This lesson will review fields within the Multi Family Bid Form.
For instructions of how to complete the form and create a bid, please refer to Module 01, Lesson 03 (Creating a Multi Family Customer Bid)

Overview Keeping your Multi Family Bids constantly updated with correct information will help you avoid the following: Incorrect material being sent out. Orders coming back short. Invoices being billed incorrectly = potential loss of property Phone calls that take you away from selling. The Multi Family Bid will take the place of the Customer Information Form (CIF) – everything will now be online in real time Review the Pricing Policy with GM/Sales Manager

Form Header This lesson will go over various fields on the Multi Family Bid Form and it’s associated Tabs. We will walk through an example of creating a bid in another lesson.

Bid Number and Description
Customer Service will not be able to place an order without an active bid. It is essential that you have a clear Bid Description when there are multiple bids for a customer. Bid # Each Bid will have a unique identifier. The number for a New Bid is generated automatically by the system upon bid creation. Bid Description Enter a Description for your Bid. This would typically be an unique identifier such as “carpet only, no pad”, “Bedroom only” or “vinyl throughout” etc. Customer Service will not be able to place an order without an active bid. Bid Description will be selected after the Customer and Floor Plan. Therefore it is essential that you have a clear Bid Description when there are multiple bids for a customer.

Customer vs Prospect Prospect Has NOT gone through the Credit process
Is NOT set up in the system, therefore orders may not be assigned Customer Has gone through the Credit process Is set up in the system and may have orders assigned Prospect Has NOT gone through the Credit process Is NOT set up in the system, therefore orders may not be assigned Once the Prospect becomes a Customer, the Bid must be changed to reflect this and may be then be set to “Active for Orders”

Management Company Mgmt Company
The Management Company will default from the Customer selected and will be a read only field.

Price Code Price Code Select the appropriate Price Level for the bid. This allows the correct price to be pulled during order entry and invoicing.

Tax Code Tax Code Read Only Field – User can not edit.
The tax code will populate from the Customer selected.

Quote Dates Quote Date = Enter the date of the creation date for the bid. Active Start Date = The Effective Date of the Bid. The date that prices shown on the bid will become active on work orders. Active End Date = The Expiration Date of the Bid. The date it becomes Inactive for Orders.

Active and Release Active for Orders
Check box to allow the bid to be used in Order Entry. Uncheck box to prevent bid from use in Order Entry. Release to Portal Check box to allow the bid to be used on the Customer Portal. Uncheck box to prevent bid from use on Customer Portal.

Action Buttons Action Buttons
Access to Forms that are linked to the Multi Family Bid form. These forms will be explained in more detail in another lesson.

View Details Button View Details Action Button
Editor’s Note: Need more detail / better explanation for Details Button. Perhaps different tutorial as will make sense after floor plans entered. View Details Action Button A Floor Plan Details collection is updated when the View Details button is pushed. This form is for viewing purpose only. Radio buttons at the top allow user to further filter the grid results to show only the details for the job type or show all.

Material (Job Type) Tabs Material, Labor and Extras for Job Types are distributed across multiple tabs
