the Price figures, no zeros will appear even if you key them in

11 Step 2: Calculations required How do we do the cost calculation?
CLICK IN THE CELL WHERE WE WANT THE ANSWER D5 Key = Click on the Quantity cell B5 Key the operator * Click on the Price cell C5 Press ENTER (answer will appear in D5)

12 How do we do the total calculation?
CLICK IN THE CELL WHERE WE WANT THE ANSWER B11 Click on Autosum icon Click and drag down across the Quantity cells Cell references will appear Press ENTER and answer will appear in B11

13 Step 3: Formatting Decide the look you want
what formatting is required?

14 Okay. Now I need to follow the steps to develop the worksheet and achieve the purpose

15 What were my steps … Step 1: key basic data
Step 2: work out the calculations and key them into the actual worksheet Step 3: apply the formatting to the actual worksheet

16 Last step is checking whether the worksheet does what you want it to do – that is, budget for the groceries we are going to buy.

17 Yep, done all that!

18 How do I test my calculations?
Change the Quantity of items purchased – does the Cost cell change to match? Change the Price of one of the items – does the Cost cell change to match?

19 If you have done everything that was needed, then Well Done!
If you haven’t, then fix up anything that’s wrong! Remember to re-check that calculations are working!
