BloomBoard Training Preparing Learner Accounts for EOY Evaluations

Processes Vary Please remember that different states and districts have different EOY evaluation processes. These slides and the information presented in the webinar reflect a range of processes. Your view and selections available to you will likely vary from the information shown in training, but the basic actions of selecting, assigning and modifying will be consistent across organizations.

Presentation Sequence
OALs choose whether to assign classifications or evaluators first. There is no prescribed sequence. Navigate to user management tools Assign learners to Classifications and then modify assignments Assign learners to Evaluators

Navigate to Bulk User Tools
Manage users > Can assign classifications and observers to learners on an individual basis, but inefficient Click Manage & create multiple users

Assign Learners’ Classifications
Apply rubric filter to refine user list, if desired When you assign a learner classification, you ensure the learner receives the appropriate EOY evaluation. Classifications are related to user roles and they determine which evaluation components are used for the learner and how they're weighted. Choose EOY Classifications from menu Exclamation point symbols – one or more users do not have EOY classifications Learners without EOY classifications display in pane Can see there are over 1000 users without classifications in this organization Can use filters to choose users to scale the list to users with the profile Will look more comprehensively at filters later. For now, will apply the Rubric filter, which can help to narrow your list to users with a similar role in the organization. Choose the rubric and click Close.

Assign Learners’ Classifications
Select users Once your list is filtered to the appropriate users, you can begin to select users to assign a classification to in bulk . Again, we’ll spend a little more time on the filters a bit later – want to get an overview of the process here. Click the users you want to assign a classification to. As you click, your selections accumulate – you don’t need to press any keys on the keyboard. To deselect a user, just click the tile again. If you want to select all the users on the screen, click the Select All link. You can also Deselect All. Once users are selected, open the “Select an end of year classification” menu.

Assign users to classification To assign users, select a classification from the menu and click Save. Assigned users are removed from the display. A banner displays indicating # of classifications made.

What is the No end of year evaluation needed classification? Some states and districts have an alternating year evaluation cycle for certain school personnel. If your organization evaluates personnel every other year, you will see a classification named No end of year evaluation needed and should assign it to users who are not being evaluated this year. Note: Only Org Admins in alternating year evaluation cycle districts see the No end of year evaluation needed classification. To assign users, select a classification from the menu and click Save. Assigned users are removed from the display. A banner displays indicating # of classifications made.

Assigning Evaluators FIRST:
Learners MUST have a learner-observer relationship with the EOY Evaluator. You must assign learners to their proper evaluators. Learners who have only one observer are automatically assigned to that observer, but that is the only assumption the system makes about evaluator assignments. There are 3 scenarios you may need to address when assigning evaluators. Learners with multiple observers Learners with no observer Learners with an one observer

Assigning Evaluators Evaluator assignment scenarios
Learners with multiple observers - select the appropriate evaluator from a menu or assign via upload. If the correct evaluator is not in the menu, you must create a learner-observer relationship. Learners with no observer - establish a learner- observer relationship first and then choose from the menu or assign via upload. Learners with one observer (evaluator) – select from menu or use auto-assign. You must assign learners to their proper evaluators. Learners who have only one observer are automatically assigned to that observer, but that is the only assumption the system makes about evaluator assignments. Open EOY evaluator assignments EOY evaluator assignments are in the same menu as the other Update Existing Users tools. Exclamation point icon displays when any user(s) need an evaluator assignment. Only users who DO NOT have an evaluator assignment display in the selection pane (users with multiple observers or with NO observers) Notice the Filter tools – consistent with what we saw before. And the Search field. There’s a different link here – Download unassigned learners – which downloads a .csv / spreadsheet of all your unassigned learners.????

Assign Evaluators to Learners
Individually assign evaluators First create a learner-observer relationship with intended evaluator Learners with multiple observers – assign an evaluator in the selection pane by clicking Select an evaluator and choosing an evaluator. Assignments made here save automatically, so once you assign an evaluator the learner is removed from the pane. Note that users who do not have learner-observer relationships do not have a selection, because there is no observer to choose from. You need to establish a relationship for the learner. You can do that here in the bulk user management tools (or in the users individual profile – not as efficient).

.CSV (.xlsx or .xls) uploads error report for evaluator has not been entered. (*) Invalid Address. (*) Did not find active users with this . Not able to create record. Error: No Coach Trainee relationships exist to add. You can fix errors directly on the spreadsheet and upload again!

All learners with a solo observer are assigned Auto-assign solo observers Assigns solo observer to learners automatically. Learners will be removed from the unassigned pane.

Modifying Evaluator Assignments
Modify existing evaluator assignments Change a learner’s existing evaluator assignment in the View and modify existing learner assignments pane. Assigned learners are grouped by their evaluator. Choose an evaluator to see his or her assigned learners in the left column learners evaluator
