1 EXPERIENCES FROM WOC 2017 HLES 2018, RIGA

2 OVERVIEW (1) 30.06.-07.07.2017 In Tartu, Viljandi, Rõuge and Vitipalu
4 year project (Euromeeting 2015, Suunto Games 2016, trainings and selection races) Total budget around 1 million euros First ever live broadcast of orienteering produced in Estonia Host City changed from Otepää to Tartu in 2015

3 OVERVIEW (2) WOC participants - 48 nations, 368 athletes
TV broadcasts - 4 countries live, summaries to 42, 15+ hours of live broadcasts 500 organisers and volunteers, from 20 countries

5 ORGANISERS (1) Estonian Orienteering Federation, OK Kobras, OK Ilves, OK Võru, (SK Mercury and JOKA) MTÜ MM2017 for security

6 ORGANISERS (2) Based on 3 clubs and EOF Key persons from these clubs
Structure set/designed by WOC board. Roles were loosely described and hierachy not followed very much – can be used if people are experienced, know each others very well.

12 Deficit! Why? Planning mistakes and extra costs
TV was more expensive, additional costs coming in as late as December Less income from TV broadcasts Norway! Smaller public race (EOW) than expected

18 MEDIA (1) Small world inside WOC
needs a lot of attention, experience and the will to provide the best service. Special media area - tent 21x10 metres, room in Event Office in Tartu Internet, electricity, maps, start lists, results, water, snacks, TV-s, interviews 70 working positions

19 MEDIA (2) TEAM: 23 persons Head of Media (responsible for operations and media contacts), Head of Media Centre (practical issues), Head of Mixed Zone, Head of Photo, content creators: social media, video operator, photographer, writing journalists (Estonian, English – World of O overview), volunteers Create content, make journalists happy,  everything worked! More tables for journalists!

Rather easy to choose, difficult to make them work Lot of effort into arena planning (TV, speaker…) and dressing – TV, sponsors, spectators Outsourced services: Tents Stages, podiums, sound systems Electricity, cabling Local internet networks Toilet cleaning

32 TRAININGS (1) 22 areas/maps in total Clubs updated maps, income 50:50.
Three training camps (Euromeeting, Suunto Games, Selection races),

33 TRAININGS (2) Great help for the organiser – budget, learning the organisation, higher standard. Organisation - One person! Mihkel Järveoja – planning courses, marking in the terrain, designing maps, sales, printing, distribution – excellent service!

Advertising With help of Enterprise Estonia online magazines in the Nordics, UK, SUI, others social media presence in other events

39 EXPERIENCES 1 Difficult on the first time
Experience needed from previous high level events Some „easy“ tasks take a looooong time Mapping Internet connection Surprising costs (TV) Push IOF for better guidelines, manuals Sponsorships – personal contacts, lot of work

40 EXPERIENCES 2 Young organisers are flexible
Serices to organisers and volunteers are very important Accommodation, food, transport, training, INFORMATION, REST Use of professional services Costly but effective Use experience from other sports Marketing and media Be active on social media Lot of reporting (sponsors, municipalities, etc)

41 POSITIVE SIDES + high level and fair competitions!?
+ high quality TV broadcasts + arenas and ceremonies + ability to react + new sponsors to orienteering + interest in orienteering has grown + good reception from local municipalities + new volunteers to orienteering

42 NEGATIVE SIDES Budget deficit Very tiring EOW too small
Too few infos, guidelines  „inventing the wheel“
