3 e-Time Weekly Payroll History
The School of Arts & Sciences developed an electronic payroll system to process their weekly payroll several years ago. A Penn initiative, led by the Division of Human Resources, modified this system and began a pilot launch across the University. Wharton’s initial pilot started October 2015 with four BAs and one Wharton School/Center Administrator. There was little documentation and no formalized training program.

Recently, the Division of Human Resources expanded the pilot and collaborated with others to provide ad-hoc training classes, develop the Knowledge Link courses, and create Quick Reference Guides As the University moves toward HCM (Human Capital Management), all Schools are encouraged to use the e-time system to enable a smoother transition to electronic format HCM anticipated go live date is January 2019 Wharton’s Goal: All BAs to train and implement e-time for weekly payroll by 12/31/17

5 e-Time Weekly Payroll Transition Status
Penn’s HRIS Data Analyst conducted two ad-hoc training sessions for Wharton Payroll Org Administrators Org Administrators also completed at least two Knowledge Link courses 35 BAs representing 106 orgs have converted so far 6 BAs with 12 orgs remain to be transitioned 4 BAs will convert by mid-February representing 6 orgs

Minimizes manual UMIS entry, reduces paper Allows supervisors to approve timesheets remotely Improves accuracy – illegible writing eliminated, mathematical errors minimized Sends weekly reminders to submitters and approvers, reduces need for late pays Ensures compliance with Fair Labor Standards Acts (FLSA)
