CCP New Admission to Elwyn

NOTE: This training resource shows admission process for an individual new to Elwyn. This admission process is to be used only for those individuals who are new to Elwyn and currently do not have an Elwyn Company on record. Admit to the Company Admit to the Program Add the Address Add the Diagnosis and Diagnosis Detail for Billing Add a Bed Appointment Add a Payor Other training guides have been created to assist with adding other fields as required (ex: demographic profile, personal insurance, and natural supports)

Add General Information
Complete the required fields Any field with a red asterisk * is required and you will not be able to continue until the fields are complete. When done, click SAVE to continue. NOTE: clicking SAVE will enable other tabs and allow information to be added. Clicking SAVE will also update the name of the contact at the top of the record, and create an ID #.

Admit to Company Click on the Companies tab to expand.
Click on the plus sign (+) to add a new company. IMPORTANT NOTE: Admission to the Company must be done as the first step. Once you admit to the Company, the proper Program, etc will function.

Admit to Company Click in the Company field to expose the magnifying glass, then click on the magnifying glass. A drop down menu, or option set, will appear. Select the company. Admission Date- NOTE: this field will populate with the current date. To change, click in the field and a calendar will appear. Select the date from the calendar. You may also type the date in the field. Select an Admission Reason from the option set. To expose the option set- click in the field. Save and Close

Admit to Program Click on the Programs tab to expand
Click on the plus sign (+) IMPORTANT NOTE: Admission to the Program

Admit to Program NOTE: The Company and Patient fields will already be populated from information previously entered. Start typing the name of the program I the Program Unit field. Click on the magnifying glass for options and select the correct program. The Admission Date will be populated with the current date and time. To change, click in the box and select the date/time from the calendar. Click in the Admission Reason field to show the option set. Select the Admission Reason.

Admit to Program To select an Admission Provider, start typing the name of the provider. Click on the magnifying glass for options, then select the correct provider. Save & Close

Add an Address Click on the Address tab to expand
Click the plus sign (+)

Add an Address Click in the Address Type field and select HOME from the option set. NOTE: to bill, the Address Type must be set to HOME.

Add an Address Type in the Street Address.
Type the Postal Code then click outside of the field OR press ENTER on your keyboard. NOTE: this will populate the City, State, State Abbreviation, County and Country.

Add an Address Click in the Effective Date field and then select the date of the Effective Date. NOTE: this should be on or after the admission date.

Add a Diagnosis Click the Diagnosis tab to expand
Click the plus sign (+) IMPORTANT NOTE: a diagnosis MUST be added before a Bed Appointment can be assigned.

Add a Diagnosis The Diagnosis Set will default to ICD 10.
To search for the diagnosis, start typing the name of the diagnosis in the ICD 10 field. Click the magnifying glass to search. Select the diagnosis.

Add a Diagnosis If the diagnosis does not appear, click Look Up More Records at the bottom of the menu. A new window will open. Type the diagnosis in the Search field and then click the magnifying glass. To select the diagnosis, click next to it to make a check mark. Click Add

Add a Diagnosis Add and Effective Date.
Click in the field to select a date from the calendar, or type the date in manually. Click SAVE NOTE: Click SAVE so that Diagnosis Detail can be completed. By saving the form, a plus sign will appear in the Diagnosis Detail box. Diagnosis Detail must be added for billing.

Add a Diagnosis- add Diagnosis Details.
To add Client Diagnosis Details- click on the plus sign. NOTE: as noted in previous slide, the form must be saved before adding the Diagnosis Details. The Client Diagnosis will show the Diagnosis saved in the Diagnosis Tab. Click on the magnifying glass in the Client Program. This will show active programs associated with the client. Click on the program to select.

Add a Diagnosis- add Diagnosis Details.
Type the Rank in the field. As this is the billing diagnosis, the rank will always be 1 (one). To select the Diagnosis Type, click in the field and select Billing from the option set. Enter an Effective Date by clicking in the field and selecting a date from the calendar – OR – type the date in the field. SAVE & CLOSE NOTE: Save & Close the Diagnosis Detail, then Save & Close the Diagnosis

Bed Appointment To add a Bed Appointment, click on the tab to expand.

Bed Appointment To admit a person to a Bed Appointment, start by adding the Scheduled Admission date then the Actual Admission Date. These dates should match. Click in the fields provided and select the date from the calendar. NOTE: The Client, Client Program, and Service Item fields will be pre-populated.

Bed Appointment When admitting to a bed, the Appointment Status should be ACTIVE. Click in the field and select ACTIVE from the option set. The Service Status will be OCCUPIED. Click in the field and select OCCUPIED from the option set.

Bed Appointment To add the Client Diagnosis, click on the magnifying glass and select the diagnosis. NOTE: this is the diagnosis that was set to billing in the Client Diagnosis Detail. The Client Diagnosis must be selected in the Bed Appointment to sync with the billing process.

Bed Appointment To admit the person into a bed, type the name of the program in the Bed field. Click the magnifying glass to show the Program, Room # and Beds. Select the Room # and Bed. Click SAVE & CLOSE
