Objectives How to access View Schedules.
In this Lesson you will learn: How to access View Schedules. How to change the View Option on a providers’ schedule. How to access multiple providers schedules at the same time. The color code used to determine an open, closed or overbooked appointment.

Viewing Provider Schedules
There are a number of search methods you can use to find open appointment slots. The “View Schedule” toolbar options allows you to view one or more provider schedules when making an appointment is not required. To access, either click View Sched on the toolbar or Ctrl+2. View Schedule Screen

Viewing Provider Schedules:
Viewing Multiple Providers To view a single provider’s schedule, enter the provider ID or name in the Provider/Resource field. To view all of the provider schedules for a single department select the Dept Search option and select the department.

Viewing Provider Schedules:
Schedule Scanner You can view the Schedule Scanner from the Provider Schedule form to show you the percentage of appointments filled; this enables you to share the patient load among the providers scheduled. Clicking the Display button will allow you to toggle between the Schedule Scanner and the Limit Search By options view.

Limiting Your Provider Search
The Limit Search By Options view allows you to further filter your search. Based on the option selected, the view of Provider Schedules will display results that meet the criteria search method.

Viewing Provider Schedules:
Viewing Multiple Providers Once you’ve selected one or more providers, select the date by typing the date in the date field or clicking on the date on the calendar below. Click the “Search” button at the bottom of the screen to view the providers schedule.

Viewing Multiple Providers When “All” providers are selected, only the first three providers will appear. Click on the “More Providers” button until grayed out, then click on the 5, 7, 10, 15 or 20 day button on the lower right corner to reduce the size of the window so that all the provider schedules can be viewed.

Viewing A Single Provider Select the Prov/res button and open the magnify button to view a single provider’s schedule.

Viewing A Single Provider The provider schedule screen appears. The default view is the “All Times, Single Provider” when one provider is chosen.

Viewing A Single Provider The “View Options” is available on the View Schedule screen and the Provider Schedule screen. From the drop down list, you can select different views based upon a single or multiple providers and your preference. All Times Single Provider Select this option to view the provider’s full schedule, including slots that are already filled with appointments. You can select other dates by clicking on the calendar in the lower left hand corner or by clicking on the next date arrow above the calendar for one day forward and the next week arrow for one week forward.

Viewing Provider Schedules:
Viewing a Single Provider Open Times by Provider Select this option to view only available slots (slots with unscheduled openings) on the provider’s schedule. This only displays regular appointment openings, not overbook openings.

Viewing Provider Schedules:
Viewing A Single Provider Open Times by Date & Time Select this option to view only available slots (slots with unscheduled openings) on the provider schedule(s), sorted by date and time. Included in this view are Blocks (messages to the scheduler as to which type of patient the provider wishes to see at that time slot) e.g. Well Check.

Viewing a Single Provider All Time, Multiple Dates Select this option to view the single provider schedule(s), including slots that are already filled with appointments, for multiple dates.

Limit Search By Options You can utilize the “Limit search by” options to quickly view date and time ranges when searching for appointment slots. You can search for specific Blocks or Unblocked slots. The Days of the week selections let you choose the day(s) of the week to target your search. You can even search for a minimum length of an appointment or have the system skip full days.

View Schedule Window The providers schedule is composed of several columns. The first column is color coded to indicate the status of the appointment slot. Green - Available, no patient is scheduled. Red - Patient slot is already taken or time is unavailable. Yellow - An agreed upon time that is available for overbooking. Gray - Slot(s) that has been identified as “On Hold” per provider. Blue - Partial slot has been used.

View Schedule Window The number within the color column indicates the number of patients that can be seen within that time slot. With the appropriate security, a user can “Edit the Slot” to increase or decrease the number of patients. The second column is the time of the appointment. The time slot can be adjusted to reflect the length for each appointment time for that service area. The third column (Pri?) is the Private folder and is represented by a red folder. With the appropriate security a user can edit that slot to remove the red folder and create a PUBLIC slot.

View Schedule Window Messages can appear on the providers schedule as well as the patient’s appointment slot. On the providers schedule, they will appear where placed by the user and can be easily viewed on the schedule. It does not replace an appointment slot.
