AESS Annual Assessment Process Workshop
[Start 12:15] (30s) Hello and welcome to this workshop on the AESS Annual Assessment Process! My name is Meredith and I’m spending a bit of time consulting with York while you write your Middle States monitoring report. My role on campus is to be a technical advisor, and part of that is to provide workshops. A bit about me – I used to be a faculty member specializing in critical race theory and later became Director of Assessment at Hunter College. I currently run my own consulting business using using research, evaluation and assessment strategies to help organizations focused on doing good (like York!) make evidence-informed decisions. Meredith Reitman Date: Tuesday, October 16th Time: 12:00 p.m. – 1:30 p.m. Location: AC- 2M05

Overview How do you make decisions? Necessary characteristics
Translate to process Try it yourself (30s) So a quick overview before we begin. This workshop will have four sections. First we’ll get in touch with how you make decisions, then we’ll show you how to regularize and systematize this process, translating it for this specific environment. Then finally you’ll give it a go for yourself.

Poll: Hopes and Expectations
pollev.com/ meredith (3 min) Now let’s move to hearing from you. On your phones or laptops, please go to pollev.com/meredith and answer the question there. Your answers will show up on the screen here.

Learning Outcomes By the end of this workshop, you should be able to:
Identify the key characteristics of AESS Assessment at York College Describe the relationship between a mission, goals and outcomes Generate a mission, goals and outcomes for your unit (1m) Thank you for that feedback! It’s helpful in seeing how I can best frame the workshop. Now every good workshop should have learning outcomes so that you and I are both clear on what you are expected to get out of it. Here are the ones for today (read slide)

Poll: Assessment Knowledge
pollev.com/ meredith (10m) Before we go any further, I’m going to ask you to go back to your phones/laptops one more time to answer a quick diagnostic survey. I’ll ask you the same questions at the end, so this will help measure the impact of today’s session. So head back over to pollev.com and click Start Survey. [Wait to finish] Ok, let’s see where we are as a group (open report)

Think Pair Share: Decisions
Think of a non-work-related decision you made recently What was the decision? Why did you choose the choice that you did? How will you know if it was the right one? What will you do with this knowledge? (10 min) Ok now for some fun colleague engagement. This first activity is a think-pair-share – so I’m going to ask you to think for 1 minutes, pair for 2 minutes, and then share out for 4 minutes. So (read from slide)
7
TA-DA! You are doing assessment!
(30s) What am I hearing? I’m hearing a lot of assessment going on! So how is what you are saying similar or different to the formal AESS assessment process?
8
On Your Own: Decisions Think of a work-related decision you made recently What was the decision? Why did you choose the choice that you did? How will you know if it was the right one? What will you do with this knowledge? (2 min) Now let’s do the same with a work-related decision. Fill the questions out on page one of your handout. We’ll come back to this in a minute.
9
Regularize & Systematize
(30s) The AESS assessment process is regularized and systematized. It’s regularized in that you are methodically covering all areas of your work. Regularize & Systematize

11
Regularize & Systematize
(30s) It is systematized so that you can work together as a unit, division or institution, much like an orchestra to create the “music” of serving students. Regularize & Systematize Work together as unit, division, institution

Translate to Assessment Process
Activity Question Related Assessment Process Why did you choose the choice that you did? Assess last year. What was the decision? Action Plan this year. How will you know if it was the right one? Assess this year. What will you do with this knowledge? Action Plan next year. Translate to Assessment Process (1m) So now we’re going to back to your work-related decision and translate it into an assessment process. (read from slide)
13
Translate to Assessment Process
Your Turn! Activity Question Related Assessment Process Why did you choose the choice that you did? What was the decision? How will you know if it was the right one? What will you do with this knowledge? Translate to Assessment Process (5 min) On your worksheet, fill in the table on page two.
14
Share Out (5 min) Ok let’s hear out from some folks on what they wrote in their tables. [end12:55]
15
Translate: Regularize
(1m) Alright, now we’re going to translate what we’ve been talking about into the actual AESS Assessment Process. You probably all recognize this table – it’s the one from the 5-year assessment plan. The purpose of this plan is to regularize and systematize your assessment processes so that you’re covering all your bases and working in concert. The arrows here point to how the template is regularizing – each year, you are checking in on a particular outcome. Methodically moving through your work.
16
Translate: Systematize
(1m) The arrow here are pointing to how the template systematizes assessment. Each of the unit goals is aligned with the mission, a divisional goal, and a strategic goal. That way we can know we are all working toward one goal, each doing our complementary parts.
17
Terminology Refresher
Mission Goal Outcome What the unit is, what it does, who it serves and why How the unit accomplishes its mission (2m) Before we go any further, let’s clarify some terminology. (read from slide) The measurable results of the goal

Poll: How are you feeling?
pollev.com/ meredith (5m) Alright, let’s take a breather and go back to the polling – choose a word to describe how you are feeling right now.

Try It Yourself! Envision Tomorrow’s University
Build Faculty Excellence Transform the Student Experience Enhance our Public Prominence (30s) OK moving on! You’re now going to set up the assessment process for a unit at Monster’s University. These are MU’s four strategic goals. The first step is to pick a unit you want to plan for (do this in pairs or teams depending on how it’s going).

Assessment Plan Template: Give it a Go
(whatever time is left) Now we’re going to spend the last bit of time looking at the real assessment plan template – try putting in (or revising) your actual mission, goals and outcomes. What’s easy? What’s difficult?
