How to make RFQ for RMMG Spare part packages & Preventive maintenance kits Front End Quoting Process Susanna Vilenius, BOL Application Owner, PG Service, Motors and Generators

It has been agreed that RMMG Service will grant extra 10% discount when ordering packages & kits. Note that discounted price is only valid when ordering complete package/kit. At the moment it is not possible to show this information in BOL so RFQ is needed to be placed so GTSCs can make quotation with correct discount. Please follow following instruction carefully to avoid any confusions during the process. That way we can ensure correct pricing and smooth handling of RFQs and orders. 3 There is 3 different scenarios how to make RFQs depending of spare part list or serial number availability in BOL. All is easy and fast but just need to make attention which scenario is in place. Depending on scenario response time of Quotation can vary. Serial number and spare parts list is available => Machine Life cycle status Active or Classic => Select package/kit from list and submit RFQ => Response time short Serial number is available but no spare part list attached => Machine Life cycle status Limited => Package/kit needs to be added to cart and submit to RFQ => GTSCs are constantly updating spare part lists so after making quotation part list will be loaded => Response time 1-4 weeks. Please note that some parts may not be available anymore. Serial number and spare part list is not available => Often old machines, most probably in Life cycle status Obsolete or limited => Can be also so new machine that it is not yet loaded to ServIS => Package/kit and serial number needs to be added to cart and submit RFQ => If very old machine recommendation is to contact local ServIS responsible person and ask to add machine to ServIS to be able to find it in the future and also to be able to load spare part list if possible. => Response time can be several weeks even. 4 1) Serial number and spare parts list is available
Make serial number search and open spare part list When spare part list is opened check that Recommended option is selected. There is also option All, but then all parts attached to serial number is shown as a list. January 17, 2019

5 There is different categories, operation spare parts, recommended spare parts ect. This list can vary according to serial number and information behind them, but when have full information all of below can be found. In the future also Capital spares will be added to as a new category. Select which kit or package is needed and select all items (priced, not priced etc) by click box on the same line with the kit/package. And then click Add to new cart. January 17, 2019

6 Item are added to cart. Open the cart click this icon on the right corner of the screen.
To be able to continue click “Request for quotation”. From Actions tab other option can be found, for example cart can be removed. If some items have technical information, popup window will show and information should be read carefully, and “I have read and understood” -button needs to be clicked to able to continue. 7 Mandatory fields needs to filled carefully
Mandatory fields needs to filled carefully. Sections where there is mandatory filed should be expanded automatically. Service information is filled automatically because RFQ process was started from serial number search. Please ask package price in Additional information & attachments section. January 17, 2019

8 And when all is ready Submit the RFQ
Write to comment field which kit/package you want to have and use same naming than in list below And when all is ready Submit the RFQ After submitting the RFQ please wait GTSC’s quotation. After GTSC have approved the RFQ kit/package is ready for ordering. January 17, 2019

9 2) Serial number is available but no spare part list attached
In case there is no spare part list attached to serial number cart can be created from serial number anyway. Open the cart by clicking shopping cart And in cart there is information that cart is empty. January 17, 2019

10 Now it is needed to add product into cart and it is needed to add as Unlisted item. Write name of the package/kit into search field and click Add to cart. Use same naming than in list below. Then all is needed to do is to select correct Supplier depending which GTSC RFQ will be sent and after that Add January 17, 2019

11 List of suppliers are: GTSCFI = FIMAC001 GTSCSE = SEMOT001
GTSCIT = ITIND001 GTSCCH = CHMOT001 Now product is added to cart and you may follow the instruction described in Slide 5 and click Request for quotation button. January 17, 2019

12 3) Serial number and spare part list is not available
In case there is situation that serial cannot be found please add product to new cart. Still use same naming than before. Select new cart and supplier and click Add January 17, 2019

13 Click Request for quotation
Fill all mandatory fields and provide serial number here. Then follow the instructions described earlier. January 17, 2019
