2 What is ELAP? ELAP stands for Extended Learning and Afterschool Programs TN-ELAP is what we call the web based database at which tracks and stores information related to participation to TDOE afterschool grants. TN-ELAP.org is the informational and training website for TN-ELAP application users, found at Neither TN-ELAP.org nor TN-ELAP database are affiliated with your school’s educational system (Star Student, Skyward).

6 Before you begin entering data
Make sure your grantee, centers, and cohorts are correct and that you have access to them Enter a few attendees at a time and check as you go The system is required to time out after inactivity. Please save frequently. Run reports frequently, to ensure that the data is going where you want it to go Know how to find help when you need it and

7 Things to know about Fall 2018 data entry
Attendees were unenrolled from all programs in preparation for this year. This was per TDOE request and was communicated via from TDOE. Attendees were not deleted. Participation was not deleted. Attendees will need to be re-enrolled for the site they attend.

8 Step 1: Register for an account
Go to and click “Register and Log In” and submit form Password must contain: a capital letter, a number, and a special character (neither a letter nor a number) and be greater than 7 characters long After you submit your request, please the help desk If you need administrative privileges, please ask your grantee director to contact us After approval, please go to and click “Register and Log In”. 9 Step 2: Log in There is one login for both 21st CLC and LEAPS grants. The initial login will have a slight delay as the app downloads client side information. Subsequent logins will be quicker.

10 Step 3: Choose your grant, center, and cohort
This section is data driven. You should only see the grantees and centers for which you are approved. Users will choose: Grantee Grant (CCLC or LEAPS) Center

11 Navigating ELAP “TN-ELAP” or “Menu” when clicked at any location in the application will take you to this screen. The options here will change based upon your security level.

12 Edit Center Administrative users have permission to add and edit grantees, centers, and cohorts.

13 Step 4: Add Attendee Enter basic information for new attendees
Attendee edit is available via participation screen

14 Enroll Attendee Search for a student Click on the name Click “enroll”

15 Understanding the Attendee Participation Screen
Most day-to-day tasks take place here. View by list or by grid Participants can be selected individually, or through filters Filtering is available by student search and by grade level Perform the following actions: Edit attendees Add participation Unenroll attendees Add attendee performance information Add teacher address Basic reporting is available from this screen as well.

16 Step 5: Review Enrollment
Choose attendees Click “Add Participation…”

Select Attendees Select Participation Date Enter time Select activities Click okay

18 Correcting participation
I’ve entered participation on the wrong date.  How do I fix this? Go to the incorrect entries and enter zero(s) for the participation time if the date entered was incorrect.  Then enter the correct entry on the correct date.  If it is a situation where the date is correct, but there was an incorrect amount of time entered, the correct time can be saved over the old information entered as long as the same names and activities are chosen. How can I look up a single student’s participation? Currently you can look at the base participation report by a single date or by a range of dates.  All the students will come up on the report, but the students are listed alphabetically.  A single attendee participation report is planned for a future release.
