1 Office 365

2 If you are using this presentation on your own (and not being led by a facilitator or trainer) you will need to be sure you have the Presenter Notes showing. If you do not, you will miss valuable information.

6 About This Presentation
When you see a label like this one, it means I’ve got some thing to show or tell you about.

7 Action When you see a label like this one, it means if you want to follow along, this is an action to take. That way, when you want to follow along, you can and you don’t have to miss vital information.

8 Account

9 Create Your Account login.microsoftonline.com

10 Go to: login.microsoftonline.com

11 Type Your Email Address
Be sure to put in your full work address. Once you’ve typed it in Pause.

12 Choice Office 365 may ask you if this is a work or school account. You will always choose work or school.

13 Choose Work or School Account
Go ahead and do that now.

14 Sign In You may have to type in your address again, hopefully it saved it. ;)

15 Two Options MS Office 2013, and Office 365. Now, obviously this is on my computer so you might notice it says “On Your Mac” Yours should say, “On your PC.”

16 Application (Office 2013) So lets talk about the differences is a suite of applications that you download to your computer… You can click he link…

17 Application (Office 2013) here or here to download the latest versions to your computer or tablet.

18 Application (Office 2013) Documents you create here CAN be synced to 365 but aren’t by default. If you do not have office 2013, you may want to download it now. Previous versions do NOT play nice with 365. You will have to manually add all of your files to the cloud on your own.

19 To Check Open Word If it looks like the images on the eft, you have an older version. If it looks more like the one on the right, you should have the newer version.

20 Before You Install If you have an older version, you can upgrade now to make it work with 365. However, this will make the application look and behave differently. There are LOTS of tutorials beautifully designed by Microsoft to help you with the transition, but if you are change-averse, please wait until you are ready to upgrade. If you are ready now,

21 Click Install I will provide you time during the break to download. When you do you will Click Install Now and allow your computer to download and Install Office I will not walk though the whole process so read each window and if a window asks you to install, update, continue or choose, lick those affirmative buttons. It is okay to download and install these applications because we know MS is not going to harm our computers.

22 Office 365 Now, the other option. Office 365.
365 lives entirely online- notice that there are a few more applications Online. The one we are MOST interested in is One Drive.

23 Office 365 One Drive is like having a hard drive entirely online. Sometimes this is called “cloud storage” that just means not on your local computer but “somewhere on the internet.” Other cloud storage options are iCloud, Google Drive, Box, Dropbox, Amazon Cloud Drive, etc. They use that imagery of the cloud to

24 Back in the “Olden Days,”…
Back in the “olden days,” you know, 1994… This is how computer scientists and engineers communicated ideas

25 Back in the “Olden Days,”…
This one is from a patent filed in Notice the blob here. That blob was just used to show that that piece wasn’t really important to them. It was “someone else’s problem.”

26 Back in the “Olden Days,”…
Fast Forward a couple of years. Now, those drawings looked more and more like “clouds” so “cloud computing” just meant “not local” or “someone else’s problem”. FastForward to super fast data connections and very cheap storage. Now we start to refer to those options that are “not even REMOTELY local” or “someone else’s problem” as “in thecloud.” You might just as easily say, “on the internet someplace”… on Microsoft’s or Dropboxes, or Google’s , or on Apple’s Computers. They have backups of backups… and we don’t have to worry if we loose that thumb drive, UBS drive, external hard drive, or if our hard drive crashes, or if our computer takes a swim– because the information is stored “remotely” on the cloud.

27 One Drive Now that you’ve got the concept, let’s look at One Drive specifically.

28 How would you get files into 365?
In a Perfect World… Listen for Drag and Drop How would you get files into 365?

29 Good News! Drag and Drop Works!
Yes! Dragging and dropping into OneDrive will work! Drag and Drop Works!

32 What About Deleting? What about deleting files “locally” or on your computer? How many ways can you delete something on your PC? How do you usually do it? Listen for R-Click

33 Delete

34 Options When you R-Click, you get options, including the option to delete.

35 Online Notice the other options I can get, though…

36 Online I can choose to open in the Office 2013 application on my computer, OR, in the Online version on Office 365. If I always open in Office 365, all of my changes are stored on One Drive online and I never have to worry about syncing.

37 Syncing Syncing just means making the version on your computer and the version online the same. If you are working “offline” (not connected to the internet) MS will “automatically” sync. But what they do not say is that it will “INSTANTLY” sync. Automatically and instantly aren’t the same so If I change a file, close my computer before it syncs, run off to a meeting and try to open it from OneDrive, if the computer hasn’t uploaded the changes, I have an old version. That is why when making quick changes, it is recommended to make them in the online versions. If you make changes with the applications, make sure you have back to OneDrive and don’t save to your internal Hard Drive.
