4  Overview

5 Acceptable Use of Technology
Signed user agreement form “Acceptable Use of Computer Technology (AUP)” - Policy 8080 Policy Student Records and Confidentiality Policy Technology Security

6 General Laptop Information
Teachers have administrative rights Teachers can load approved and licensed software applications Software Approval Process (SAP):

7 General Care Store in appropriate location Avoid touching the screen
Avoid heat/cold Keep the laptop in a secure location Avoid touching the screen Avoid completely draining the battery – if the battery is completely drained on the Windows side you will get a black error screen when you power up - select “start windows normally” Wipe screen and keys with a soft anti-static cloth No magnets near laptop Note: please do not use the Magic Eraser because it can mar the finish on the laptop. Appropriate locations - be sure to point out that it should not stay in a car overnight or prolong exposure to heat or cold All laptops have spill sensors

8 Backing Up Files In the event of malfunction, laptops will be re-imaged You are responsible for backing up instructional files on a regular basis Two methods: 1) REQUIRED: Save to server 2) OPTIONAL: Save to external source Burn to CD/DVD Copy to an external hard drive USB device (not as your primary back-up)

9 Wireless Protocol All new laptops are equipped with wireless cards, however your primary method of accessing the network is through Ethernet Wireless networks must be approved by the Technology Officer Wireless access is available through approved wireless networks within your building, or home wireless networks IT IS BEST TO TURN OFF THE WIRELESS WHEN YOU ARE PLUGGED IN WITH AN ETHERNET CORD

Connect to the Internet Have the same software that they had before the replacement plan (WILL NOT have new Office) Can print Use the Network account information to log in Green light indicate connection to the server on the login screen

12 Legacy Computers Connected to the Server
Does not connect to the server These computers offer a generic login for students, teachers, and guests Users should NOT save files on a public computer- save files on a removable device Anything saved to the computer can be accessed by anyone else using the computer Ignore the red light on the login screen Works with or higher Use the Network account information to log in Users can access files to the server Green light indicate connection to the server on the login screen

24 Accessing the Server/Networ k

25 Changes to Teacher Login
All staff and student accounts will use their Network Account The Network Account has been referred to as your remote ASPEN at home login High schools and administrators are currently using the Network Account This is the first step in a move toward a single sign-on.

26 Network Account HCPSS is moving toward an Active Directory system meaning that one username and password can log the user into many different systems. Wikispaces hcpss.wikispaces.net DEStreaming Inroads Your Network Account username and password will give you access to: Your assigned teacher laptop (Mac OS) Your assigned teacher laptop (Windows OS) Lab & building computers on the network Remote Access ( (to use Aspen from home) Aspen Document Repository First Class /CLC Intranet Over time additional functions will be added to AD. Today everything listed above requires individual login credentials. You must be at school and on the network to change your passwords.

27 Change Password – Preferred Method (Mac)
You can change your password by going to the system preferences - Accounts After changing your pw: Logout and login with new password while connected to the network (Ethernet cable plugged into the wall jack) so you can login from home If you have Windows installed: Username and password are the same for each OS You need to logout and login with new password while connected to the network Note: Your login Remote/Home Aspen password is the same as your Mac and Windows login password. Changing the password for one will change it for all of these. Aspen from school is separate from this.

28 Password Change – Alternative
You will need to change your password by going to the following website: After changing your pw: Logout and login with new password while connected to the network (Ethernet cable plugged into the wall jack) so you can login from home If you have Windows installed: Username and password are the same for each OS You need to logout and login with new password while connected to the network

29 Home Directory Folder Desktop items and items in the Home Directory are only available on the local machine. In order to access files from other computers when logged on to the network, those files must be dragged to a Network folder (Network Home, Campus, Hand In/Out). House = Local

30 Network Home Folder All teachers have a folder on the server called “network home” and is represented by their login name. This server has 5GB of space and can only be accessed at school. All students have a folder on the server called “network home” and is represented by their login name. This server has 1GB of space and can only be accessed at school.

31 Campus Folder The CAMPUS folder is shared server space that can be accessed by any teacher on the instructional network.

32 Hand-In /Hand-Out Folders
Hand In folder can be viewed by icon by everyone – but only the individual students can open up the document and edit. If documents must be completed within a deadline – teachers should drag files out of the hand in folder and put into another folder on their machine. Hand in and Hand out does not count against your server quota. Hand out folder is completely open – Any teacher can create folders – strong recommendation to keep consistency for folder names. Process of transfer of old server data will happen on Day 1 and Day 2

33 KB < MB < GB < TB
Server Information Student data Teacher data Students are allocated 1 GB of server space. Teachers are allocated 5 GB of server space. KB < MB < GB < TB

34 Manually Accessing the Server Folders
Itinerant teachers still need to mount the server manually when they are not at their home school. The server address will be different at each school site. Go > Connect to Server > Add specific school server address. This address can be communicated from server admin. The address is also listed in the sidebar/shared area when connected to the server. Itinerant teachers would want to write down the server addresses they will need. Here are examples of school server addresses for teachers and for students

35 Changes to Student Login
High School: Login remains the same Middle School: Login remains the same (except for a few duplicates in names from each school) Elementary School: Login will be similar to the current login.  The new login will add 2 letters to make all ES student logins unique across the school system i.e. bw12s001 (bw=Bryant Woods) CHECK: schools will receive list of student accounts

36 Login Protocols Teacher login- any teacher laptop Use the Network Account jwray Teacher login- student computer HCPSS\User’s Network Account HCPSS\jwray Student login- any teacher laptop INST\Student login (must be connected to server) ES: INST\bw12s001 MS: INST\12jdoe HS: INST\ Student login- any student computer Use the student login ES: bw13s001 MS: 12jdoe HS: Every staff member has a Network account (this includes substitutes) Teacher login help- contact x7004 Student login help- contact x1553

57 Updates to Microsoft Office

58 Working with New MS Office Files
The new version of Office comes with new file extensions (e.g., .docx) The “x” is for XML- a file format allows users to share Office files across platforms- a Word document created on a Mac has no problem being edited in Word on a PC The new Office application file extensions: Word: .docx PowerPoint: .pptx Excel: .xlsx

59 MS Office Conversion File -> Save As…

60 MS Office Conversion Change the default (Preferences)

61 Standard Toolbar- Ribbon (Mac)
QUESTION- will the mobile labs be “locked down” or be able to be accessed by other laptops? Office 2008 now has a clean Standard Toolbar that not only please the eye, but also reduces clutter; these improvements make it much easier to use. Toolbars still exist within Office 2008, but they are task-specific and are only available when they are needed. When the task has been completed, they are put away to help maintain a clean workspace. Navigation Pane Toolbox Elements Gallery

62 Standard Toolbar Select View>Toolbars - and choose the toolbars to add

63 Toolbox/Palettes There are two ways to open the Toolbox/ Palette
1) View -> Formatting Palette 2) Click on the Toolbox icon on the toolbar In the New Formatting Palette you can manage: Citations, Scrapbook, Reference tools, Compatibility report, and Projects

64 Elements Gallery Select the Gallery button on the Toolbar New in 2008 the Elements Gallery offers tabs to enhance presentations

65 Navigation Pane The Navigation Pane in Word is a new way to view a document that is very similar to the Slide Preview Pane in PowerPoint. A page-by-page thumbnail preview of a document is provided in a sidebar.
