Activity Clocks provide information to teams to analyse Nursing and Midwifery activity data. The data can support workforce review exercises, to determine nursing and midwifery establishments, inform decisions made regarding effective staff deployment and used to inform local improvements The Quality Improvement Team have actively listened to feedback from teams who have previously undertaken Activity Clock data collection and in response to feedback have developed a new data collection and analysis tool with the aim of improving the process of inputting the data required and the availability of the results. The new system has been piloted on a number of wards which welcomed the data collection and analysis tool; especially that the tool provides a simple and easy way to input the data, produces a report (instantly available) that was easy to analyse and identifies key areas for improvement. This is the form that should be used by individual staff to record their activity for every
five minutes of their shift. The codes are displayed on the bottom, please see example in the right hand corner. Please ensure that staff enter their name on the form as this will allow data to be inputted quicker.

Further information is displayed on the reversed side of the form and additional clocks if working more than 8 hours.

Home Page Once the activity has been completed all data needs to be submitted onto the Activity Clocks System. Enter ward name, number of staff who were on duty and number of patients on the day the activity clocks were undertaken. Activity clocks are mandatory for day shifts, i.e. time day shift starts to end of evening shift

Home Page Then click on Area Configuration

Configuration Screen Enter name of Ward, Division/Hospital/MCS, number of patients, staff on duty and the collection period. Name of Ward, Division/Hospital/MCS and collection period are all drop down box options.

Configuration Screen This section is for areas that may perform a certain number of a particular nursing activity e.g. venepuncture, burns dressings, set patients up for haemodialysis, MDT meetings etc. If this is used it must be indicated if it is a direct nursing or direct process activity that is been undertaken i.e. Venepuncture would be direct care (nursing), where as MDT meeting would be direct care (process), also state whether it is direct or indirect care taking place. Please refer to the codes on the data collection tool.

Configuration Screen Click on the √ tick to save entries and to return to home screen.

Please note The ‘error found’ tab will remain red until all data has been submitted

Front page Click on the ‘view staff listing’ tab

Staff listing Enter each staff name that was on duty on the day activity clocks were undertaken and then click on √ tick to save entries and return to home page

Then click on ‘enter data’ once area configuration and staff listing has been completed.

3 1 2 1.Enter staff details-name and job title 2.In the box below enter the start time and end time of each activity for their entire shift 3.Once completed click on the following icon to access the next ‘next colleague’ tab Repeat process for all staff on duty and then click on √ tick to save entries and return to home page

View reports 1 2 3 Click on the PDF icon to print report-this can be printed on A3/A4 and should be in colour. Click on the and attachment icon to send activity clocks data to the IQP team automatically. Click on the √ tick to return to main screen/menu. If you wish you can save own data to an appropriate file for future reference.

Home Page If the ‘no errors found’ is in red, click on the adjacent tab-’check for errors’ which will provide you with a summary of the issue, once resolved this should revert back to green.
