2 Answers a few Questions Question 1: What one thing could you do (that you arent doing now) that if you did on a regular basis, would make a tremendous difference in your personal life? Question 2: What one thing in your academic life would bring similar results?

3 Whats Important List the 3 things that are most important to you. Examples: Family, Friends, Pets, Food, TV etc.

4 Your it The only person on the whole earth that can effectively manage your time is you. It takes more then a feeling to put things into action, it takes a plan In addition to self-awareness, imagination, and conscience, it is the fourth human endowment- independent will-that really makes effective self- management possible.

5 Integrity The degree to which we have developed our independent will in our everyday lives is measured by our personal integrity. Integrity is fundamentally the values we place on ourselves. Its our ability to make and keep commitments to ourselves, to walk our talk.

6 Effective Time Management Effective management is putting first things first. While leadership decides what first things are, it is management that puts them first, day-by-day, moment-by- moment. Management is discipline, carrying it out.

7 Generations First there was Notes and Checklists Second was Calendars and Appointment books Third takes parts from the first two and adds the important idea of prioritization

8 4 th Generation Rather then focusing on things and time, fourth generation expectations focus on preserving and enhancing relationships and on accomplishing results.

9 Time Split Our time can be broken up into one of 4 areas.

10 Quadrant 1 This area is both urgent and important. It deals with significant results that require immediate attention. We usually call these activities problems or crises. People who operate in this quadrant all the time are crises managers, problem minded people and dead-line driven producers.

11 Quadrant 2 This is the heart of effective personal management. These are the things that are not urgent but important. This area deals with building relationships, long range planning, exercising, preventative maintenance and preparation. The more work done in this area the less time you have to spend in quadrant 1.

12 Quadrant 2 Remember the questions you were asked at the beginning of this presentation? My guess is they will fit into quadrant 2. They are obviously important but not urgent. Because they are not urgent we dont do them.

13 Quadrant 3 There are people that spend the majority of their time in this quadrant thinking they are working in quadrant 1. They spend most of their time reacting to things that are urgent, assuming they are also important. The reality is that the urgency of these matters is often based on the priorities and expectations of others.

14 Quadrant 4 This is the area that is not urgent and not important. Spending the majority of your time in this area will lead to a life of irresponsibility, being fired, bad relationships and other negative consequences. This area should be used for recreation and not an escape from crises.

15 Importance When we say something is important in time management what does that mean? If something is important, it contributes to your mission, your values, your high priority goals. We must act to seize opportunity, to make things happen.

16 Saying No We say yes or no to things daily, usually many times a day. A center of correct principles and a focus on our personal mission empowers us with the wisdom to make those judgments effectively. Its good to say no to activities that will take us off-track or that violate our principals and main mission.

17 Roles we play List all the different roles we play throughout the week. Leave room to the right of each role. Individual, Son/Daughter, Football Player, Student, Friend etc.

18 Example of goals Individual- Rent and watch the film Big Fish Football player- Practice the playbook for a half hour each night Son- Help around the house, wash the cars Student- Study for the history test for one hour

19 Set some goals Beside each of the roles, write down one goal for the week. Having a goal is good but it wont get done if we dont set a time to do it. Write down each day of the week and put the goals into the day you will accomplish the goal.

20 Your mission Make a copy of the goals and the days you will do them. Next week a report will be due, and needs to answer these questions. 1. Was it helpful to schedule tasks? 2. Which did you complete? 3. Would you have completed them without writing them down and setting the time aside? 4. Will this exercise change the way you organize your time?

21 Last words Remember to schedule your time using the lens of importance and not urgency.
