Script for Slide: The University System of Georgia or (USG) is involved in a system-wide initiative focused on improving administration through: creating efficiencies, streamlining processes, and finding ways to be more effective with USG resources.

4 How Do We Get There? The Activity Assessment is a tool being utilized by the USG to help collect employee input regarding their time and effort spent on administrative activities, functions, and responsibilities. Key Takeaways: Mandatory for all employees who have substantial administrative duties Employees who are dedicated to teaching, research, and direct patient care roles are excluded from the assessment Supervisors will review & confirm employee responses Individual responses will not be confidential Activity Assessment Administration period: 8/22-9/5 Activity Assessment Supervisor review period: 9/12-9/21 Script for Slide: How can we improve our administrative practices? USG is utilizing a tool called the, “Activity Assessment” to help collect employee input regarding their time and effort spent on specific administrative activities, functions, and responsibilities. Here are some of the key things to know about the Activity Assessment: It’s mandatory for all employees who have administrative responsibilities Since this is about administrative functions, employees who are dedicated to teaching, research, service and/or direct patient care are excluded from the assessment Supervisors have two roles. Their first will be to complete the assessment themselves and the second is to review & confirm their employees’ responses to ensure as much consistency of interpretation and accuracy of the information as possible For that reason, the individual responses of employees will not be confidential The Activity Assessment Administration period begins on Tuesday, August 21st and will end on Wednesday, September 5th The Activity Assessment Supervisor review period begins on Wednesday, September 12th and will end on Friday, September 21st

5 Activity Assessment (Cont.)
Assessment Objectives Collect effort (FTE) allocated to administrative support functions and other activities to support comparative benchmarking and analysis across departments, schools/colleges, and institutions Participants/Scope Individuals with broad administrative duties. Positions with primarily teaching, research, and direct patient care roles or with little administrative duty will be excluded from this assessment Script for Slide: The objective of the Activity Assessment is to collect employee effort dedicated to certain administrative support functions. You will be reporting your effort based on the proportion of your time devoted to Administration. This will take into account whether you are full-time or part-time too and will be explained more specifically further in the training. The information compiled from the activity assessment will help support comparative benchmarking and analysis across departments, schools/colleges, and institutions As mentioned earlier, the activity assessment will be completed by employees who have broad administrative duties/responsibilities. However, employees who are in positions with primarily teaching, research, and direct patient care roles or with little administrative duty have been excluded from this assessment across the University System. It is important to note that the Activity Assessment is NOT a performance review, compensation review, or a means to get to a planned reduction in force (workforce). And, because the supervisor review is a critical element to ensuring we are capturing things consistently across the breadth of our organization, the responses to the Assessment are not confidential. Also, please do remember, this is a mandatory requirement from the University System of Georgia. We know how busy everyone is, but it is crucial that you consider this to be a part of your responsibilities over the new few days. Please Note: This is not a performance review, compensation review, or reduction in force Individual responses are not confidential and are mandatory.
