Designed to help you communicate to the Executive Sponsor, Stakeholders, Service Owner, and Project Team the plan for communications related to the project

Directions The following PPT template provides you with suggestions for communicating your communication plan to others. All images, bullets, wording etc. should be modified to fit your specific goals and communication plans. It is recommended that the communication plan is presented early and to all stakeholders to ensure that the plan is accepted and in alignment with the overall project goals. Furthermore, you should continue to be part of weekly project meetings and governance meetings to continue to ensure alignment and communicate any RIDAC items that need to be addressed by the Exec Sponsors/Stakeholders or other project team members

Project Communications Overview
Communication and training are a key elements to successfully rolling out new capabilities to our users. We will execute on the following to ensure awareness and knowledge to drive adoption Clearly defined communication plan Consistent communications Appropriate training based on user type Go-live week activities Continued communications and training to support retention

Step 1: Plan Communications
We prepared the timing of the communication to ensure clear understanding for project leaders. Communication Planning We made a plan to reflect the nature of the project and to align with key project milestones. User Readiness We will assess the users for targeted messaging and training Activities Weekly events, Go-live week event, and other fun activities will drive awareness and excitement Insert picture of your completed high-level plan What you plan on doing to plan your communications “I will prepare plans for communications that will include: comm. Plan, user assessment/readiness, activities we will be doing/plan on what I’m going to execute on **For the image I used an example from 2 sections from the Communication Planning Template to portray a method of how to outline the project

Step 2: Execution of Pre Go-Live Communications
Now that we have created a plan it’s time to execute on the communications Theme - Get Creative: We will incorporate a core theme for internal marketing to connect with our audience Marketing Materials: We will create ads for the upcoming changes and activities to drive interest Weekly We will create an campaign that will target specific user types to incorporate appropriate messaging, information and timing to keep them engaged and excited Insert picture of your idea for the theme or comms material you’re preparing

Step 3: Training Update images if required
We created training that is easy to adopt to ensure effective user adoption Lunch & Learns: Designed to engage users in an informal fun setting while preparing them for upcoming changes Fulfiller Training: In person training specifically for the Fulfillers, focuses on how they will use the ServiceNow applications to do their jobs. Training materials will also be available in their “favorites” bar post go-live. End User Training: Along with short 15 min Webinars we will also have a 2 min training video sent via 2 days prior to launch and posted on the user portal. Step 4: Go-Live & Post Go-Live
Update images if required Go-live is an event to remember! We made this event all about inclusion & celebration. Go-Live Week: Go-Live Party: We have a go live party with the entire company invited. We will give awards to highlight those that went above and beyond to provide value. Go-live celebration is also a great way to drive awareness to departments outside of the service. Don’t forget the cake! All Hands: Our executive sponsor holds an All Hands to communicate the value and outcomes. Step 4: Go-Live & Post Go-Live
Update images if required Ongoing Training and Lunch and Learns: Post go live we will continue to do lunch sessions, webinars, and Q&A booths to continue to drive adoption and retention of users. Measuring Success: We will send survey’s after go-live to measure the success of the new capabilities. We will then compare from previous CSAT scores. Success Stories: We will create success stories partnering with the Service Owners and using the data from the surveys. Post Go-live Marketing: We will utilize the same materials and theme and success measurements to continually market our program through newsletters & success stories Add “measuring success” bullet (above post go live marketing) Put survey as an image
